What is Complaint Leter?
Complaints are an important way for the management of an organisation to be
accountable to the public, as well as providing valuable prompts to review
organisational performance and the conduct of people that work within and for it.

A complaint letter is important because it:


- Puts your complaint on record with the company
- Helps preserve any legal rights you may have in the situation
- Ensures that the company knows your side of the story.
How to Write
Complaint Letter
Consist of:
- Introduction
- The reason for writing, Why you are writing the letter

Ex.
A. Opening 1. I am writing to inform you that the goods we ordered last

Paragraph week, on the 28th of October from your company have not
been properly supplied.
2. I am writing this letter to inform you that the goods we
ordered from your company on August 17th arrived
damaged.

Other ways to start the first sentence

1. I am writing to complain about.......


2. I am writing to inform you that the goods we ordered.....
Consist of:
- Descripe the problems
- A brief description of the situation, product or service that B. Body
we are unhappy about
Paragraph
In this section, the writer can tell about the causes and effects
of the things that the writer is facing.
Ex.
1. On February 10 2011 we ordered 100 units of laptops from
your company. The shipment arrived yesterday but only
contained 90 laptops.
2. On December 25, I booked the Nusa Indah hotel, and I got
room number 217. During my stay here, I did not find the
facilities as stated in your brochure.

In this paragraph you can start by writing the date of the


order and then describing the problem regarding the order
(product/service)
Consist of:
- Conclusion
- The action you want the recipient of the letter to perform
- How we want the recipient of the letter to 'solve the
problem'
A. Closing - The letter writer suggests or provides solutions to what is

Paragraph obtained from the problem so that the problem can be


solved

Ex.
1. Please send again the shortage of our order
2. Please serve your customers well

The contents of the closing paragraph must be related to the


contents of the body paragraph, so that the problem can be
solved.
