Preparing for a Presentation

There are two secrets to deliver a good


presentation:

Practice

Take time to prepare properly and your chances


of success will increase enormously.

Know Your Audience
 Find out as much as you can about who will be attending
your presentation.
– The expected size of the audience.
– The average age of the audience.
– The ratio of males to females in the audience.
– Is the audience well informed about the subject?
– Has the audience chosen or being asked to attend?
– What prejudices does the audience hold?
– What is the cultural make up of the audience?

Defining Your Purpose

 What you intend to tell your audience?


 How best to communicate your message?
 Your presentation should be relevant, simple
and to the point.
 Your audience will be impressed by the depth
and breadth of your knowledge.

Clarifying Objectives

Before you prepare for a presentation, it is


important that you think about your objectives:
 Structure your speech around three or four main
points.
 Keep the audience interested by including a few
relevant anecdotes.
 Make sure you deliver the main concepts of
your presentation clearly.
 Summarize your main points in one sentence.

Finding Material

This requires imitative and hard work and this can


be time consuming.

Allocate sufficient time for your research, and


explore as many sources as possible, from paper
cuttings to the internet.

Structuring Material

 Decide how many points you intend to make in


your presentation.
 Do not change the tone of your voice to often;
this can sound false.
 Make sure that your presentation ends on a
strong positive point.

Writing a Presentation

 Be particular about what you include in the presentation.


 Find different ways for expressing the same idea.
 Make sure the written structure of your presentation is not
too complex, or it may be confusing.
 Print your speech on one side of the page only, and use a
large typeface.
 Always number the pages of a full written speech.
 Make notes on firm paper or index card.

Using Audio Visual Aids

 Audio Visual Aids are used to illustrate difficult


concepts more easily than words. Never be
tempted to use them unnecessarily.
 Always rehearse your presentation using your
chosen audio- visual aid.
 Pause when you first ask your audience to look
at a visual aid.
 Take duplicates of all audio- visual materials
that you know you cannot do without in your
speech.

Rehearsing
 It is a vital part for preparing a successful
presentation.
 Practice with your AV aids and allow time for
questions at the end.
 Practice speaking clearly both in normal tones
and at a volume.
 Vary the pace of your speech and decide which
pace is most effective.

Knowing Your Venue

If possible:
 Assess all details of a venue
(no matter how much minor they appear)
 Decide on positioning of any visual aids well in
advance.
 Plan in advance how you will make your entry
and exit.
 Check the Venue’s Audio-Visual Facilities.

Dealing with Logistics

Find out:
– Who will be organizing the event?
– How will you be traveling?
– What size and shape is the room?
– What equipment will be available?
– Who will be speaking before you?
– Who will be introducing you?
