Southlands Elementary School PAC Meeting Minutes

1. Co‐Chair Welcome    Verlee Bromley & Michelle Kokan, PAC Co‐chairs  
Michelle and Verlee welcomed the parents. 
 
 
2. Principal’s Report           Ian Cannon, Southlands Principal 
Safety Alerts ‐ Last week both Southlands and Kerrisdale received information from parents 
regarding a safety incident that happened in the broader community. This information was 
passed onto the VSB and we asked if a safety alert needed to be issued, we were told no, for 
events that happen in the community we are to take direction from the VPD regarding alerts. 
Generally the school will forward alerts to parents of events that have taken place at schools in 
our area, others are not sent out. 
 
Olympics ‐ We have a torch bearer making presentations to classes this Thursday. On February 
11, when the torch passes through this community Musqueam has invited spectators to a 
community dinner in their gymnasium. Unfortunately the torch comes through the area around 
5:00 pm, otherwise classes would have gone to the parade route. In terms of the Olympic 
weeks, we do expect some students absent if they are attending the events, there is also the 
possibility that staff may be late arriving at school due to traffic etc, and the chance that 
substitute teachers may not be available in event of illnesses. We will ask parents to be patient 
about this. 
 
School Performance‐ The Maple Man is here on Thursday afternoon, the performance will 
highlight French song and language, the harvesting of maple syrup and the making of taffy. The 
primary grades will be from 1 to 2 pm , followed by the intermediate grades 
 
School Assembly ‐The next assembly is on February 12, and will feature divisions 3 and 10 
sharing information on the IB learner trait "communicator." The choir will also perform a song or 
two. Parents are always welcome at assemblies and performances. 
 
2010/11 Registration‐ Kindergarten numbers are up, it looks like there may be two half day 
classes next year. Cross boundary applications are being accepted until March 1. After March 31, 
in catchment students who have not registered at the school are not guaranteed placement at 
the school and may be placed on the wait list.

Pedestrian Safety ‐ while there has been some improvement in the past weeks, some drivers 
are still endangering pedestrians. The school has initiated conversations with some drivers and 
reported licence plate numbers of other drivers to the police.  
 
Secondary School Registration ‐ Point Grey forms will be sent home. Once they are filled in and 
returned to Southlands, they will be sent en masse to the Secondary School. Bing is not taking 
cross boundary students and University Hill forms have already been distributed. 
 
FSA ‐ ongoing.  
  
Basketball ‐ the grade 7 game was cancelled, no one knows why. Suggestion was made to ask 
grade 12 basketball players to be the referees instead of the coaches, however decision needs 
to made at the PE association.  
 
Reena had a baby girl in the second week of January. Both mother and baby are doing fine. 
 
 
3. Treasurer’s Report            John Stekl, Treasurer 
The budget is on track. We were planning to have a $5000 deficit, but are moving forward. 
Budget highlights: 
Operating statement (attached) 
• Pizza and hotdog – still forecast to meet the budget. Revenues are all received, now the 
expenses are coming out.  
• Grocery vouchers are ahead of budget. 
• Direct donations – we budgeted for $2000, received $3300.  
• Winter social ‐ Budgeted to spend $1000, and raised $1400 total, for a net profit of $400. 
The bake sale made almost $800. 
• Grade 7 fundraising – dealing with money coming in and going out –does not reflect on 
budget. Grade 7s from last year left extra funds to be put towards this year's students. 
• DPAC – received $400.  
• Some overages in expenses – due to things being in wrong category 
Liabilities 
• Term deposit $10,000 ‐ emergency funds. 
• Grade 6&7 camp will be used this year ($500 every year, spent every two years) 
• Playground committee funds raised but not spent $3,400. 
• Read‐a‐thon raised last year were $61.23 to be spent this year. Will get a line at the top of 
the budget.  
• There is still $900 of unspent grade 7 funds left over from two years ago. Motion made by 
Carol Jones that the funds are given to this year's grade 7s, under the condition that (1) the 
PAC keeps the $500 budgeted for the Grade 7 grad, and (2) any unspent funds are returned 
to the PAC.  Motion seconded by Chrystal Palaty. Motion passed.  
 
4. Fundraising             Carole Jones, Fundraising 
 
Winter social ‐ The well attended event had total revenues of $3700 including ticket sales, silent 
auction ($2800) and bake sale ($800). Expenses were $3300 for decorations and gifts from 
Santa. PAC donated $1000, and made $1400.

Spring Fling ‐ Friday, April 9th. Country Hoe down. Notices will go home.  
1:45 will have carnival games, 5:00 pm barbeque, 6:00 silent auction, then band with line 
dancing. Trying to get Wildly Held Expectations. Goal will be to raise $4000. Will have cake walk 
and silent auction. Food will be more expensive and may reflect number of people attending 
from each family.   
 
Purdy’s Easter Fundraiser. Coming out soon.  
 
 
5. Other Business           Verlee Bromley & Michelle Koka 
 
Call for Yearbook Coordinator ‐ As there is no yearbook coordinator, a suggestion was made for 
the grade 7s to take on most of the work as a productive lunchtime activity. Marnie McLeod and 
Paula provided a list of what needs to be done. Paula can do a workshop with the kids but 
cannot coordinate whole project. Just some of the fun activities include: accessing photos from 
Mountain West, which need to be sized and second group needs retakes and need to be 
identified. Needs to go to print in April. Ms. Appleton can help but can't stay on top of it. Mr. 
Lynn is graphic artist, may be able to assist, and Lennie Sargent will take some of this on. 
Actions: there is a digital camera in the office which can be used for informal photos. A note will 
be put in the next newsletter calling out to volunteers to help and also asking parents to submit 
photos taken this year by email.  
 
Request from “Cook to Learn” program ‐ Nazi Rodrigues has requested a list of ingredients and 
donations she needs for her “cook to learn” class. The program was previously funded by a grant 
of $450 from an Aboriginal group, but she had to stop the program in December as they ran out 
of resources. and has had to stop the program in December as they ran out of resources. Non‐
perishable items will be requested at cost from Stong's and funds will be provided for perishable 
items on an "as needed" basis. The class features hands on learning and they get to eat what 
they make and share the excess with other classes.  
Action: Stongs/IGA will be approached for stables, and for gift certificates for staples. Verlee 
Bromley motioned that we give $200 for perishables and ask for donations from local grocery 
stores for the staples. Likely will be enough to make it the rest of the way through the year. John 
Bromley seconded the motion, and the motion was passed. 
A suggestion was put forward that the group make cookies/cupcakes to sell at lunch. Money 
that is made goes back into the fund to replenish resources.  
 
Readathon – Lennie Sargent is organizing this year's Read‐a‐thon with Jane McCaque. This year, 
the Readathon will be held from February 12 ‐ 26th and will have an Olympic theme. At an 
assembly on February 26th, participants names will be drawn for prizes. There will be three 
prize categories: 
Bronze ‐ all participants, regardless of amount read and amount donated. 
Silver ‐ for kids who donate more than $25 
Gold ‐ for kids who read the most minutes in each division.  
One of the prizes will be a lunchtime activity with Mr. Cannon.

Letter from DPAC ‐DPAC is encouraging PACs to write letters to the Ministry of Education, 
opposing the $17 Million shortfall in provincial education funding. Ian reported that February 3 
Principals meeting for budget review was cancelled. Although it is too late to close schools for 
next year, other costs will be cut including special education support. Everyone who is 
concerned should write a letter and mail it (not email). After some discussion it was decided 
that each parent/family should submit their own letter rather than sign a petition. 
Action: Michelle Kokan will draft the letter and will post it on the Blog. Reminder: postage is free 
to your MLA.  
  
Blog ‐ Need to publicize the Blog address. http://southlands‐pac.blogspot.com/ 
 
Safe Arrival: Discussion about the value of safe arrival. It is not working from a safety 
perspective, as office staff are not directed to do anything if a student is missing. Currently tis 
costs $450 for the phone line plus parent time. 
Suggestion: discontinue this program next year and mobilize volunteers to more valuable 
programs.  
Action: PAC will survey families in May, to determine what programs get cut next year, due to a 
shortage of volunteers. Safe arrival, Traffic Patrol, are at the top of the list. 
 
Minutes ‐ Carole Jones motioned to accept the December 2009 meeting minutes. John Stekl 
seconded the motion. Moved and accepted.  
  
New Granite ‐ the 4500 pound sign and twelve benches will be arriving at the school in the next 
few months.
