TRACER’S STUDY

REGISTRAR: ADMISSION

In Philippine schools, the registrar's role in admissions is important for many reasons.

They're the ones who handle everything to do with students applying to join. That means they

carefully collect, organize, and check all the documents to make sure applicants fit what the

school is looking for. Plus, they're in charge of keeping all the student records up to date,

including personal info and grades. This helps the school run smoothly and keeps everything on

track for the students.

On top of that, the registrar makes sure that the school follows all the rules set by the

government and the school itself. They pay close attention to deadlines, requirements, and what

the Department of Education and Commision on Higher Education’s rules. The whole process of

getting into a school in the Philippines goes step by step: students send in their applications by

certain dates, the registrar checks to see if they're a good fit, successful students get told they

can come, and then the registrar helps them finish up all the paperwork and payments to get

started.

The registrar's job is essential for a student's journey in the school. They make sure the right

students get in, keep all the records straight, and follow the rules set by the education

authorities. This helps the school work well and makes sure everyone gets a fair shot at joining.
At Siena College of San Jose, the Registrar's role in admissions holds significant

importance as it manages the acceptance of students and organizes their personal data. The

Registrar plays a pivotal role within the school's framework. However, it raises the question: is

this perception shared among alumni, junior, and senior college students? This study aims to

explore the perspectives of individuals within these categories to discern their perceptions of

the Registrar's significance within the institution.

Objectives of this study:

● Find out what students think about the registrar's job. Ask if they know what the registrar

does for school admissions and how important they think it is.

● See how people think the registrar affects getting into school and how the school works.

Ask how crucial they think the registrar is for a smooth admissions process and if

they've seen the registrar's work making things better or worse.

● Learn about students' experiences with the registrar's office during admissions. Ask how

happy they were with the help they got and if they faced any problems.

● Check if students think the registrar follows government rules and how good they are at

handling admission tasks. Ask if they believe the registrar follows the rules set by the

Commission on Higher Education and how well the registrar's office handles admission

paperwork.
● Get suggestions for making the registrar's job in admissions better. Ask what changes

people would suggest to make the admission process smoother and if there are any

extra things they wish the registrar's office did during admissions.

Summarization of Data

The information gathered includes thoughts and opinions from alumni, junior and senior college

students in different academic programs, like BSBA-MM, BSED, and BSHM. These students,

aged between 20 and 28, encompassing both genders, shared detailed opinions on how the
registrar's involvement impacts school admissions. While most agreed the registrar is

important, views differed on how much they directly affect the admissions process. Some faced

challenges when dealing with the registrar's office, leading to varied assessments of how well

they follow government rules and ethical guidelines in admissions. While some praised the

office's efficiency with paperwork, others suggested improvements. However, most recognized

the registrar's crucial role in keeping the school running smoothly. Suggestions for improvement

included being more patient with inquiries, providing friendlier service, and offering extra

services for smoother admissions. In summary, the feedback highlighted both positive aspects

and areas needing improvement in the registrar's office and its role in admissions.

Recommendations

Recognizing how crucial the registrar's role is in running the institution, the feedback pointed out

ways to make things better. Suggestions included being more patient and friendly when

students ask questions, making the admission process clearer and more open, and thinking

about new services to make admissions smoother. While the office was praised for working

efficiently with paperwork, there were ideas about using technology more to improve how things

are done.

One big suggestion was to make sure the office follows all the rules and guidelines when

admitting students. It was also important to create a caring atmosphere in the office,

understanding the difficulties students might face during admissions.

Lastly, the feedback stressed the importance of having a way for students to regularly share

their experiences with the registrar's office. This would help find and fix problems, making the

office better and making students happier and satisfied during the admissions process.

Conclusion and Personal Reflection

After gathering opinions from alumni and current junior and senior students at Siena College of

San Jose, it became clear that the Registrar holds a crucial role in the admissions process.

Many participants highlighted the Registrar's careful handling of student applications and

records, emphasizing their responsibility in meeting government and educational rules. They

described a step-by-step process: students apply, the Registrar assesses, successful applicants

are informed, and the Registrar assists with paperwork and payments. Overall, the data showed

a shared understanding of the Registrar's essential role in ensuring a fair and organized

admission process at the college.

Reflecting on this research, it's evident that the Registrar's duties go beyond administrative

tasks. They play an important role in maintaining the institution's credibility and fairness in

admissions. This study has deepened my appreciation for their efforts in guiding students into

the college transparently, laying the foundation for their educational journey.
