How to Apply Guide for Oxfam GB

1. Getting Started https://jobs.oxfam.org.uk/ gets you to the Working at Oxfam main page which allows you to: a) Login or Register (Left Hand Column) b) Search for a particular vacancy (Right Hand column) by location or by text/ job Reference Code c) Search by Job Role Business Support / Admin, Communications, Finance, Fundraising, Human Resources, IT, Marketing, Programme, Property and Logistics, Retail d) Search by either full time or part time At this stage it is optional whether to register or not (see below). When you have identified the vacancy you want to apply for: Open the job details page headed by the job title and Reference Code (in brackets such as INT0125) The Reference Code is important to include in any covering letter or communication with Oxfam concerning the application to identify the correct post. Basic descriptors of the vacancy are summarised in the right hand column, for example: The text provides more details of the role and the candidate being sought. Under the heading Documents there may be links to a more detailed job description. You can Create an Alert Subscription with the tab in the in the right hand column (see below for more details). 2. Note: Throughout the on-line application process a red asterisk * indicates that the question is mandatory (i.e. must be completed to proceed further). If there is no asterisk a question is optional.

2.1. Screening Questions: There are a number of Screening Questions to ensure that potential candidates have the essential skills that the role requires or to ensure that you have the correct right to work requirements for the country in which you are applying. For example: Are you a current employee or volunteer? * For most UK-based jobs you will be asked to confirm eligibility to work in UK as there are few positions for which Oxfam is able to sponsor individuals who require Work Permits / Visas. When you have completed the Screening Questions you will be asked to login or register an account to create your application.

2.2. Apply Now Note: Your password must consist of both small and capital letters and at least one numerical digit. First Time Applicant When you apply for a vacancy at Oxfam, if you have not registered first, you will need to enter the required information to populate Your Details section giving your email and creating a password and proceed to Create Account. Returning Candidates ie. you have previously registered: When you register, a My Details profile is created for you. Note: If you subsequently forget your password you can ask for a new password to be set up. This will be done through the email address you have previously provided and will be asked for again.

You can either populate your profile manually or you will be asked whether you want to use your LinkedIn or Facebook account to automatically populate your My Profile (work experience, education and basic contact details etc.). If you choose this option you will not be able to edit the CV produced by the system, although it can be deleted and replaced with an alternative. The advantage of registering The My Details information will be uploaded when you apply for any position so you do not need to re-enter all your details again. When you are registered you will have a Home page that includes My Profile My Application My Progress Updates My Alerts

Note: You cannot edit your email which is your unique identifier on the Working at Oxfam website. If you need to change your email, you will need to re-register and fill in all the information again.

To navigate back from any of these sections either use the Back tab of your browser or click on the options listed in the left hand column. Note: the logout from your profile is in the Left Hand Column 2.3. At any stage, you can close the page and the data will be saved. Later, when you return to the page you can edit any details.

2.4. Returning Candidates i.e. you have previously registered: When you Login you will be asked to confirm the application for the particular vacancy to Start Application. The My Details profile will be uploaded when you apply for any position so you do not need to re-enter all your details again. Note: December 2013 Oxfam moved to a new job application system. If you had an existing log in prior to this (eg. previously applied for a job) you will need to set up a new login in the new system to apply or receive job alerts.

3. My Application Form This page provides shortcut links to the details of the job you're currently applying for and a list of
sections that need to be completed before submitting your application.

Note: If you are applying for more than one post concurrently a My Applications page will list the applications underway with an indication of progress of each. Note: Uploading CVs in pdf format is not currently allowed on the system.

It also gives you the option of withdrawing your application. If you wish to withdraw you will need to do this. Oxfam cannot do this on your behalf.

When you have completed filling in information on any of the sections, Save will provide a summary of the information provided. You MUST mark the section as completed before you Continue. You can always return and Edit details in the section later. Plan your time application forms and CVs can take time to write. Its always a good idea to save a copy of your work off line i.e. in a Word or notes document (The system will usually time out after 30 minutes) This is particularly important if your internet connection is not reliable. Once your happy with the content present it neatly and review it one last time before you submit. 3.1. CV Uploading at least one supporting document may be required for the application eg CV and covering letter. We do not have a CV template.

3.2 Supporting Information has some questions specific to the vacancy. If they are Not Completed then you need to Edit Questions.

3.3 Skills and Competencies This is an opportunity to emphasis your suitability for the position youre applying for. Dont be too broad in how you describe a specific skill or competency; we advise that you give us an example to demonstrate how well you meet each one. For example if the role requires Good IT skills, especially strong knowledge of Microsoft Word your response could be : I use Microsoft Word and Excel in my current job and have used other similar packages over the years. I am confident at writing, formatting, merging and editing word based documents; I frequently do this when writing letters to our supporters Recruiting Managers will want to see a concise and informative application. For example I am an experienced manager having been responsible for monitoring and controlling expenditure against a budget of x Briefly state why you think you are suitable for the role and why your want the job. You need to convince the recruiting manager that you will add value to the team and appointing you will make a difference to Oxfam

3.4 Referees As part of the application process Oxfam normally asks you to identify two referees of which one should be your current or most recent line manger. For each reference, a contact name, a postal address and email are mandatory for this section. You must also indicate whether the referees can be contacted before interview. The referees will help the recruiting manager to make a final decision about an individuals suitability for a position. Any offers of employment will be subject to satisfactory references. Please note that referees are usually contacted only if Oxfam wants to offer an individual a position.

Please ensure that you submit your application by 23:59 GMT on the advertised end date for a role in order for your application to be considered.

What happens next?

Once submitted you cannot edit or change the application. However you can withdraw it if you wish on the My Application Form page (see above). You will receive an email acknowledging your application and also reminders if it is incomplete. You will always be told in advance if you will be asked to complete one of the above assessments.
