What is report writing?

• The definition of report writing is creating an account or statement


that describes in detail an event, situation or occurrence, usually as
the result of observation or inquiry. 

• Two most common forms of report writing are news report writing
and factual report writing.
• Report writing is different from other forms of writing because it only
includes facts, not the opinion or judgment of the writer.
Its is short writing of 150-words to 200 words

• Report writing is a brief account of Event that has already been taken
place so it should be in past tense. It is a first hand information
gathered by a person who is reporting the facts accurate and true
based on rational thinking ,coherence (logical) and justification .
So what ever you are writing in report should be true and justified .
• It is a descriptive writing of an event or incident where you give answers to what,
where, when, how and why questions. At the end, you give a brief conclusion .
• What- what was the event about ?
• Where- where did it happen ? Try to give an exact location .
• when- mention the specific date and time of the beginning of that even including
its duration.
• How- Describe each detail of the event . It's an descriptive writing, you should
include the minute details as well.
• Why-For what purpose did the event occur ? The purpose should be specified.
• And then end with a brief conclusion by telling if it was a successful event or not
and what impact it had.
Tips
• Information should be collected from the people affected by the
event to make it more realistic logical.

Format of Report writing
• Title/Heading
Name of correspondent /if no name then write staff reporter

• On the left side-begin first sentence give details like


what/when/where/who /etc.

Give quoted comments and opinion of people involved
Para I Brief details of the place/cause//effects/guests
Para III Main steps /activities /people involved
Para IV Promises by authorities /statement of the people
Ending with a concluding statement like promises to prevent such incidents
.statement of the people regarding incidents.

New delhi January 10: A major fire due to Cylinder Blast in roadside market,
broke out in chandni chowk area on Sunday evening at 7:15
The impact of the blast was so powerful that roof of the building ripped apart
killing 10 people on the spot .Another ten succumbed to injuries ,the condition of
50 injured people is critical and their have been admitted to Ganga hospital Delhi
government has announced a relief of fifty thousand rupees to kin of those who
killed and thirty thousand each to those injured.
A probe (examine) has been initiated by the Chief judicial Magistrate vk.singh.

Event report writing on farewell party
• Bikaner April 1, 2017:This was the mantra for the day and the wish of the hour as it was, “The Hasta
La Vista” Farewell party of the very first batch of RNBGU (MBA IV SEM.) The campus was abuzz for
quite some time and the excitement for this day grew. But such days always come with mixed
feelings and this was no different. While we RNBian’s are happy for our pioneering batch we are also
sad as they leave us now. Todays program started with the ceremonial ribbon cutting by the students
of MBA 4th semester as the MBA II Sem. warmly welcomed them by the Tilak ceremony. The event
was hosted Nikita Soni and Divyaraj Singh Rathore. After a witty and cheerful welcome, Kamakshi
gave a song performance. Now it was time for some fun filled games. The first one was “Mittens and
More” the participants struggled to open gifts with gloved hands. The next one was called,
“wrapped” in this the girls had to drape their boy partner in a saree. Deeksha Bhura won the first
event while Shubham Phugalia looked dapper in a saree. The last game was, “Marbles fun” where
the participants had to dunk their faces in a bowl full of biscuit pieces and try and find 5 candies.
Sachin Sarda did a fine job and won this game. To make the event even more upbeat, there were two
dance performances one was a FLASH MOB dance and the other was by the very stylish and
talented, “AJ STYLE’ group. Towards the end seniors were given a token of remembrance in the form
of a 'Mementos' with a title for each one of them and their hand prints were taken on a large board
reminding us all, that they came as strangers and leave us as friends. Every student participated and
contributed towards the success of the event for their seniors. On this day the entire RNBGU family
wishes each one of our outgoing students a sparkling career and an equally spectacular life ahead.
Types of Report
• There are 7 types of report.

• The types are: 1. Formal or Informal Reports 


• 2. Short or Long Reports
•  3. Informational or Analytical Reports 
• 4. Proposal Report 
• 5. Vertical or Lateral Reports 
• 6. Internal or External Reports 
• 7. Periodic Reports 8. Functional Reports.
• Type # 1. Formal or Informal Reports:
• Formal reports are carefully structured; they stress objectivity and
organization, contain much detail, and are written in a style that tends
to eliminate such elements as personal pronouns. Informal reports
are usually short messages with natural, casual use of language. The
internal memorandum can generally be described as an informal
report.
• Type # 2. Short or Long Reports:
• This is a confusing classification. A one-page memorandum is
obviously short, and a twenty page report is clearly long. But where is
the dividing line? Bear in mind that as a report becomes longer (or
what you determine as long), it takes on more characteristics of
formal reports.
• Type # 3. Informational or Analytical Reports:
• Informational reports (annual reports, monthly financial reports, and
reports on personnel absenteeism) carry objective information from
one area of an organization to another. Analytical reports (scientific
research, feasibility reports, and real-estate appraisals) present
attempts to solve problems.
• Type # 4. Proposal Report:
• The proposal is a variation of problem-solving reports. A proposal is a
document prepared to describe how one organization can meet the
needs of another. Most governmental agencies advertise their needs
by issuing “requests for proposal” or RFPs. The RFP specifies a need
and potential suppliers prepare proposal reports telling how they can
meet that need.
• Type # 5. Vertical or Lateral Reports:
• This classification refers to the direction a report travels. Reports that more
upward or downward the hierarchy are referred to as vertical reports; such
reports contribute to management control. Lateral reports, on the other
hand, assist in coordination in the organization. A report traveling between
units of the same organization level (production and finance departments) is
lateral.
• Type # 6. Internal or External Reports:
• Internal reports travel within the organization. External reports, such as
annual reports of companies, are prepared for distribution outside the
organization.
• Type # 8. Functional Reports:
• This classification includes accounting reports, marketing reports,
financial reports, and a variety of other reports that take their
designation from the ultimate use of the report. Almost all reports
could be included in most of these categories. And a single report
could be included in several classifications.
