Situation

1. The Wales and West Regional Activity Day (W&W RAD) will be held at RAF
Cosford on Sun 29 Oct 23. This order details the arrangements for the organisation
and competition format for the RAD. Wg Team Managers are to ensure all staff and
cadets are thoroughly briefed on the rules of the competitions, dress, feeding
arrangements and location of each activity prior to their arrival at RAF Cosford.

Mission

2. To bring cadets together from across the Region to take part in competitions
and concurrent activities based around the Core Cadet Experience at Regional level.

Execution

3. VIP Attendance. Comdt RAFAC Air Cdre Tony Keeling OBE will visit the
W&W RAD.
4. Project Officers.

a. The ProjO is Wg Cdr Amanda Evans (Senior Staff Officer Wales and
West Region) - 07805897785.

b. Dep ProjO is WO Paul Roberts (Region Warrant Officer Wales and West
Rgn) - 07913402930.

c. Regional Staff Officers Wales and West Rgn will support the event.

5. Access to RAF Cosford.

a. Access to RAF Cosford is strictly controlled with entry by the main gate and Officers
and Sgts mess site gate only. All staff will need to bring service ID and book any
vehicles at the guardroom adjacent to the main gate. Staff without service ID will
need to bring photographic ID (passport, drivers licence etc) and obtain a
temporary pass from the guardroom. Staff with temporary passes will need to be
escorted on site by staff with service ID. Cadets will need their My RAFAC App
or 3822. Please be mindful of your security when vehicles are left unattended.
The Guardroom will be sent a nominal roll which should facilitate entry to camp.

b. All Staff are to familiarise themselves with RAF Cosford Station Standing Orders
which can be found on the Event SMS Application.

6. Venue. The W&W RAD will take place at Building 146 Mechanical Training
Flight, RAF Cosford.

7. Timing. The W&W RAD will start at 0900 and will finish at 1630. A breakdown of
the timings of the day can be found at Annex B and the events at Annex C.

8. Accommodation and Messing; No1 and No3 Welsh Wgs only.

a. Accommodation for the Delivery Team, No1 and No3 Welsh Wings has been
booked at RAF Cosford for the evening of Sat 28 Oct 23. The accommodation
plot can be found on the SMS Activity Application.

b. Wg Team managers must contact the ProjO if any changes need to be made.
The amendments need to be approved by the ProjO before arriving RAF
Cosford on 28 Oct 23.

c. Accommodation keys can be collected from duty staff at Boyle Block.

d. Messing has been confirmed at Props Mess for dinner on Saturday 28 Oct,
1630-1730 and breakfast on Sunday 29 Oct 23, 0730-0830.

9. Travel. WHQs are to arrange transport for their Wg teams.

10. Documentation.

a. Consent Forms are required for this event. Wg Team Managers are to ensure
that every member of their team has provided a consent form to attend the
RAD. These are to be retained by the Wg Team Managers.
b. The Delivery Team are required to provide their Consent Forms to the Adj on
the morning of the W&W RAD.

11. Total Safety. All training is to be conducted is line with RAFAC policy and
requirements applied by RC WW. All activities are to be properly risk assessed and
authorised by the RC. All staff, staff cadets and cadets are to be compliant with their
mandatory training as listed in ACTO 99.

12. Participation.

a. All participants have been recorded on the event SMS Activity Application
(RHQ/006/OTH/23/0017).

b. Wg Team Managers are to contact the ProjO with any amendments to their
teams including staffing changes. This should be done by completing the W&W
RAD Variations form sent to Wg Team Managers with this AO. If amendments
are required on the day, Wg Team Managers are to submit a completed form to
the Adj on arrival.

13. Supervision.

a. Wg Team Managers are to ensure that their cadets are supervised when
travelling to and from RAF Cosford, around the Station, and in the various
venues provided for our use.

b. Each Wg is to provide sufficient staff to supervise the number of cadets they


bring to the RAD.

c. Each competition team will have an assigned member of staff to supervise the
team throughout the day of the event, this includes attending the competitions,
concurrent activities and messing. The names of these staff are to be confirmed
with the Adj the morning of the RAD.

d. Where Wgs have more than the required ratio for the competitions, they will be
asked to assist with other tasks.

14. Dress.

a. Cadets are to wear the uniform required for their registered competition.

b. Directing Staff (DS) will wear the uniform required for their activity.

c. All other staff must wear No2A Service Working Dress.

15. The Delivery Team, Wg Team Managers and Staff Duties.

a. The DS are required to act as competition supervisors on the day. Each will be
responsible for the smooth running of the various activities, the preparation of
the chosen venue, the dispatch of competition results to the Control Centre,
and general responsibility for any equipment and accommodation used.
b. Wg Team Managers and supervising staff are to ensure that the cadets arrive
at the competitions and concurrent activities in good time for their assigned slot.

c. All cadets and supervising staff are to attend their respective Competition as
well as the concurrent activity allocated to them.

16. Competitions. The competitions will be held in the following disciplines (the
rules governing each can be found at Warning Order Issue No. 23/01):

b. Drone – Details can be found at Annex A in the AO. This competition


has been altered due to a change in MoD policy. No2A

c. Leadership – No3

d. First Aid – No3

e. Space – No2A

f. Cyber – No2A.

17. Concurrent activities. The concurrent activities will be held in the following
disciplines.

i. DofE.

ii. STEM.

iii. Road Marching.


iv. The Cadet Experience.

v. RAF Engagement Team.

vi. ACO Risk Assessor’s Course.

vii. Radio.

18. Regional Air Cadet Council Meeting. A Regional Air Cadet Council Meeting
held on the afternoon of the W&W RAD. The members will visit the activities the
morning of the W&W RAD to experience the activities on offer to the cadets during the
event both competitions and concurrent activities.

19. W&W RAD Assembly.

a. At 0900hrs, ALL Wg Team Managers and Directing Staff are to


assemble in Building146, room 52 for the W&W RAD Team Manager’s
Brief which will be delivered by the ProjO and Sgt Nathan Disley.

b. Wg Team Managers must ensure their teams adhere to the published


timings for competitions and concurrent activities and report to the
respective stands at the published time.

20. Messing.

a. Lunch will be provided at RAF Cosford Props Mess for all attending the W&W
RAD. Staff will be on a Pay As You Dine basis.

b. No 1 and No2 Welsh Wgs will be issued with packed teas (based on numbers
provided on nominal rolls). Packed teas can be collected by the Wgs from the
Props Mess in the afternoon. No 3 Welsh Wg will be provided with a hot
evening meal in props mess.

c. Breakfast will not be provided for No2 Welsh Wg, Staffs Wg WMW and W&B
Wg.

d. Tea will not be provided for Staffs Wg, WMW and W&B Wg.

21. Competition Timings and Venues.

a. The W&W RAD Main Event list is listed at Annex B.


b. The W&W RAD Competitions and Concurrent Activities is listed at
Annex C.
c. The Event locations is listed at Annex D.
d. The Control Centre will be out of bounds to all staff, except for the
Delivery Team.

22. Social Media.

a. Wg Team Managers are to advise the RMCO of any cadets or staff who have
not given consent for photos taken on the day to be used on RAFAC Social
Media Platforms.
b. Staff and Cadets are encouraged to share their photos from the day by using
#WWRAD23.

23. Scoring System. The marking system for the events will be as in previous
years: 6 points for 1st position and so on to 1 point for 6th in each event. Only the
competitions held at W&W RAD are to be included in the overall scores for the day.

24. Final Parade and Presentations. Wg Teams will form up at 1545hrs on the
identified parade area in uniform under the control of WO Roberts (Region Warrant
Officer). They will assemble in a U formation (2 x 2 x 2). The presentation of trophies
will be carried out by the Rgnl Comdt and those selected by him. Medals will be
awarded to participating cadets in 1st, 2nd and 3rd places. The presentations will be
completed by 1630hrs.

25. Remuneration and Allowances. Volunteer Allowance and Travelling and


Subsistence Allowances are authorised for those who are eligible to claim them.
Shared transport should be organised wherever possible.

VIRTUAL DRONE FLYING COMPETITION RULES

1. Software to be used for the Virtual Drone flying competition will be Flowstate,
available here:

2. Each Wing Team is to consist of 4 Cadets (who must be of Senior Cadet


Classification or below in classification): All 4 will be granted the opportunity to fly the
Drone and support other members of the team.

3. Dress will be No.2 (Full) uniform.

4. Spectators are welcome but will not be allowed to participate in any way. A
viewing area will be constructed in order to facilitate this.

5. Drones will be timed circumnavigating a virtual racing course, containing


chicanes and a variety of other obstacles, which the drones will have to either avoid,
fly through, around or under. Timings and Laps completed will be used to allocate
scoring.

6. Extra bonus points will be awarded for successfully landing the drones inside
pre-positioned landing areas of a limited size and area, and these bonus points will be
converted into time reductions.

7. There will be practice time with unlimited attempts, and then 1 timed run per
cadet.

8. The Wg Team successfully achieving the shortest time (taking into account
bonus points and the appropriate time reductions) will be awarded 5 points and the
second fastest 4 points and so on towards the RAD activities.
