Communication in

administration

 Communication is regarded as the most vital ingredient in an
organization. The word has been derived from the Latin word ‘
communis,’ which means common. Hence communication
means sharing ideas in common. The term refers to the
transmission of information from one individual to another, eg.,
Introduction telephone or television.
 Communication is a process of transmitting information,
thoughts, opinions, messages from one person to another.
 Communication requires lot of planning and coordination.
 The communication begins with a sender.
 The information is then transmitted to the reciever. The
information might be oral, or written and maybe transmitted by
computer telephone or television.

Process of  The reciever then receives the message and the reciever has to
be ready for a message to be properly decoded.
communication  To check the effectiveness of communication a person needs to
have proper feedback to make sure that the message has been
properly transmitted and understood.
 The first category is verbal or written communication. Verbal
communication looks at telephone calls and face to face
discussions this form of communication is time saving and is also
easily understandable as doubts can be effectively removed. The
written communications are through newspapers, reports, letters
etc.

Types of  The second category is formal or informal communication. Formal


communications ate considered as official communications. It can
communication be verbal or written in nature. The information here is authentic.
Informal or grapevine communication takes place through
personal contacts between employees. The communication here is
unplanned, unofficial and personal. The speed of informal
communication is very fast. However informal communication is
subject to rumours, leakage of confidential information, and
information has no definite origin.
 Downward or upward communication- downward
communication flows from people at the higher level to those
at the lower levels. It gives specific job instructions, provides
information about certain job, tells subordinates about their

orders, instructions and information. Forms of communications
communication are speeches, telephone, letters etc.

superiors. It gives technical feedback about a performance,
what they have done, what their peers have done, problems of
any. However the organization atmosphere should be such that
the subordinate is free to communicate.
 Bernard stated that communication is an essential part of an

 There are certain barriers on communication.
 Lack of planning- one should plan before transmitting a message.

chosen words, and failure to clarify.
 Information overload- when there is an overwhelming of
information.

 Sender must clarify their message properly.
 The communication should be known through feedbacks.
 The responsibility of effective communication is responsibility of
the sender and reciever of information.
