1. Discuss the roles of ushers, stage crew and promotion. All usher
a)Ushers:- members
-Logan(oversee), Crystal, Camillia and Brenda will help as ushers
during the event.
-Ushers jobs are to take care of the audience, the entrances and the
registration.
-Make sure that the audience are silent and do not use their electronic
devices during the performances. If they do, please laser them as a
warning.
-Be patient with the audience.
b)Stage Crew:- All stage crew
-Le Hui will oversee the stage crew members. members
-All stage crew members must understand the entire plan for the night
to not cause any panic and confusion.
-Always be alert in case of any sudden changes.
-Make sure the performers feel comfortable and dont rush them. Give
the performers enough time to get ready.
-Stage crew also need to ask what are the performers preference.

c)Promotion:- All promotion


-Post weekly updates on the Facebook event page. and poster
-Post videos regarding Chamber Music Ensemble and Opera Showcase members.
in the event page.
-Flyers should be printed out soon for distribution.
2. Brainstorm ways to promote and how to execute. All promotion
-Post countdown pictures of the last five days of the event. and poster
-Make a trailer (but need to have some footages of performers members
practicing).
-Book a booth in Block A to promote. Can get speakers to play classical
music or have someone perform(but cant be too loud as to not disturb
other students), or make an activity or game.

-Help sign up for those non-music students who are interested to


attend. So that the entrances during the actual event wouldnt have a
long queue during registration.
-Flyers to be distributed in a crowded area.
-Make sure to understand the criteria of the event (date, time, venue,
admissions, ELE points).

3. Discuss the posts of the stage crew and usher members. All usher
a)Ushers:- members
-During the event, FOUR ushers will be positioned at each door. TWO
are outside helping the registration and TWO on the inside will help to
seat down the audience.
-Other ushers will remain in the Recital Hall.
-Ushers please remember to be at your designated post and do not
leave unless you told your leader.
b)Stage Crew:- All stage crew
-TWO stage crew member for the piano lid and ONE stage crew members
member for the stands.
-The rest of the stage crew in 307 most probably.
Attire for all members during event should be jeans and black All
shirt/Imus shirt.
Will be having 2 emcees during event night (1 guy and 1 girl).
All members need to arrive at 6:30pm during the event.
Will discuss who will be at which post at a later meeting.

The meeting was adjourned at 4:11pm.
