Dear Participant, In front of you is the second information letter for the First Alcohol Policy Youth Conference in Bled, Slovenia. First of all apologies for writing to you this late, but we have been getting new and new applications and withdrawals on an hourly basis. So far we have 80 confirmed (and counting) young participants from 28 European countries, which is a great success for a Conference of this type. Most of you are aged 18 to 30. We are very thankful to the European Commissions Youth in Action Programme, the Slovenian Ministry of Health and Slovenian Governmental Office for Youth for their financial contribution, and additionally to a number of institutions and individuals who made their in-kind donations either by not charging any fee for their contribution or traveling to Bled on their own costs (or even both). Please read carefully this information paper as there are very important information for you to avoid misunderstandings and too many calls/ emails with questions to which answers you can find in this document ;) There are just six days left until the first arrivals and the Hotel Park Bled rooms are getting ready for your presence and looking forward to finally getting to know you. How to get there? Location: Hotel Park**** Bled, Slovenia Cesta Svobode 15, SI-4260 Bled +386 4 579 16 00 1. If you are coming to Ljubljana Train/ Bus station (same place):

Take the public bus to Bled. The ticket can be bought inside the bus station (a small building in front of the train station) and it costs 6,30 euros one way. The bus takes approximately 1 hour and 15 minutes. There is an option also by train, but it takes you to Bled Lesce or Bled Jezero nad both stations take more than 45 minutes walk to the hotel.

When you arrive to Bled, you can get off at: Bled Union station (in the middle of the town) and just continue walking down to the lake on Ljubljanska cesta, the Hotel Park will be on your right before you reach the lake. Main Bled Bus station (A on the map) - walk 550 m through the park close to the lake on Cesta Svobode, the hotel will be on your left.

If you are coming on the 8th November 2012 to the following Venice Marco Polo (VCE) Airpot, Trieste Ronchi deu Legionari (TST) Airport, Trieste Centrale Bus and Railway Station (TST Rail) or Ljubljana Joeta Punika (LJU) Airport.

From those airports the transport will be organised by APYN and you will cover 30% of the costs. The transport times will depend on arrival times of participants, so the transportation will be organized during the following hours:

If you feel like the waiting time is too long for you, let us know and you can take another way of public transport (remember that only public transport tickets are refunded). When in Venice or Trieste and have too much time to wait for the transport, have a visit of the city. In both cases (Venice airport and Trieste Railway/ Bus station) the city is very close to the transport hub. Take in consideration that Trieste Ronchi dei Legionari Airport is 1h drive to Trieste Centrale and please let us know in case you decide to travel there, so we rather pick you up there.

In case of any change in your travel plans prior to your departure (the latest until the 7th November) contact one of the above three email addresses, while if it happens on the arrival day, please contact one of the emergency numbers below.

Accommodation & venue You will be staying in Hotel Park****. The accomodation is covered from 8th (check in) to 14th (check out) November 2012 and full board will be provided starting with dinner on the 8th and finishing with breakfast on the 14th. Check-in and EAPYC registration starts at 14.00. In case you arrive earlier, you can leave your luggage there and explore the town we will provide some information on what to see for the early arrivals. The default accommodation will be in triple rooms with participants of the same gender and similar age group. In case you would like to stay in double or single room, it can be arranged, but you will have to pay the price difference: For double room: 36 euros extra/ person For single room: 156 euros extra

If extra nights are requested, it can also be arranged, but it will be covered by the participants. Depending on the number of participants staying before/ after the conference (if it is a single/ double or triple bed room) the prices for accommodation and breakfast are: single room: 59 euros double room: 49 euros/ person triple room: 43 euros/ person

Reimbursement Travel expenses will only be reimbursed upon presentation of documentary evidence of the sum actually paid (invoice, local transportation tickets, etc.). Please save all your boarding passes for both ways. If an invoice is provided, this has to be the original document issued by the Travel Agency or company that issued the ticket. This evidence of the expenditure together with the relevant travel tickets, boarding pass (plane, train, etc.), receipts should be attached to the completed claim form for reimbursement, which you will get up to 30 days after the Conference by Bank Transfer (Please bring your IBAN and SWIFT codes of your bank account). Electronic tickets will only be considered as acceptable on proof of payment. Return tickets should be purchased before the start of the journey to avoid complications during your return. Expenses will be calculated and reimbursed in Euro. For expenses claimed in other currencies than Euro, the conversion will be carried out on the basis of the official exchange rate on the date when the contract with the European Commission was signed (7th May 2012) the rules of the YiA Programme in Slovenia. All participants will be reimbursed after the meeting (unless you have arranged with APYN to be reimbursed during the meeting). Attached you can find a reimbursment form you can fulfill already prior to the Conference.

Programme The latest version of the draft programme can be found in the attachment. The participants will be divided in 5 workshops: 1. Beginners training course on how to develop alcohol-related projects Tom Smith (Alcohol Concern, UK) and Jan Peloza (No Excuse, Slovenia and APYN, EU) 2. Intermediate training course on how to develop alcohol-related projects Simon Claridge (Mentor Fundation, UK), Matej Koir (Institute Utrip, Slovenia), Vlad Grosar (Youth Can Do it, Romania and APYN, EU) 3. Training course on how to lead research into Youth and Alcohol Wim van Dalen (STAP Institute, the Netherlands), Simona Stankeviiute (IFMSA and APYN, EU) and Daa Kokole (No Excuse, Slovenia and APYN, EU) 4. Intermediate training course on alcohol policy, advocacy and lobbying Nils Johan Garnes (Eurocare, EU) and Alexandru Petrov (CNTM, Moldova and APYN, EU) 5. Advanced training course on alcohol policy, advocacy and lobbying Katherine Brown (IAS, UK), Sofia Ribeiro (EMSA and APYN, EU) You will receive information about which training course you have been assigned to upon your arrival. We will do our best to take into consideration the wishes from your application form. In case you won't be satisfied with the training allocation, there will still be possibility of switching your workshops at the time of the registration.

Additional things to know about the programme Laptop will be useful for certain workshops For the International evening bring some food and (non-alcoholic) drink that is typical / you typically eat for dinner in your country. Take into consideration that there will be no possibility to cook anything, but we will provide a fridge in case you need it. Feel free to bring something else to present your country. Bring your countrys flag. For those who would like to present their projects/ organizations, there will be an opportunity in the Market of Projects and Organisations. Bring some promotional material or a short presentation regarding the project you are working on or about your home organization. The presentations cannot last more than 10 minutes altogether. At least one smart dress should be brought for the Final Plenary in the Slovenian Parliament/ National Council in Ljubljana on the 13th November 2013. Moreover an opening plenary will be less formal, but it will still include important people to whom we can show respect by dressing decently. There is no dressing code for other activities, apart form the Closing dinner that is yet not confirmed. Please note that this is an alcohol-free event. There will be no alcohol served during the official parts of the programme and we would kindly ask you to respect the participants who decided to abstain from alcohol use. Although the hosting organizations APYN and No Excuse Slovenia are not temperance-movement organizations (but both do have members who decided not to drink alcohol), we kindly ask the participants to abstain from drinking alcohol at official parts of the programme (including organized evening activities) however the decision about drinking alcohol or not during the participants free time is completely up on each individual and the organizers have no power to react on this. The organizers have decided to abstain from alcohol use for the whole duration of the event.
