Job Title: Executive Assistant.

Location: Nairobi.
Reporting to: CEO.
Industry: Travel and tours.

About the role

The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, and
executive team and managing the organization’s office operations, including supporting our remote
business development and marketing team. This dynamic position requires the ability to anticipate
needs, think critically, and offer solutions to problems with a high level of professionalism and
confidentiality.

Executive Assistant responsibilities:

 Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while
troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day
engagements.
 Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively
lead the organization, including: assisting with special projects; designing and producing
complex documents, reports, and presentations; collecting and preparing information for
meetings with staff and outside parties; composing and preparing correspondence; maintaining
contact lists; making travel arrangements; and completing expense and mileage reports.
 Work closely with the CEO to keep them well informed of upcoming commitments and
responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues
taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in
advance of meetings, conferences, etc.
 Coordinate all Team meetings and retreats and assist with staff meetings and events as needed.
 Provide event management support as requested.
 Support weekly project meetings by taking minutes and following up on agreed actions.
 Participate in client discovery calls, taking notes and liaising with the product team in timely
development of proposals.
 Maintaining client activities in a CRM.
 Social media management and co-ordinating strategic content creation.
 Deputizing the CEO in leading tour groups when necessary.
 Staff leave management.
 Staff will be expected to be flexible and help out with anything else that needs doing to ensure
the success of the business.
Competencies (Required):

 Excellent written and spoken English.


 Attention to detail is critical.
 High degree of professionalism in dealing with diverse groups of people.
 Proficient in Microsoft Office (Word, Excel and Powerpoint).
 Proficient with project management and CRM tools.
 Excellent communication and interpersonal skills.
 Ability to react with appropriate levels of urgency to situations and events that require quick
response or turnaround.
 Able to maintain a high level of integrity and discretion in handling confidential information.
 Excellent judgment is essential.
 Ability to switch gears at a moment’s notice.
 A university degree or college diploma is mandatory.
 Research skills and ability to complete high volume of tasks and projects with little or no
guidance.
 Project management skills (project management certification is an added advantage).
 Minimum 2 years’ experience in a similar role in executive support.
