VT Wealth Management sought an integrated solution for their CRM needs and a streamlined Wealth Management-specific Client Onboarding process. Replacing the existing system without sacrificing functionality was paramount to success, and further enhanced by the adaption of the best practice solution to their individual process. Adaptation, integration, and migration needed to be done within less than 3 months. The ability to make small changes in process or the user interface internally, with very little effort, was essential.

Visual Processes and Business Rules are a perfect pair. The process guides the user through the opening. Rules ensure bank policies are observed, validate data entries and perform form filling for high efficiency, data quality and fluidity.

The solution lets VTWM manage their clients entire life cycle within one system. Users are provided with a single, visually appealing, web-based front end. They can manage contacts, prospects, and clients in the operational CRM and get a 360 Degree client overview. All participants experience a fluid client onboarding, as they are guided through the highly automated and standardized process. All services and account types are included in the process, including Wealth Management specifics for discretionary mandates such as selecting and managing custodians, or applying various types of fees. The system requests only required information, and auto-fills the opening forms, dynamically requesting electronic approvals. The integration of KYC, name matching and a full change history further reduces the need to change between different systems and gives compliance and audit appropriate access for their tasks.

The Wealth Manager has gained the ability to manage customers in-house, within one system and a 360 degree client overview. Having only one system for client management has reduced IT complexity and maintenance effort significantly. High user acceptance has been achieved by staying true to the previously existing process while simplifying its handling. The new, highly automated, client onboarding process saves a lot of time and ensures customer data quality and compliance. Whereas previously approvals were manual and paper-based, now they are performed electronically, both formalizing the opening and providing management with more control at the same time. The solution ensures that the companies policies and access rights are automatically adhered to. Teams can work together more effectively by having a complete overview of all of their clients and management sees the status of all openings, offering greater transparency.
