Object: WORK SESSIONS AT SCHOOL - MEETING THE LOCAL AUTHORITIES

Meeting Summary:

1. Common Documents in Google Drive. The Project Coordinator illustrates the following:
Documents discussed and produced during the 1st TPM agreement confirmed; two minor changes
requested for the List of Responsibilities (partners agree on double-checking the file again)
Collection of feedbacks received from the Evaluation Forms
Official logos
Sample documents to be used (according to partners necessity) for the Mobilities: Agreement
with families (a paragraph related to the use of Social Media needs to be added), Guest Form,
Hosting Families Form, Info to families
Partners are encouraged to fill in the common file for ongoing Activities

2. Discussion on Students Mobilities: minor changes are made to the Mobilities for Students chart.
Partners agree on the following:
Each partner will select travelling students according to the school rules and the Agreement
established between the school and the families. Students must be part of the National Team;
The hosting partner will match hosts and guests trying to take into consideration similarities and
special requests (if relevant);
Hosting partners will do their best to accommodate all guests;
Hosting partners agree on paying for the expenses related to the Geocaching activities in their
country involving all guests (for example: travelling to relevant places, entry fees to relevant
places);
The Hosting partner will quote additional activities the partners may wish to add to the agenda at
their expenses;
According to the Application Form France and Lithuania will not host Blended mobilities;
Considering Lithuania is not hosting (and because of different requirements by their NA) the
Lithuanian partner will pay for the above mentioned expenses; the hosting partner will send them a
quote;
Considering France is not hosting, the French partner will contribute to the project with a
proportional part of its budget in a way still to be defined;
If a hosting partner cannot host all the students sent to him, France and Lithuania agree on taking
their students to a Youth Hostel or Hotel;
Numbers defined during the present meeting might be changed by a common agreement between
sending and hosting school.

3. Meeting with the Local Authorities at the Town Council M. Zilio, president of the Communaut de
Communes, that is to say a group of five surrounding towns including Bollne; and M.
Denis Dussargues, mayor of Mornas.

The meeting was very much useful since the Mayor and the president of the group of towns welcomed
the project as very innovative and relevant for the local community. The president committed to support
the French Team by taking care of translations into different languages and by publishing leaflets and
brochures at the council expenses.

4. Training Session on the preparation of a Multi Cache and a Virtual Cache. Tips and tricks on the
creation of a trail on www.geocaching.com, plus guidelines on how to validate answers to
questionnaires on www.certitudes.org and www.geocheck.org .
Some limits of the tools emerge, since not everything is user-friendly.
Limit 1: the use of images.
Limit 2: editing a text the second time requires basic knowledge of html language.
Limit 3: the necessity to have the Internet at all times when a solution needs to be certified and the
answer is on the field (that is, very often)
A Video Tutorial will be very much useful
Anyway, it emerges clearly that the French Team did a massive job!

5. Planning the Mobility to Spain the Spanish partner distributes a draft Agenda and partners agree on
it. Detailed comments will be sent in the future days.
Info about travelling students should be sent as soon as possible (Sample Forms on Google Drive can be
used).

6. The Polish partner agrees on sending ideas related to the Cache of Memory.

7. The Project Coordinator and French partner agree to study an event meant to encourage a wider use of
the Twin Space (set of questions to be asked to? Flash Mob on the space? ).

8. The Project Coordinator will send a draft proposal on how to launch the summer Couchsurfing.

9. The Greek and Portuguese partners are asked by their NA to send a Report by the end of April. They
will let other partners know if they need any aid.

10. Signature Forms are collected and Attendance Certificates are given to all Participants.
