dear learners, can continue your studies and learn while at
home. Activities, questions, directions, exercises, and
discussions are carefully stated for you to understand each

A hotel reservation system is a complicated software program that arranges
guests' dates and lengths of stay, as well as collects money.
It allows clients to select their rooms at the time of booking, and more
advanced systems even allow customers to order extras like wine, flowers, fruit, or
other essentials to be delivered to their hotel when they arrive.

What is It

In this day of rapid breakthroughs in computerization and technology, the front


desk is expected to deliver efficient and dependable services to guests while
utilizing technology to its full potential. The impact of technology on the workplace,
particularly in the hospitality industry, has boosted the rate of production and the
speed with which bookings are made. In the hotel sector, technology has aided
workers in becoming more productive and visitors in being more satisfied with their
services than ever before. What used to take hours can now be completed in
minutes.

What Is a Hotel Reservation System?

Traditionally, a hotel reservation system was defined as a system that


enabled a hotel or group of hotels to manage front office capabilities, such as
booking reservations, guest check-in/checkout, room assignment, managing room
rates, and billing.

It is a software application used by hotels to allow customers to make secure


online reservations in these days of computerization and automation. Not only can
this reservation system be linked to your present website, but it can also be linked
to Facebook. This allows guests to book accommodations via social media at a time
that is convenient for them.

These reservation systems can give hotel operators with other tools in
addition to allowing guests to book straight online. A channel manager, for
example, might be part of the reservation system, allowing hoteliers to distribute
their products and live availability to their complete network of online agents at the
same time.

Furthermore, it unifies all of the hotel's important operations onto a single


platform. It gives you real-time information about the hotel's lodgings, reservations,
restaurants, spas, bars, and other services.

Types of Reservation System


There are several types of hotel computerized reservation system, but for this
lesson, the four types (see below) will be discussed.

1. Property Level (Property Management System (PMS))


2. Central Reservation System (CRS)
3. Global Distribution System (GDS)
4. Internet Distribution System (IDS)

A. The Property Level Reservation System

The computerization of the front office is a part of the Property Management


System (PMS), wherein all the departments of a property/hotel are linked to the
mainframe.

A hotel PMS is defined as a computer program that enables a hotel or group of


hotels to manage front office capabilities, such as booking reservations, guest
check-in/checkout, room assignment, managing room rates, and billing. A hotel
PMS replaced time-consuming, paper-intensive processes. Time-consuming, paper-
intensive processes were replaced by a hotel PMS. It unifies all of the hotel's critical
activities onto a single platform. It gives you real-time information about the hotel's
lodgings, reservations, restaurants, spas, bars, and other services.

The property management system consolidates data from all hotel


departments automatically for unified control, better decision-making, and the
elimination of paperwork. The key aspect of the program is its interaction (or
interface) with external third-party systems, such as payment processors or
revenue managers. As a result, the growth of PMS will offer even more value for
hoteliers by including digital marketing platforms, energy efficiency, reputation
management systems, and so on.

Because the consumer's travel journey begins with selecting a destination while
also shopping for a hotel, hoteliers are challenged to provide a personalized guest
experience while also operating a profitable hotel business. Their pre-stay shopping
and booking interaction, on-property engagement with the hotel and its staff, in-
room experience, and post-stay sharing of feedback on social media are all part of
their guest experience.

Different Types of PMS Application Software Available for Use in Hotels:


1. eZee Absolute—is a cloud-based software that provides multi-property
administration and has many integrated elements that perform certain tasks.
The eZee Absolute front office module takes care of reservations and
housekeeping, as well as performing a night audit that may be programmed
either automatically or manually. It's an eZee Technosys product.

2. Hotelogix— Hotelogix is another PMS for small properties. This PMS, on the
other hand, is appropriate for hotels and resorts. It contains a powerful channel
management module, as well as third-party connection with reservation
platforms and customization options.

3. Vreasy—Vreasy is another option for managing vacation rental properties. It


contains a well-developed back-office module with the ability to delegate tasks to
all employees, starting with the front desk and ending with housekeeping, as

properties. This PMS, on the other hand, is appropriate for hotels and resorts. It

4. Protel PMS— is a multi-property management software for both large chains


and independent hotels.

5. Stays PMS— is a brand-new property management system created specifically


for holiday rental properties. It comes with a channel management system that

Booking.com, Expedia, and HomeAway. Despite the fact that this property
management system was not created with hotels in mind, it contains all of the
features of a standard hotel property management system.

interfaces with this reservation platform.

B. Central Reservation System (CRS)
A Central Reservation System (CRS) is a type of reservation software that
allows hotels to handle guest reservations and the processes surrounding them in
real time by updating and maintaining information about inventory and pricing. It
is a platform that allows hotels to manage and distribute room inventory, pricing,
and reservations from a central location.

The CRS gets inventory from the PMS and distributes pricing and availability
to direct and third-party channels in real-time, including the hotel's own website
booking engine and call center (direct channels), as well as channel managers,
OTAs, GDS, and metasearch (third-party channels). The CRS receives reservations
from these channels, which are then synced into the PMS for room distribution.
CRS or distribution systems are used by hotel revenue management and
marketing/e-commerce managers to develop various promotions and offers through
rate plans for different channels, as well as to swiftly alter pricing to be updated
across all channels. Reservations are also managed by reservation agents in the
CRS.

A CRS is a software tool created to connect a property or chain to the Global


Distribution System, which connects over 600,000 travel agents, consortia and
corporate customers all over the world, the Internet Distribution Systems
consisting of online Travel Portals, online wholesalers and the leading tour
operators, and any call centers connected to the hotel. All this in a single system,
which also includes the online BE (booking engine) for the hotel’s official website.

C. Global Distribution System (GDS)


A Global Distribution System (GDS) is a worldwide conduit between travel
bookers and suppliers, such as hotels and other accommodation providers. It
communicates live product, price and availability data to travel agents and online
booking engines, and allows for automated transactions. It is often used to tap into
the corporate travel market because it has the ability to present hotels, flights, and
car rentals in one simple interface which is convenient.

A GDS provides hotel inventory and pricing to travel agents and websites
who request them, as well as accepting reservations.

1. Amadeus—is a global distribution system (GDS) that connects travel suppliers


(airlines, hotels, car rentals, tour operators, and so on) with travel marketers on
a global scale (travel agencies and other intermediaries). When booking an air,
hotel, automobile, or other travel service, it refers to the reservation tool used by
travel agents. Amadeus is the most widely used GDS in the travel business.

2. Galileo— is a global distribution network headquartered in Atlanta, Georgia,


United States. Travelport owns it, and it's one of their many products, which
also includes the Apollo and Worldspan systems. Hotel rooms, airline tickets,
train tickets, cruises, and vehicle rentals may all be booked with Galileo. Nine
European airlines, including British Airways, first adopted the method in 1987.

The ability to distribute hotel rooms to travel agents and clients on a
global scale is the fundamental benefit of the Galileo GDS system for hotel
owners. This is accomplished by providing travel agents with live access to

1. Worldspan— is a part of the Travelport GDS company and a provider of travel


technology and content. It provides travel agencies, travel service providers, and
corporations with worldwide electronic distribution of travel information,
Internet products and connectivity, and e-commerce capabilities.

2. Sabre— Sabre Corporation owns a global distribution system that travel agents
and organizations use to search, price, book, and ticket travel services supplied
by airlines, hotels, car rental firms, train providers, and tour operators.

C. Internet Distribution System (IDS)

An Internet Distribution System (IDS) is a group of online travel portals or


agencies that specialize in Internet marketing of travel and related services and
have large member bases. These 'One Stop Shops' offer unique qualities that can be
leveraged to attract visitors from all over the world to your hotel. This phrase refers
to the dissemination of hotels via the Internet, Intranets, Extranets, and other
online services. It's also referred to as a synonym for ADS (Alternative Distributions
System). The distribution of IDS through third-party websites is referred to as IDS.
It is a powerful instrument for enabling online reservations and improving
coverage of audience. IDS hotel software for vacation rentals is exceptionally useful
