TOEFL SUPERVISORY MANUALS

ACTIVITIES ON THE DAY OF THE TEST


Supervisors and proctors must read this section carefully before administering the
tests. It is also suggested that room proctors read this section. Please read out loud
the instruction in bold.

7.30  Supervisors and Proctors arrive at the supervisory room


 Check the TOEFL questions and answer sheet. Organize them on the front table
carefully.
 Test the audio system by playing the audio file for a while. Make sure it is
clearly audible from the beginning until the end.
 Organize the test takers seat.
 Check the air conditioner for room’s comfort.
7.40  The test takers should have arrived.
 Proctors check the test taker’s ID and match it with the listed name in the
attendance list.
 Have the test takers sign the attendance list.
 Let them be seated in accordance to the seat number.
08.00  Greet the test takers: Good morning. Welcome to this TOEFL test
session. Please listen carefully. You are not allowed to take any
personal belongings into the test room. Do NOT take your
mobile phone or any electric equipment into the room. If you
are found to have these items, you will be asked to leave, and
will not be allowed to complete the test.
 Now, you should have only three things in your hands: your ID
card or passport, a pencil and eraser. Please put your
belongings in the front side of the room.
 If you want to use the toilet, please use it now. After you enter
this room, you won’t be allowed to go to the toilet until the
Structure and Written Expression test begins.
 Please listen carefully. You are now under examination
conditions. If you need help, please raise your hand. Do not
speak.
 First you will do the Listening test, then the Structure and
Written Expression Test and then the Reading test. This will
take about two hours.
 There are some important rules to tell you:
 Do not tear out or remove any pages from the question
booklets.
 Do not take any test materials out of the room.
 Do not leave your seat or speak to others.
 Mobile phones are NOT allowed in this room – if you have one
with you, please raise your hand now so we can take it out of
the room.
 Cheating of any kind is not allowed. Cheating includes but is not
limited to:
 opening question booklets before being allowed
 continuing to write after you have been asked to stop
 making notes on the Desk Label
 talking to other candidates
 copying other’s work
 using prepared notes
 trying to take any test information out of this room
 having any electric devices with you
 or changing your identity with another candidate
 Candidates who are caught cheating will not be allowed to sit
the remaining tests and will not receive a Test Report Form.
 If you have a problem during the test, please tell us by raising
your hand.
8.10  We will now give out the answer sheet. Please handle the
answer sheet carefully because it will be read by a computer.
 You will now write your details in the answer sheet.
 Write your name here in CAPITAL letters.
 Write your candidate number in the boxes here. (Point and
pause)
 Shade your candidate number in the grid, here. (Point and
pause)
 Shade the numbers for the date here. (Point and pause)
 Today’s date is …, the month is …, the year is …
 Go around to check whether candidates have filled in their personal
information correctly.
 I will play the CD for a few seconds and then stop it to check
that everyone can hear. Can everyone hear?
 Repeat this 3 times. Adjust the volume if necessary.
 If there are any technical problems with the CD or the equipment,
please stop the CD and inform the Supervisor immediately.
 We will now give out the question booklets.
 You can read the instructions on the cover, but DO NOT TOUCH
it until the recording told you to do so.
8.15  The first section of the test is Listening Comprehension. All the
directions for this section are given on the recording you will
hear in a moment. I will begin the recording now.
8.50  Stop work on Section 1. During the next 25 minutes you may
work only on Section 2. You may not read or work on any other
section during this time. Turn to Section 2 in your test book.
The number 2 is printed across the top of each page in this
section. Now read the directions for Section 2 and begin work.
9.15  Stop work on Section 2. You will have 55 minutes to work on
Section 3 only. You may not read or work on any other section
during this time. Turn to Section 3 in your test book. The
number 3 appears across the top of each page. Now read the
directions for Section 3 and begin work.
10.05  You will have 5 minutes to complete this section.
10.10  Stop work and put your pencil down. You may not make any
more marks on your answer sheet. If you do, it will be
considered cheating. Close your test book, and keep it closed.
Do not put your answer sheet inside the test book. Place your
identification document on your desk. I must check your
identification document to see that the name on your
document matches the gridding of your name on the answer
sheet. I am going to collect the test books first and then the
answer sheets. No one may leave the room until all materials
have been collected and counted. You must remain in your seat
and you may not talk until you are dismissed.
 Thank you. This is the end of the test. Now, you are dismissed.
10.15  When the Test is Over, Do the Following:
 Ask test takers to take out their ID documents again. Collect the test books
individually from each test taker in the same order in which you handed them
out.
 As you pick up the answer sheets, check the test takers’ ID documents against
what has been entered on the answer sheets. This ensures you are receiving a
single answer sheet from each test taker. Do not have answer sheets passed to
you along rows.
