1. Welcome
The information contained in this booklet is intended to help make your training experience as rewarding as
possible.

We in Global Learning & Development Organization are very proud of the learning that we provide to you. Our
learning centers try to incorporate the latest technologies along with professional Instructors utilizing the latest
techniques to support your learning experience.

2. Introduction
Welcome to the Xerox Ontario, CA Learning Center. We trust your visit with us will be both informative and
enjoyable. If we can assist you in anyway, please do not hesitate to ask us. We want your experience to
be memorable and personally rewarding.

Upon your return to your assignment, we are sure the information and knowledge gained here will benefit
both you and our customers.

4. Dress Code
Proper dress at the Learning Center has two major requirements: appearance and safety.

Appearance
Purpose: Dress, grooming, and personal cleanliness standards contribute to the
safety and morale of all employees and affect the business image Xerox
presents to customers and visitors.
Definition: During business hours or when representing Xerox, you are expected to
present a clean, neat, and tasteful appearance. You should dress and
groom yourself according to the requirements of your position and accepted
social standards.
Overview: Consult your Manager if you have questions as to what constitutes
appropriate appearance. The following personal appearance guidelines
should be followed:

• Mustaches and beards must be clean, well- trimmed, and neat.


• Extreme hairstyles should be avoided; they do not present an appropriate professional
appearance.
◼ Hair should be arranged in a style that will prevent it from coming in contact
with moving parts of the machine. If this cannot be done, headbands or
hairnets must be worn.
• Offensive body odor and poor personal hygiene are not acceptable.
• Jewelry should not be functionally restrictive, dangerous to job performance, or
excessive.
◼ Rings, metal watch bands, metal bracelets, necklaces, lockets on chains and
similar jewelry should be removed prior to servicing the equipment. These
may come in contact with electrical components resulting in electrical shock
and burns and may become caught in moving parts.
• Offensive tattoos/body art must remain covered during business hours.

Please review the following broad parameters of what is considered professional and appropriate business casual
dress. Acceptable dress at the Learning Center is business casual. This means you should be comfortable but look
professional. Acceptable dress includes dress shoes for both men and women. Shirts with collars and dress slacks
are required for the men. Pantsuits, skirts/slacks, sweater/blouse combinations are required for the women.
Note: This means NO tee shirts, blue jeans, athletic shoes, sweat suits, shorts or pants with outside
patch style pockets for anyone.

Safety
Each student has the obligation to dress in a manner that will provide safety in working with machinery and
tools. Open toe shoes do not meet safety requirements and are not acceptable. Long hair should be pulled
back etc.
5. What to Bring
Please use the following list as a guide in preparing for your stay at the Learning Center:
• If required: COVID-19 Related items, Face coverings, hand
sanitizer, disinfecting wipes, gloves etc. (But will be
provided, if needed)
• Laptop Computer including external accessories.
• Xerox ID Badge. – If Xerox Employee. (Must be worn at all times in Xerox
Facility/Learning Center)
• Cash/Credit Card.
• Appropriate Clothing. (See Dress Code)
• Medications, if required.

6. Overtime
Overtime will be avoided but may be required in order to complete the course in the allotted number of days.
(Rare) This will be determined and negotiated between you and your manager if required.

7. Indirect Service Provider Travel


Indirect Service Providers

ASP: (Authorized Service Provider) The ASP Companies and/or ASP people are responsible for all
ASP Worker training travel related reservations and expenses, including air/mileage, hotel and meals.
The ASP companies are responsible for ensuring that the ASP employee has the funding resources
required to cover expenses at the time of training. Xerox will provide ASP companies with the preferred
hotels in the area where travel will occur.

Contract Worker: Staffing Agencies and/or Contract Workers are responsible for all XTS Contract
Worker training travel related reservations and expenses, including air/mileage, hotel and meals. The
agency is responsible for ensuring that the Contract Worker has the funding resources required to
cover expenses at the time of training. For now, hiring managers should provide Contract Workers
with the preferred hotels in the area where travel will occur. This can be obtained by using Concur or
from the instructor at the learning center.
8. Xerox Direct Employee Travel
Information in this section will assist you if you are arriving by plane or by car.

Automobile Travel
Go to Google Maps: www.google.com/maps etc. for driving directions from your starting location to the
Hotel and Learning Center. A map is provided in this booklet showing the locations of the hotel and the
Ontario, CA Learning Center

Air Travel
Xerox Employees Only
TSR’s will book their own hotel and air travel using the Xerox CONCUR site: HERE

The following airport code serves the Ontario, CA Learning Center:

Arrival Flight: Please plan to arrive the day before class start date.
Return Flight: Do not schedule flight until 2 hours after class end time (reference confirmation email class
end time). If there are no departing flights after this time, please book the first flight for the following day. Note:
When the travel site offers you a lower cost flight option, please ensure that the return flight is at least 2 hours
after the course end time. Not all lower cost flight options offered to you will be after the class end time.
Please contact us about any flight arrival/departure questions.
9. Hotel & Local Travel

Indirect Service Providers, (Dealers & Authorized Service providers etc), may also use the same
negotiated Xerox rate. Request rate when making reservations with the hotels.

Hotel Transportation

Currently Xerox recommends obtaining a rental car from the arrival airport for your
transportation needs. (See below)
“A rental car is preferred to eliminate your exposure to a taxi or direct hire driver.
Reserve individual rental cars for travel to, or upon arrival at, your destination. Avoid shuttle service
to your hotel, if possible.
If unvaccinated, do not share a vehicle with other people (other than those in your own household).
Fully vaccinated employees may share vehicles
At the airport, choose a rental car carrier that has on-site vehicles.”

Free shuttle service, (or a ½ to 1 mile walk, depending on terminal), is provided for rental car
customers between the Ontario passenger terminals and the Rental Car Center, where the on-
airport rental car counters are located.. The center is located at 3450 East Airport Drive, Ontario, CA
91761, near Haven Avenue.

If not renting a vehicle, currently the hotels do not have shuttles to or from the Airport. Please
arrange transportation through a taxi service or ride service such as Uber or Lyft. Uber or Lyft
pickups are on the West side of the terminal. (To the left, walking out from baggage claim). Taxis are
on the East side of the terminal. (To the right, when leaving baggage claim). You will also have to
arrange transportation through a taxi service or ride service such as Uber or Lyft, to and from
the Learning Center each day.

10. After Hours Emergencies


Requiring You to Go Home and/or Leave the Hotel
In the event of an emergency:
• Notify your instructor at your earliest convenience or the next business day.
• Notify your manager.
• Notify the hotel of your departure
Medical Aid
The local emergency system number is 911. Contact 911 for after-hours emergency medical care.

For emergencies within the Learning Center notify your instructor. A medical emergency response team
will be summoned if required. First aid kits are located in each Learning Center.

11. Facilities
Hours of Operation
The normal workday begins at 7:30 AM and ends at 4:30 PM. During orientation on the first day of
class, the instructor will communicate break and lunch schedules.
Everyone is expected to be in class on time every day. If you are going to be unavoidably
late, call the Ontario Learning Center at:

Smoking Policy
Smoking is not permitted anywhere in the training facility. This restriction is in compliance with Xerox policy
effective April 1, 1993, prohibiting smoking in any Xerox facility. Smoking is allowed outside, with at least
25ft from any entrance or opening. (Normally on the East side of the building)

Security
Direct employees, Xerox identification badge should be worn in all Xerox facilities if available. Please
practice proper security with regard to documentation, keeping in mind that it is Xerox private data. Be
aware that non-Xerox visitors may be on site.

Illegal Drugs
In accordance with the Xerox Alcohol and Drug Misuse Policy, illegal substances are strictly forbidden at the
Learning Center.
12. Expenses
Use the following guidelines for expenses. Only business-related expenses will be reimbursed.

Expense Report
All students will be required to complete an expense report through Concur for all legitimate business
expenses incurred.

Dry Cleaning / Laundry


Laundry and dry cleaning are allowable for a trip longer than five days. Only laundry and dry-cleaning
incurred during a business trip are reimbursable. Expenses incurred before or after the trip are not
reimbursable. The approving manager has the responsibility to ensure reasonableness.

Hotel
Hotel scheduling & expense will be the responsibility of the student. Direct Xerox employees, please
utilize the Concur system for further details.

Telephone Calls
ALL calls are your responsibility.

Meals
XEROX EMPLOYEES ONLY: Reimbursement for meals for employees on travel status will be the actual
meal expense incurred, per your manager’s guidelines. Meal expenses are not reimbursable for one-day
travel unless employees work 10+ hours, whereby dinner expenses may be reimbursable.

All meals are to be expensed through Concur and should follow local operations guidelines. Contact your
manager if further information is required

Non-Reimbursable Expenses
Business expenses are those necessitated by the trip and incurred by the employee while away from
home. Personal expenses are those not directly connected with conducting business on the trip and are
non-reimbursable.
