 ABSTRACT:

In our current era of automated systems which it being either software or

hardware, it’s not advisable to be using manual system.This automated
systems makes our work easier. In the same way the idea of Hostel
ABSTRACT:
Management System is web based software to provide college students
accommodation in the university hostel more efficiently. This project also
keeps details of the hostellers and applied students. It is headed by
Hostels without a management system which are usually done manually.
Registration forms verification to other data saving processes are done
manually and most at times, they are written on paper. Thus, a lot of
repetitions can be avoided with anautomated system.
 ABSTRACT:

The goal of this project is to develop a system for the computerization of

the Hostel. The common transactions of the hostel includes the information
about students in the hostel, enrolling of new students are stored into the
databases and reports are generated according to the user requirements
and handles all the requirements for easy Hostel Management.
 OBJECTIVE:

• To maintain the students/ hostellers database under the single

system.
• To keep visitors’ details.
• To enquire and register regarding hostels.
• To know the outpass details of the hostellers.
• Admin can edit notice board and each hosteller can view it.
• We can know the in and out time of the Hostel residents.
• We can know about the room information.
 INTRODUCTION:

 This Project “HOSTEL MANAGEMENT SYSTEM” is designed for better interaction between
students,hostel owners/management .

 It integrates the transaction management of the Hostel for better control and timely
response. This eliminates time delay and paper transactions .

 The warden is provided with a better control over the transactions like adding the details
of new students in the hostel, modifying the details of the students, deleting the details,
viewing the students details in the Hostel.

 This project’s main motto is to reduce the effort of Wardens and provide better service to
the students.
 INTRODUCTION:

 This project also keeps details of the hostellers.

 The application will be managed by warden. He will be the administrator.

 This document is intended to minimize human work and make hostel allocation an easier
job for students and hostel authorities by providing online application for hostel,
automatically select the students from the waiting list , complaint registration, noticeboard,
etc.

 It additionally retains the information regarding individuals who visit.

 This application also assists hostel residents in submitting a leave request by completing a
form.

 EXISTING SYSTEM:

 The existing system is manual based and need lot of efforts and consume much time.

 In the existing system we can apply for the hostels online but the allotment processes are done
manually.

 It may lead to corruptions in the allocation process as well as hostel fee calculation.

 The existing system does not deals with mess calculation and complaint , review registration and
there are no reminders alert for the day to day activities
DISADVANTAGES OF EXISTING SYSTEM :-
• Low security
• Difficult to handle large amount of data.
• Difficult to update data.
• Record keeping is difficult.
 PROPOSED SYSTEM:
 This system will provide full information about a student in the hostel and is already
existing in the top IIT’S and NIT’s.

 It will display the availability of rooms and the corresponding number of occupants in each room.

 There will also be an administrator module which will accessed by the administrator and has the option to delete,add
and edit hosteller records.

 It also allows individuals to request a leave by completing a form.

 It also includes outpass details of the hostellers.

ADVANTAGES OF PROPOSED SYSTEM:-

• Provides data security.

• Efficient maintenance of information about the hostellers.
• It gives complete details regarding the outpass usage.
• The administrator is also given access to observe the timing and details of visitors
 Methodology:

• STEP-1: Open the app (login page will be displayed)

• STEP-2: Hosteller/Management should register , with their respective institution MAIL ID.

• STEP-3: Home page consists of Hosteller’s Information.

• STEP-4: On clicking the specified tab you will get the information.
(This page shows us all the features of our app
like outpass details,room information,leave application,etc.)

• By which hosteller/Administrator can see the related information.

 Our project “HOSTEL MANAGEMENT SYSTEM” is very helpful and very useful for managing
the hostel better.

 The scope of this project is that all the hostel managing works can be done easily through it
by saving our time and also by saving thehuman efforts.

 This management system will be an errorless or bugs free management system and will be
able to show the records of even years without any confliction.

 This is user friendly and has very flexible interface.

 Future Enhancement

 This project is small package which includes different categories as well as having all possible
features.

 In future we will improve security by providing a card to permanent students for automatic
check in and check out.

 We will also improve the features such as hosteller attendance

reminders , mess (food) and fee details.
