I. Introduction
This Standard Operating Procedure (SOP) outlines the steps to be followed by the
drugstore staff in the event of a brownout (power outage). The purpose is to ensure
the continuity of operations and minimize disruptions to customer service during such
incidents.
This SOP applies to all drugstore employees and covers the actions to be taken during
a brownout at the drugstore premises.
This SOP complies with all relevant local regulations and standards related to
emergency preparedness and business continuity.
II. Responsibilities
2.1. Owner/Manager
The owner/manager is responsible for overseeing the implementation of this SOP and
ensuring that all necessary resources are available to execute the brownout
contingency plan. They will also designate a point of contact for communication and
decision-making during the brownout.
2.2. Pharmacist
The pharmacist on duty is responsible for coordinating with the pharmacy assistant
and other staff to ensure the safe storage and handling of medications during the
brownout. They will also communicate with customers regarding any temporary
changes to operations and assist with the necessary documentation.
The pharmacy assistant will assist the pharmacist in implementing the brownout
contingency plan. They will help ensure the availability and accessibility of essential
supplies, assist with manual transactions if needed, and maintain communication with
the pharmacist and other staff members.
III. Procedure
III.1. Brownout Alert: When a brownout occurs, the designated point of contact will
immediately notify all staff members and alert them about the situation. The point of
contact will also monitor updates from the power provider regarding the estimated
duration of the brownout.
III.2. Secure Medications: The pharmacist, along with the pharmacy assistant, will
promptly ensure the safe storage and temperature control of all medications. They
will check and verify the functionality of backup power sources for critical equipment
like refrigerators.
III.3. Emergency Lighting: Ensure that emergency lighting systems are functional, allowing
for adequate illumination in essential areas of the drugstore.
III.4. Communication with Customers: Inform customers about the brownout situation,
any changes to operating hours, and any limitations on services. Provide alternative
solutions or referrals if necessary. Display visible signs or notices at the entrance and
other appropriate areas to communicate the information.
III.5. Manual Transaction Handling: In the event of an electronic payment system failure,
the pharmacy assistant will be responsible for handling manual transactions. They
will maintain proper records and ensure accuracy in all manual transactions,
following existing protocols.
III.6. Document Contingency Actions: The pharmacist and pharmacy assistant will
document all contingency actions taken during the brownout period. This includes
any changes in operations, communication with customers, and manual transaction
details. These records will be retained for future reference and reporting purposes.
III.7. Power Restoration: Once the power is restored, the pharmacist and pharmacy
assistant will verify the stability of the power supply and ensure that all equipment is
functioning correctly. They will also inform customers about the resumption of
normal operations and any further updates if necessary.
III.8. Review and Continuous Improvement: Regularly review and update this SOP as
needed to incorporate lessons learned from brownout incidents. Seek feedback from
staff members to identify areas for improvement and implement necessary changes to
enhance the effectiveness of the contingency plan.
