To give out new WMS number add new row in the Internal Register excel file and fill out consequence
number.

2. When a document is needed to be submitted to Aconex, Engineer/Admin will send a request for Submit
through email. (Example below shows an email request from HK Construction team).
3. If the document is from CPP team/subcon (Tank Team, Offshore, PT CPM, etc) and needed to be signed by
Construction Manager (Mr Lu), wait until Mr Lu replied the email for Proceed (as shown in example below
for CPP Tank Team email). Download all the File attached from the request submit email.

4. Rename the file (If it’s already not in a neat format)

5. Put in Mr Lu’s (or other Manager with authorization who approved the document, eg. Mr Chao
Xingang/Mr Yao Zheng) sign in the sign column. In Case that the document is already fully signed (by HK
Manager/Commissioning Manager), just skip the sign part and check the entire document. Make sure the
Revision, Date, Description – is correctly filled (Please refer to Official Procedure Manuals). Check the
Revision Log, Page header, Page numbers, and the entire document in case there’s something missing or
corrupted from the document.
After everything is checked, Save the file.
6. Open Aconex. Documents > Upload a New Document.

Note: If the document revision is not 00A (Issued for Review) it must have CRS document along with the WMS.
Skip steps No. 6-8.
7. Fill out the data accordingly. Check again, if all data are correct, click Upload. (Note: Refer to Official
Procedure Manual for Numbering or Status Review. Please be careful as any documents that’s already
submitted to Aconex can’t easily be deleted or changed without notice by Owner)
8. Transmit the document and fill out details (as will be shown in later example / Step No.19).

9. If the document has a CRS, Open and check the Comment Resolution Sheet file. Make sure all Issued for
Construction documents (Revision 000-up) have CRS. If not, contact and ask the engineer to provide it.
Check the data in CRS document, if it’s all okay, Save.
10. Go to Aconex and Submit the CRS file. Documents > Upload a New Document.

Note:
If the CRS revision is not 00A, skip this step. Search the document register and Supersede instead (as
shown in Step No. 13-15)

11. Fill in data accordingly and check again. If all data are correct, click Upload.
12. Find the previous version document in the register. Click View Document Register. Or just return to
Aconex main page and Search Document.
13. Enter the document number in the Search bar. Click Search. When the result appeared, click the Work
Method Statement.

14. Click Supersede Document.


15. Fill in data accordingly. If all data are correct, click Supersede Document.

Note: Make sure to change the Revision number and Status according to the version we’re submitting.
Check the Official Procedure for reference. Also check again the Title. If the document has its title revised
in the new version, don’t forget to change the title.
16. Click Transmit this document.

17. Attach both the Method Statement and CRS file. Click Attach > Document
18. Enter the document number in the search bar and click Search. When the result appeared, check both
files, and click Attach.

19. Enter the data accordingly. All filled exactly the same except for Reason for Issue, Subject, and
Distribution Matrix Code. Reason of Issue and Matrix Code entered according the document version
(check Official Procedure). Make sure to check carefully on this part as it can’t be revised (if the Reason
for Issue and Matrix Code incorrect, Owner may ask to re-submit the Transmittal again). If all data are
already correct, click Send.
20. Save the transmittal. Print > Screen Style.
21. Save/Print to pdf.
22. Go to email, and reply the request submit mail with the transmittal attached.

23. Update the Title, Revision, Date, and or Status in the Internal Register excel file accordingly.
