Subject: Request for Quotation – Rank C PMS of 2-units 500 kVA Diesel Generator

Dear Sir,

I am writing on behalf of Northwest Samar State University to request a quotation for the Rank C
Preventive Maintenance Service (PMS) of our diesel generator.

Our institution relies on the consistent performance of our diesel generator to ensure uninterrupted
power supply during critical operations. To maintain the reliability and efficiency of our equipment, we
recognize the importance of regular maintenance and servicing.

We are interested in procuring your services for a comprehensive Rank C PMS, which should include but
not be limited to:

1. Initial Start-up / Checking

2. Test run before inspection
3. Walk around inspection (check leaks, loose bolts, etc.)
4. Inspection of general bolts, nuts, rubber seat of fuel lines.
5. Check radiator coolant level.
6. Inspect radiator (check rust / deposit)
7. Check oil level
8. Check fuel tank level
9. Inspect damper for leaks / cracks
10. Inspect vibro-isolator and foundation bolts
11. Check battery voltage / charger output current
12. Check battery terminals
13. Drain water / sediments at fuel tank
14. Drain the fuel from tank for no dilution nor sediment
15. Check / change water separator (item available at site)
16. Check fuel strainer
17. Inspect fuel injection timing
18. Check / adjust alternator belt
19. Clean / change air cleaner
20. Inspect / adjust fan belt
21. Inspect fan drive / adjust screw
22. Inspect / adjust valve clearance
23. Change lubrication oil
24. Inspect oil strainer and bolt
25. Change fuel filter (filter available at site)
26. Change oil filter (filter available at site)
27. Clean radiator fins by pressurized air/water
28. Inspect / adjust injection nozzle
29. Inspect fuel injection nozzle set screw
30. Inspect / change cooling water/coolant
31. Check/change o-ring rocker cover
 32. Test run after maintenance
33. Visual check oil condition
34. Clean nearby surroundings
35. Check smoke (exhaust pipe & breather, noise, and vibration)

We kindly request a detailed breakdown of the costs involved, including labor, parts, and any additional
expenses. Additionally, please provide information regarding the timeline for scheduling the service and
any terms and conditions associated with the maintenance contract.
