PresenTense North American Operations Division

Project Summary:
PresenTense Group, Inc. is now a nonprofit organization in the United States. At the top
of its priorities is to create an ideal working environment in which the young, entrepreneurial
staff can lead the organization to a world imbued with the values of social justice, concern for the
other, respect, and continuity. This working environment will allow its staff and community
members to work diligently and without worry for the organizations operations, allowing it to
function in the way it should.
The PresenTense North American Operations Division will work with all staff members to
ensure that all their logistical, financial, and operational needs are being met, so that they may
accomplish their goals and objectives. The division will seek the best vendors to work with to set
up and manage meeting and travel schedules that are not stressful and tiresome for the staff
members using them, payroll and benefits packages that will provide staff with market rate
comparable compensation as well as meeting legal requirements, insurances that cover all
PresenTense activities to ensure the safety of its staff and responsibility of the organization for it
and its staffs actions, and work with the Jewish Center and other local New York vendors to
provide the appropriate working space to staff, volunteers, and community members.

Project Goals and Objectives:


Goals:
o Ensure seamless travel and scheduling for PT Group Directors and high level
program staff, during their trips to and around North America
o Facilitate the coordination of various PTG staff and third party coordinators involved
in running Community Entrepreneurship Programs and while doing so, ensure client
satisfaction
o Create a system which ensures the accuracy and timeliness of the accounting, for both
revenue and expenses. This system will abide by requirements of the IRS and NY
state laws
o Ensure systems are in place to accurately manage payroll, employee benefits and
corporate insurance, as well as Directors and Officers insurance.
o Design and manage the PresenTense Group, Inc. Budget and keep staff informed of
all variances form this budget
o Coordinate the PTL operations and financial staff to ensure cohesive operations
between the two entities
o Manage a comfortable and presentable office space in The Jewish Center in New
York City, to serve local fellows, the local Community Entrepreneurship Program
and PTG staff when in NY
Objectives:
o To sustain ongoing operations that take place in North America including that of the
Magazine, PresenTense website, and the current Community Entrepreneurial
partnerships in the 4 cities within which they already exist: Boston, Cleveland, New
York, and Philadelphia.
o To create the environment necessary for PresenTense to continue to expand its
programs and other development opportunities in North America, including opening a
PresenTense Hub in New York, expanding the Community Entrepreneurial
Partnerships to seven more American cities.
o To ensure all staff is paid in at timely manner, on the first of every month, and that
all benefits which PresenTense agrees to provide them, including health care benefits,
life insurance, disability, etc., are done so, as requested.

o To ensure the organization meets full corporate filing and governance requirements as
defined by the laws of the United States and New York.
o To develop smooth communication procedures for the staff, lay leaders, and other
volunteers for the organization.

Context
Since the purpose of organization is to create and support social entrepreneurship in the
Jewish community, it must provide the employees and volunteers that work to achieve this
mission the support and environment they need to succeed. Based out of New York, the
PresenTense North American Operations is the “behind the scenes” division which will serve
this need for the organization.

Assumptions
The PresenTense North American Operations division relies on several working
assumptions in order to examine the work it does efficiently and to examine the goals it is trying
to meet:
o PresenTense staff and volunteers will follow all policies and procedures set out for
the organization, which will ensure that all staff are abiding not only by the
organizations own values but legal requirements as well
o PresenTense Group, Inc. has the financial resources to support the operation support
it seeks to provide
o The staffing requirements, both in quantity and quality, is available as needed for the
execution of each of the tasks.
o Staff will update the division of changes in logistical needs so that accommodations
can be made

Summary of Work Plan

Resource Requirements
Finances- In order to set up and manage the PresenTense North American operations
there are a number of areas that we will need to spend money.
o New York office set up: purchase of furniture, tech equipment, installation and
moving fees. An estimated spending of this set up is $2500-$3000.
o Future improvements and aesthetics for the New York office, in order to provide an
appealing environment for the staff, lay leaders, and fellows to use, will estimate a
cost of $1200 a year
o Rent for the PresenTense New York office space to host this division will equal
$10,000 a year
o Other upkeep costs of the New York office such as phone, internet, office supplies,
tech maintenance, postage, and utilities will be an estimated $1130 a month.
o The cost of using Paychex to run our payroll, manage the recording of vacation and
sick leave of PresenTense employees in the US, and the cost of tax filing will cost an
estimated $140 a month.
o PresenTense Group, Inc. seeks to offer its employees a benefits package that is
comparable to other nonprofit organizations in the area and industry. We seek to
cover the following: Health- 80% for employee, 50% for all other family members
coverage, 50% of dental and vision care for both the employee and family, 100%
coverage of workers comp, 100% coverage of short term and long term disability. We
also seek to offer 401K packages, providing a matching up to 2% of the employee’s
salary for contribution.
o PresenTense will acquire Directors and Officers Liability insurance, general liabilities
insurance, errors and omissions insurance will cost an estimate of $1300 a year
o PresenTense will be required to pay certain taxes for its employees’ salaries at an
estimated tax rate of 7.65%
o On a yearly basis PresenTense Group, Inc. will undergo an audit, costing an estimated
$8,000 a year (though we have budgeted, to be safe, $20,000 as this is the market rate
for complicated audits).
Additional Suggested Resources
o Continuing education: PresenTense has signed up for membership with the Nonprofit
Coordinator Committee of New York. Among the many benefits that arise from this
membership is the continuing education courses they offer. The North American
Operations Division will suggest that all staff take these courses, especially those
focused in the areas of finance, human resources, and governance, in order to further
understanding and have the ability to build the best possible structure for the
organization.

Potential Problems
Scheduling challenges for programming meetings
o Due to conflicting schedules of a global and national staff and volunteers, this can
become challenging
Communication deficiency
o Procedures need to be set for how to communicate next steps so that communication
on what actions departments must take to move forward and what logistics are needed
are passed along
o Confusion of roles- many people are involved in supporting the programs, both in the
North American operations division and the coordinators of the programs, and there
is much overlap which could result in something being missed.
Lack of knowledge and training in certain areas
o Many of the work this division will work on is new for PresenTense and there is a
lack in full understanding of how to accomplish and serve all the needs. It will be a
learning process as we go along in developing the division.

Risks and Mitigating Actions


Failing to meet schedule
o Setting up and management of the PresenTense North American operations requires
that the staff within the division stick to a very strict schedule and meet very specific
deadlines. If these deadlines and schedules are not met many elements of supporting
the entire organization may not be available.
Employee dissatisfaction
o To abide by New York and United States employment laws, as well as to have the
ability to receive the appropriate insurance coverages the PresenTense North
American Operations division must set new policies and procedures that fit within
these guidelines. The organization faces the risk of employee dissatisfaction with
some of the stricter policies.
Fines and penalties from the government
o PresenTense Group, Inc. is abide by New York and United States laws pertaining to
the 501(c)3 filing status, incorporation status, and human resource management
requirements. As this areas is unfamiliar to the staff, though they will receive and
continue to receive training and guidance, the organization does face the risk of fines
and penalties due to lack of understanding or awareness.
