Description of Business Letters

Two page letter

A two-page business letter is a formal letter from one person within a company, or a representative from a

company to another company or individual. Just as with a one-page business letter, two-page business

letters are designed to inform or instruct the reader.

Circular letter

A circular letter is a type of communication that is sent to a large group of recipients, typically within an

organization or company. It is usually used to convey information, updates, announcements, or requests in

a uniform and consistent manner to all recipients. Circular letters are often standardized and contain the

same message for all recipients.

Vacation Employment Programme

With reference to your application for employment during the summer vacation, we are delighted to offer
you position in our vacation employment programme ,as a trainee in the purchasing Department at our
Central Office for the period Monday, August 14,2023 to Friday, August 29, 2023.

You will report to the purchasing Officer or to the person he/she may assign to supervise you during your
training period.

The terms and condition of your employment are as stated below

Hours of work

The hours of work will be from 8.00 a.ma to 4.00 p.m. Mondays through Fridays with one hour off for
lunch

Attendance

You will required to sign an attendance Register upon arrival and on departure from duty in the
department to which you are assigned. A company’s Identification card will be supplied to you for
identification purposed only. At the end of your training period, you will be required to return the ID card
to the purchasing officer on your supervision

Allowance

You will be paid a stipend $2,000.00 per month during you training period. Deductions
For income tax and National Insurance contribution will be taken out from your earnings.

Absences

You are encouraged to report to work every day so as to gain the full benefit of the training if. You have to
be absent for any reason, please inform your department manager [or the person supervising your training]
in advance or call in the morning on the day you will be absent. Should you be absent for more than three
consecutive days, you will be required to supply a medical certificate.

Notice of Termination

Termination of services by you or the company may be come effective with at least four days’ notice by
either party. In the case when you are dismissed for one reason or another, our services will be terminated
without notice and without remuneration other than for earning which you would have already worked for
and not paid up to the time of your employment ended.

If you accept this offer, we shall be grateful if you would sign and return the attached acceptance from
signifying your acceptance of the terms and condition.

MEETINGS

A meeting is a formal or informal oral channel of communication among people on a specific topic or issue.

FORMAL MEETING

A Formal Meeting is convened and conducted according to Standing Orders and committee procedures. Minutes

may be prepared.

INFORMAL MEETING

An Informal Meeting is conducted at a short notice orally or by an informal written notice. It is conducted in an

informal manner.

KINDS OF FORMAL MEETING

Ordinary General Meeting is held at regular intervals to report to members on its activities.

Extra Ordinary General Meeting is held when the need arises to discuss with members any special or urgent bus.

Committee Meeting is held periodically so the committee members’ may discuss activities of the organization and

give advice or make recommendations to management.

Board Meeting is held when the need arises so the members of the board may discuss any bus of the organization.

Annual General Meeting is held once a year to present annual reports and financial statements, to have elections, to

approve remunerations of officers and decide on future plans.
