Additional Instructions for Convocation Attendees

(also see the Convocation Expectations document that Cornell sent earlier, which is also
at the convocation website: http://snf.stanford.edu/Access/RemoteUsers/reu.html)

1. Airport Shuttle instructions and schedules will be sent out in a day or two. Please read
these carefully when you get them. (For your departures from Stanford, we may pass the
schedules and assignments out during the convocation).

2. When you arrive at Stanford, you need to first check in at the Conference Service
Center at Florence Moore Hall. (See labeled map of central part of campus at
http://snf.stanford.edu/Access/RemoteUsers/convocation.map.ppt, or larger map at
http://transportation.stanford.edu/images/04-05_Campus-Map.pdf)

The shuttles from the airport have been told to drop you off at Florence Moore Hall. (If
they need help finding it, tell them it’s on Mayfield Avenue near Campus Drive East and
Tresidder Union - and maybe have your map ready).

where the Conference Service Center office is. The Conference Service Center is open
8am to 10pm daily. After 10pm there is an after-hours number posted on the door and a
phone close by.

(For staff who are taking the shuttle, but are staying at Creekside Inn: upon arriving at
Florence Moore Hall with your students, you can call the Inn (650-493-2411) for a free
hotel shuttle pickup.)

3. When you check in, you need to pay a $80 key deposit. This can be cash, check or
credit card. When you check-out at the end of the convocation (again at the Conference
Service Center at Florence Moore Hall) and return the key, your cash will be returned or
your check/credit card slip will be torn up. It’s best if you pay with check or credit card -
that way if you need to check out when the Service Center is closed, you can turn you
key in using the key envelop and drop box at Florence Moore, and all the housing people
need to do is tear up your check or credit card bill.

4. You will be staying at one of two campus dormatories: 680 Lomita, and Theta Delta
Chi ("ΘΔΧ" on some maps and signs, or just Theta Delt). These are just southwest of
Florence Moore Hall - see map - so you can walk to your dorm from the Conference
Service Center. The person there can point you in the right direction.

5. Wednesday from 6-7pm is an informal pizza dinner in front of the 680 Lomita dorm.

6. Each day of the convocation, walk from your dorm to Skilling Auditorium for
breakfast and the start of the convocation. You can choose which talks you want to
attend at the two sessions at Skilling Auditorium or Thorton (room 102). Again, see map
at http://snf.stanford.edu/Access/RemoteUsers/convocation.map.ppt for locations. Also
see the map for the route from your dorm to Skilling. Attend as many talks as possible -
you should be at one session or the other during the convocation.
7. At the beginning of each half day, there is an Announcement session in Skilling
Auditorium, where important information will be given out.

8. We have rented one computer for each of the dorms for your email use. Please be
courteous and let others have access to them. Also, there are 4 public computers (with
browser access for email, etc.) in the Terman Engineering Library, located on the second
floor of the Terman Engineering building. This is located between the two convocation
conference rooms (Skilling Auditorium and Thornton 102). Do not waste too much time
using these please.

9. The shuttles to take you to the airport will pick you up at the same place they drop
you off (in front of Florence Moore Hall) unless we announce otherwise. Please check
on this before the end of the convocation.

10. Remember to turn your key in at the Conference Service Center at Florence
Moore (open 8am -10pm). If you need to leave during off-hours, use a key envelope and
drop box at Florence Moore right outside the Service Center. If you’ll don’t return your
dorm key you’ll be charged the $80 deposit. When you return your key, your cash will
be returned or your check/credit card slip will be torn up. (If you absolutely have to pay
your deposit with cash, and need to leave before the service center is open, give the key
to a friend who can turn it in and redeem your deposit, and then mail it to you.)
