LESSON 1: PACKING,
UNPACKING, STORING
AND PREPARING OF
GUEST LUGGAGE
 Dealing with the luggage of guests is one
of the responsibilities of a butler. He or
she must adhere to the proper procedure
of handling these items from the moment
of transferring them to the guest rooms
until unpacking and packing them again.
These items must be prevented from
being damaged or lost. Transferring
luggage to the guest room is usually
handled by housemen. However, a butler
must supervise and ensure that the
luggage is properly handled.
 There are some hotels that allow two
butlers, when doing this task – one butler
accompanies the guest while the other
oversees the luggage.
 The
following are some points to consider
when transferring luggage to guest rooms:
 Luggage must not be thrown around and
must be properly placed on the trolley.
Double – stacking and falling off of
luggage from the trolley must be
prevented. Some luggage may contain
fragile and expensive items that must be
well taken care of.
 The luggage trolley must always be sufficient and in
good condition. A detailed sequence of luggage
delivery must be created. VIP guest luggage must be
prioritized.
 Liaison with the housemen is essential. Multiple
housemen are usually required to handle a large
volume of guest luggage. Housemen must be
advised not to solicit gratuities or tips from the
guests.
 Packing and unpacking luggage must be done
properly as this may help the guests to have a
comfortable and organized stay in the hotel. These
tasks may seem simple, yet these include a more
complicated work than expected. Packing and
unpacking are considered as an art with very
specific guidelines as to how certain items should
be handled and cared for and how and where they
should be placed in the room (Kellermen, 2013).
It is crucial to pack, unpack, store, and
prepare guest luggage. Necessary
action is to be taken to avoid problems
and shortcomings. Checking and
inspecting the condition of the luggage
first would be necessary step in
managing them.
TOPIC 1: UNPACKING AND STORING GUEST
LUGGAGE
 Once the guest luggage is transferred to the
room, the next step is to unpack the luggage. This
task must be done carefully to avoid wrinkles or
damage on clothes and other belonging of the
guests. The following are some points to consider
when unpacking guest luggage.
 The butler must ask permission before touching
the belongings of the guests. Some guests may
not be comfortable of having other people to touch
their personal belongings for them. A butler must
show professionalism and discretion to make the
guests feel comfortable toward from him or her. A
rapport must be established to help the guests
trust the butler from touching their staff.
 The condition of the luggage must be checked. In
cases that some luggage is damaged, the guests or
their staff must be advised immediately. The butler
must offer to have the luggage repaired or
substituted.
 Personal Protective Equipment such as gloves must
be used to touch the luggage and its content. Some
belongings of the guest may be sensitive to scratch,
so careful handling of each item must be considered.
 The butler must choose a flat surface to unpacking the
luggage. An empty table or bed may be used to ensure that
the luggage and its content will not be damaged or scratched.
 Items that need to be ironed, laundered, and cleaned must be
separated items that need to be laundered must be placed in
a laundry bag.
 Shoes must be checked if they need to be cleaned or
polished. If shoes are clean, they must be placed according
to color and occasion.
 All toiletries such as makeup and hair care items
must be placed in the vanity area.
 Any electronic devices such as cameras and
laptops must be secured and placed on a table or
shelf.
 Hats, belts, scarves, and other accessories must
be hung up on the hooks found on the side of the
cabinet.
 Shirts and sweaters must be arranged on separate
shelves by color and length of sleeves.
 Below are some points to be followed for the order of
items to be placed in the drawer.
o Drawers must be filled with undergarments, t-shirts,
sweaters, and casual shorts. Ensure that they are
neatly folded and stacked according to color.
o Shirts, trousers, coats, suits, and gowns must be
placed in the wardrobe.
oSimilar items must be placed
together, one by one. Likewise,
items with similar or matching items
must be placed next to each other.
oShoes must be placed at the bottom
of the wardrobe.
 Similar items must be hung up in one
section together. Colors must be arranged
from light to dark.
 Pants must be hung from the waist of cuffs
on the pants hanger.
 The cabinet must be checked for any
misplaced item before closing it.
Once the luggage has been unpacked, the guests may have
different preferences on how they want the butler to handle
them. The following are the options for dealing with unpacked
luggage.
 Empty luggage may be moved to where every luggage is
labelled to identify the room it came from.
 Empty luggage may also be placed in the designated luggage
area of guest rooms.
 Empty luggage may also be moved to rooms occupied by the
guest’s company.
Proper handling of guest luggage during the
guest’s stay is very important. If their belongings
are properly handled, the guest will surely feel that
they are treated properly. Luggage is said to be
expensive. It contains items that may be
irreplaceable or with sentimental value. It is
therefore the responsibility of the valet or butler to
ensure that all belongings of the guest are safe
with no damaged, lost, or stolen items.
In dealing with guest luggage, a valet or
butler must treat it with care and respect.
Most importantly, avoid any damage and
loss. Overseeing the activities will
ensure that nothing is forgotten or
misplaced during the transportation of
the guest’s luggage to their room.
TOPIC 2: PACKING AND PREPARING
GUEST LUGGAGE
 Packing luggage can be as challenging as unpacking
luggage. Wrinkles or any damage must be avoided.
Fold and store the guest belongings back to the
suitcase without causing any wrinkles while
maximizing the space is the ultimate goal of a butler
when packing luggage.
 The following are the guidelines when doing the task.
1.The butler must ask permission from the
guests before touching their belongings.
2.Lay the items and the suitcase on a flat
surface. A list of items to be packed may help
to identify and check whether all the items are
already packed.
3.Use gloves when handling the items.
4. All the necessary tools, equipment, and materials must be
prepared. These include luggage, zip lock bags, clothes,
toiletries, shoes and slippers, name tag, and mesh bag.
5. Sleepwear, sweater, and other casual wear may be rolled
to fits small spaces if possible. Each rolled item must be
placed at the bottom of the suitcase.
6. Heavy clothes such as jackets or pants must be laid flat on
top of the rolled items. The next items must be placed on
top in the opposite direction from the first item.
7. Items must be packed one at a time in a clockwise
direction. Hang sleeves, pant legs, and skirt
lengths over the edges when stacking more items.
8.Books or magazines may be used to create the
core of the bundle. Place the core object on top of
the stacked pile of clothes.
9.The bundle must then wrap. The butler must start
from the last item placed.
10.Sleeves,pant legs, and skirt lengths must be wrapped.
The end of each item must be wrapped across the core
bag on top of the pile. Each must be cleanly wrapped
and tightly packed to maximize space and avoid
wrinkling clothes.
11.Theremaining luggage items must be placed around
the perimeter of the bundle.
12.Atag containing the name, destination, and contact
details of the guests must be placed for identification.
After performing these tasks, a
butler must inform the guest that he
or she is done. He or she also needs
to check whether guests would
request another task before bidding
goodbye and leaving the room.
