1. What tools and techniques do you use to plan project management, set deadlines, and assign tasks?
 Microsoft Project, Microsoft EPM
2. What metrics or key indicators do you use to continuously assess projects and ensure they meet
company standards and budgets?
 There are different metrics used to continuously assess projects and ensure their alignments
with company standards and budget. For example, Cost Performance Index (CPI, Schedule
Performance Index (SPI, and Earned Value (EV). Other metrics could be scope metrics,
quality metrics, resource utilizations, and customer satisfactions metrics. As per company
standards and policies, more metrics can be defined and applied to assess project
performance against company specific metrics.
3. Describe how you manage communication among different stakeholders, including the project team,
department leaders, and executives.
 Different stakeholders have different needs and requirements, this is why we start by
identifying all relevant stakeholders, including the project team, department leaders, and
executives. This includes internal and external stakeholders who have an interest in or are
affected by the project.
 Next we develop a comprehensive project communication plan that outlines who needs to
know what, when, and how.
 This communication management plan clearly defines objectives for each communication
and distill key messages tailored to the interest and concerns of each stakeholder group.
 Regular Meetings and Updates (Project Status Meetings)
 Hold regular meetings with the project team to ensure that everyone is on the same page
regarding project progress, challenges, and goals.
 For department leaders, provide periodic updates that focus on how the project aligns with
departmental objectives, and seek their input or feedback.

contributes to organizational goals and ROI.

4. Provide an example of a complex project you've managed and explain how you approached the

 The project was Setting up new PMO for a government entity
 Project Description:
o Building a new project management office for a government entity including
Mission and Objectives, defining the PMO Governance, PMO Charter and
Framework, Staffing and Training, Processes (for PMO operations and project
manager)
o Develop templates, guidelines, and tools for project planning, execution, and
monitoring.
o Create systems for resource allocation, tracking, and optimization to ensure projects
have the necessary resources.
o Develop a risk and issue management framework to identify, assess, and mitigate
project risks and challenges.
o Establish key performance indicators (KPIs) to measure project and program
performance.
o Implement reporting mechanisms for regular progress updates and performance
analysis.
o Establish mechanisms for internal and external audits of project management
practices.
o Implement a new project management software and tools to streamline project
tracking, reporting, and collaboration.
 Challenges
o Client’s Project Sponsor changed 3 times within the duration of the project (1 year),
this resulted in frequent changes, delays in deliverable approvals, and project
missing several deadlines.
o How I dealt with this challenge?
 Highlighting the impact of such changes to project objectives and deadlines
during weekly status meetings
 Raised High Risk, High Impact project risk to key stakeholders as part of the
risk management plan.
 Asked new sponsors to approve changes to project management plan to
reflect impact of new changes on project schedule, project budget, and
project scope.
o Resource Management Challenge
 Part of the project scope was to hire 10 PMO resources from local market to
fill in the different experiences needed to manage the PMO. Each resource
was tied to a certain salary budget provided by the client. I could hire 7
resources matching the allocated budget, but the remaining 3 resources
were of a senior level that either the local job market lacked or didn’t accept
the allocated salary budget as defined by client. The client refused to make
changes to those 3 resources.
o Challenge resolution
 In order to address this challenge, we brought on board the last 3 resources,
who had qualifications that fell short of the required experience level.
However, we simultaneously devised a training initiative aimed at filling the
knowledge and skill gaps. This training program was strategically planned to
run until the project's completion. This approach not only resulted in cost
savings for the client but also facilitated a smooth transition of the PMO to
the client as scheduled.
