The Vuna Leadership Academy (VUNA LA) Agreement

This acceptance agreement signifies a contract between the Vuna Leadership Academy for Leadership
Development Training and the student. The period of the contract shall be from April to December
2024.

Terms & Conditions


1. Scope of Work

• VUNA LA will provide leadership development training premised on experiential peer-to-peer


learning.
2. Enrolment and Term

• The student acknowledges that this agreement shall only come into force once the terms and
conditions are duly completed and signed and accepted by the Management of VUNA LA.
• The student shall be provided with a copy of his/her enrolment contract reflecting the student
number, which the student acknowledges evidences his/her enrolment with VUNA LA.
• Enrolment in a programme shall be for the duration of the year of the programme for which the
student has registered, unless modified by the mutual written agreement of the parties.
3. Conditions of Participation in the Leadership Academy

• All participants should be full-time registered students of the Durban University of Technology
and must have no criminal record or disciplinary record at DUT or any other university.

• Should the student be guilty of any disciplinary infractions after having been accepted into the
academy, the student will be excluded from further participation.

• To be deemed to have successfully completed participation in the academy, the student is


expected to attend a minimum of 75% of the compulsory sessions.

• All students are to keep a journal that they will submit together with portfolio of evidence at the
end of the session on a date that will be determined by VUNA LA.
4. Conditions of Participation in Community Engagement

• Students will need to participate in all relevant trainings by/for community engagement.
• Students will need to model professional, ethical and appropriate behavior when working with
community, and when at a community site.
• Students will need to meet the goals of the community engagement project (and the related co-
curricular program in which the student is a participant, if applicable).
• Student will need to be dressed in university branded regalia whenever in community engagement.
• Students will need to fulfil the specific scope of duties, as identified and mutually agreed upon by
the VUNA LA, students and community.

• Unless prohibited, students may take photographs, make videos, or make recordings of the activity
and site.
• When taking photos or videos students may not capture images of people other than willing
participants.
• Students may not take photos calculated to portray others in compromised situations or
humiliating circumstances or in poor taste.
• Students agree that no community member, student or any participant will be subjected to any
form of harassment, discrimination, or abusive conduct during the community engagements.
• For co-designing and co-facilitation/co-implementation of projects, the VUNA LA staff will approve
the process if it is in line with the objectives of the academy.

5. Methods

• VUNA LA shall determine the methods, details, and means of providing the above-referenced
services in consultation with students and provide the necessary personnel and resources to
perform all phases of the work.
• The VUNA LA will create statements of work for each specific project/engagement.
• Materials provided to participants will vary based on the specific training program. In most
programs, participants will be provided with two types of materials:
• Materials to guide their learning during the program.
• Resources and tools that participants will be able to use in their activity/ program.
• Being mindful of not jeopardising the quality and impact of a participant’s experience in trainings,
there may be circumstances when a class size may be smaller/bigger. The same will apply for
community engagement projects.
• All tools, materials, equipment, etc belong to the VUNA LA and must be returned accordingly
after the session.
6. Coordination

• A Coordinator in the Student Governance and Development Department will be assigned for

7. Payment and Expenses

• VUNA LA will also either provide or pay for all training space for work delivered, including
equipment and supplies necessary for all training sessions, including furniture, flip charts, markers,
easels and AV equipment and transport.
• VUNA LA acknowledges that costs for the large group training may include additional facilitators,
travel, lodging, meals, materials, etc.
• Whilst VUNA LA commits to cover the costs of the program, participants may be expected to
contribute or raise funds for some elements of the program.
8. Breach and Termination

• This agreement may be terminated by written notice by either Party with a reasonable notice.
• In the event of the student committing a material breach, including but not limited to, dishonesty,
violence, drugs, etc, VUNA LA shall be entitled at its sole discretion without prejudice to any of
its other rights in law, either:
• To cancel this Agreement forthwith; and/or
• Claim and recover damages from the student.
9. Intellectual Property

• Students are not allowed to license, assign rights of VUNA LA property to themselves or
others, or otherwise transfer any of the materials created by VUNA LA or owned by VUNA
LA to any third person or entity.
• Students agrees to be recorded and their pictures captured for the purposes of evidence of
participation. Pictures and videos taken during the academy activities may be used for
marketing and all other activities the VUNA LA deems fit.

10. Confidentiality

• In the course of leadership development training, VUNA LA and its employees may be given
access to certain documents and other materials, including confidential information not
otherwise available to the general public. Student agrees not to disclose such confidential
information to anyone outside of VUNA LA, unless disclosure to VUNA LA own consultants.
• In the case of research, the standard of confidentiality shall be consistent with the standards
set out by DUT Research Office.
• In the case of community engagement, a special care shall be taken to ensure ethical
engagement, community respect, informed consent, and avoidance of abuse of power by
VUNA LA participants.
• VUNA LA sessions are safe spaces.
• Students agree that all the confidential discussions during sessions will remain confidential.
• Videos, texts or any information of VUNA LA may not be shared with unauthorised parties.
11. Disputes

• If a dispute arises, it shall be handled by Manager Student Governance and Development. The
student will write to the VUNA LA Coordinator on vuna@dut.ac.za.

12. Frequency of meetings and attendance

Meetings

• The frequency of meetings shall be determined by the VUNA LA.


• VUNA LA shall have the right in its sole discretion, to postpone or cancel any programme
initially advertised and offered, on the basis of feasibility and or any other conditions
surrounding the session or activity.
• Moreover, VUNA LA shall evaluate alternative resolutions in a timely manner thereafter, and
agree upon a course of action that best achieves the Project’s overall goals, scope of work and
deliverables.

Attendance

• The right to attend sessions and community engagements is not transferable. Accordingly,
the students shall attend at least 75% of all compulsory sessions.
• Any attendance registers must be signed by the student himself/herself and under no
circumstances will any other person be authorised to sign attendance for any student.

Distance/Online Programmes
• For the distance mode of delivery, students will require their own access to data and devices
to access study content.

Contact Programmes

• For the contact mode of delivery, students will require their own transport unless
otherwise, the session is outside DUT premises or is not easily accessible.

13. Plagiarism

• The student understands that submission of any work should be the intellectual work of the
student. Should submission of any work not be that of the student, it will constitute fraud,
which may result in the expulsion of the student.

14.General

• All assessments, Portfolios of Evidence (PoE’s), assignments and/or any other submissions
must be submitted by way of email, or a provided platform or by hand delivery at a specified
venue.
• The student accepts, that as part of the assessment of the programme, the student must fulfil
certain academic requirements, which may include (but are not limited to) the completion
and/or sign-off of a Portfolio of Evidence (PoE) or other forms of assessment.
• The students undertakes that he/she shall have no right of claim against VUNA LA in respect
of the intellectual property at any time during or after his/her enrolment with VUNA LA.
• The student who has not fulfilled the compulsory activities, attendance and assessments shall
be excluded from participation in the awards ceremony.
• VUNA LA reserves the right to exclude a student should the student be in violation of its
values.
• VUNA LA shall be entitled to reject the student’s application should it deems fit.
• The student hereby authorises VUNA LA or any other authorised DUT official to use, review
and process any personal information provided to VUNA LA and to use same in the manner
that VUNA LA sees fit.
15. Rules and Regulations

• The student by his/her signature hereto hereby acknowledges that he/she has read and agrees
to abide by all the rules and regulations of DUT and acknowledges that he/she can be
disciplined in terms thereof.
