1.0 SIGNING ON
1. At Sign On window, enter User ID then press <ENTER>.

2. Enter Password, press <ENTER>.

2.0 SYSTEM MANAGER MAIN MENU


Main Menu

Click buttons or key in menu number to go into menu’s contents.

• SYSTEM OPTION
Contains company profile and the default settings to be used in the
programs.

• USER RIGHTS
Contains setup for system users, their access level and password.

• LOCK
Contains setup for locking documents. Locked documents cannot be
edited.

• SECURITY
Contains the setup for controlling users’ access rights.

• TRANSACTION
Contains settings for program forms.

• REGISTRATION
Menu for registering Access Portfolio software.

• DB MAINTENANCE
Contains database backup and erasure function.

 BACKUP DB
Backs up actual database.
 ERASE DB
Erases the contents of the database.

3.0 SYSTEM OPTION

1. From System Manager Main menu go to System option.

2. Enter the information applicable to you or your business. Data


entered here will be used as default settings in the program.

3. Click Ok to save any changes made.

4. Click Cancel to abort the changes made.

4.0 USER RIGHTS

1. From System Manager Main menu go to User Rights

2. Enter USER ID.

3. Type the Complete name of the User.

4. Enter the login id to be used when logging in the system.

5. Enter the user’s password and confirm it by typing the same


password.

6. Set the access level of that user.

7. Click OK to save the changes or click Cancel or Clear to abort.

Note: For those who wish to edit their password or the access level, just press
enter twice to search the appropriate User ID.

5.0 LOCK

1. From System Manager Main menu, go to Lock Transaction .

2. Set whether you want to lock by date or document number.


Lock Date – Locks the transactions from date entered and
all the transactions created before entered date.
Lock Doc No – Locks the transactions from document
number entered and all the transactions with document
number lesser than document numbered entered.

3. Find the transaction type or form where you wish to lock a


range of documents.

4. Enter the date or document number.

5. Click Ok.

6.0 SECURITY

1. From System Manager main menu, go to Security

2. Check or Uncheck (click the check box) the action you want the users of a given
access level to be allowed to perform.

Open - User can click button to open a blank form.


Read - User can retrieve a transaction.
Write - User can edit transactions.
New - User can only create new transactions.
Delete - User can delete transactions.
Remove - User can Add/Remove items from the transactions (not applicable to
all).
Print - User can print the transactions.

7.0 TRANSACTION TYPE


1. From System Manager main menu, go to Transaction Type

2. Enter the Code Id or press F1 to see list of transaction types.

3. Make the necessary changes with the transaction type.

4. Click Save to save the changes, clear to abort, delete to erase that
record or close to go back to main menu

8.0 REGISTRATION
1. From System Manager main menu, go to Registration.

2. If the software was initially installed as demo, a registration form


would be displayed

3. If it is already registered, a window will appear saying that it is


already registered.

4. Fill the required spaces and follow the directions stated.

5. Click Ok to submit or Cancel to abort.

9.0 DB MAINTENANCE

9.1 BACKUP DB

1. From System Manager main menu, go to DB Maintenance

2. Click Backup DB

3. Wait until backing up will be finished.

4. Click return to go back to System Manager main menu

9.2 ERASE DATABASE

1. From System Manager main menu, go to DB Maintenance

2. Click Erase Database

3. Wait for confirmation prompt for successful execution.
