1.2 Introduction

Today, the Online final exit Examination management System is considered

a fast-developing examination method because of its accuracy and speed. It is
also needed less manpower to handle the examination. Almost all organizations
today, are managing their exams by online examination system since it reduces
student's time in examinations. Organizations can also easily monitor the
progress of the student that they give through an examination. As a result of
this, the result is calculated in less time. It also helps to diminish the need for
paper.

background
 Assosa University is one of the higher new public universities /institutions/ in

Ethiopia. It was established in 2012 (2004 E.C.) and is situated 665 Kilometers

southwest of Addis Ababa, the capital city of Ethiopia. The university and the paper-

based were stayed for eight consecutive years from 2004 E.C up to 2011 E.C. The

university is located 5 Kilometers far from the Assosa town situated between Assosa

town and China Camp of Benishagul Gumuz Regional State. The university has

seven colleges and different departments within each college. The university provides

several services to help the students' lives better and safe. Among those cafeterias,

libraries, dormitory, and clinics are major services. The ASU online Final exit

examination Management System is what we are going to deal with in our project.

Statement of the problem

 Now a day’s Assosa University is one of the universities in Ethiopia is also

working on quality education to attain its mission and vision. As we know
Assosa University still uses a manual Examination management system. So
there are many problems examination related management system. Of these
problems, some of the common are the following listed below.

 Most of the exams handed by a manual systems.
 Their file control mechanism is complicated and time-consuming.
 More manpower
 Most of the exams are recorded on paper
 lack of security of data
 consume a large volume of paperwork
 easily cheating one student the other

Online examination system saves the exams information in a

database, and this makes it an easier way to give exam teachers can
add their exams rules, and student can give exam in a totally
automated system.

Alternetive solution and proposed solution
Alternative Solutions
The alternative solution to solving the above problem we consider
different choices or applications such as
 android applications
 web-based
 desktop applications

 web-based: this System is the most usable application around
information retrieve and accessing area. It allows the user to access
or retrieve the information which is permitted to the user.
 . To solve these problems, they required a computerized system,
which is used as a core alternative solution to handle all the works.

Proposed Solution
 The Online Final Examination Management System (OFEEMS) automates
every activity of the manual system and increases its throughput. It is
created for taking an online examination that has the following features.
 The logs of appeared students and their marks are stored and can be for
backup for future use.
 It can generate various reports when and where required.
 Update and registration of students in an online web-based system.
 Teachers and students can access the system from a remote location

The objective of the Project

General Objective
 The general objective of this project is to develop web based a
system for Assosa University online Final Exit examination
management system

Specific Objectives
The specific objectives of the Online Final Exit Examination Management
System for Assosa University project are:
 Designing a database to the system that can hold all the information
 To provide an interface through which students can appear for
examination online.
 Update and registration of students and mark an online web-based
system.
 Automated data inserting, updating, deleting, retrieving on the online.
 To implement and deploy the new system
 To allow automatic grading and manual grading which can be recorded
per exam

Motivation
 The main morally idea to develop the new system that Online Final
Exit Examination Management System for Assosa University is as
the whole process of the world activity is based on the electronics
part to:
 reduce the time
 cost
 to develop our system based on online web-based System to
minimize the problem

Project Deliverable
 The deliverable of this project is Project Proposal, Software
Requirements Specification, Software Design Description,
Software Product/App, User Manual (which dictates users step by
step in performing various operations in the system), a Programmer
Manual that helps system maintainers in understanding how the
software works so that is required modification can be done) and
Training Program (training for end-users).

Methodology
Data Gathering Methods
 Having an interview with the heads of some departments at Assosa
University, other staff of the departments, as well as students,
making questionnaires and observing in the around problems. Also,
we collected raw data or documents which are useful for the project
should be implemented. We also, referred related books, searched
from the internet that is related to our project. Also, we have
referred to other senior projects.

Development Methodology
Among the different development methodologies available, we

are using object-oriented methodologies for the analysis and

design of our system. The object-oriented methodology enables

us to represent complex relations among different objects and

represent data and processes with consistent notation

throughout the system. An important feature such as

inheritance, polymorphism, data hiding, and encapsulation suits

the design very well.

Testing Methodology
 To make sure that the systems functional; testing
methodology must be used at different stages of
the system. The project is tested based on different
testing constraints using many test cases such as
black box testing and white box testing. We select
both black box testing and white box testing to be
sure of all the functionality of the system to be
done.

Scope & limitation
Scope of the Project
The scopes of the project are the following:
 Update and registration of students in an online web-based system.
 OFEEMS (Online Final Exit Examination Management System) will be
developed for Assosa University.
 The system handles all the operations and generates reports as soon as the
test is finished, which includes name, mark, time spent to solve the exam.
 It can be used to solve many problems that occurred in the university on the
examination giving process.

 The online live exam system is designed for any kind of educational institutes

 Teachers could view the exam status as soon as they give the answer to each question

 Teachers and students can access the system from a remote location

 No restriction of examiner present in the exam room

 It can enable instructors to easily prepare exam papers and see the result of

students.

 It enables students to take the exam properly and get fair correction and results.

The Limitations of the project

The Limitations of the project are the following:
 Only multiple-choice, matching and true/false types of
questions are automated, subjective questions are checked
manually.
 If the time is finished student cannot read the questions
again and the answer is automatically submitted and the
result is displayed with the correct answer.
 It cannot work out of the campus since it is intranet-
based.
 Our system does not serve the students who are not able
to see (blind people).

Risk Assessment
Problem Preventive Actions Contingency Actions

1. Windows Failure ✓ Using licensed windows  Repairing the window to

restore the files
Store file in flash as a backup
 formatting only the disk

containing the operating system

2. Virus attack ✓ Using licensed antivirus ✓ Fixing or moving the infected
file.
3. Hard disk damage ✓ Keeping hard disk safety ✓ Changing the hard disk

4. Project theft  Using folder lock and strong ✓ Report to the coordinator and
passwords continuing to do the project from
the flash
5.deliberate computer Keeping the computer where it cannot be Reporting to the concerned body and
theft stolen, taking care of any part of the attempt to get the computer again if
computer possible or buying a new computer

Feasibility of the Project

Economic feasibility

Economic feasibility considers all costs, variable and fixed that

should allocate to the new project. The purpose of assessing economic
feasibility is to identify the financial benefit and cost associated with
development of a project and tries to answer the question: “Is the cost
and risk worth having the new system.

Technical feasibility
 The proposed system is technically feasible. Because it can
generate outputs in a given time, response time is minimum, easy to
communicate and generally it satisfies the end-users requirement.

Political feasibility
The system to be developed does not conflict with any government
directives, because its purpose is only to provide services for the
citizens effectively and efficiently, all the stakeholders will be also
agreed before the development of the project is began. Therefore, the
system politically feasible.

Conclusion
 The system performs works better than the existing system
(usability, speed, efficiency, and effectiveness). Security also
included in this system developed and every user can access the
required services. The system is also very useful in minimizing
time and other utility wastage.
