CAMPUS AMBASSADOR
MEMORUNDUM OF UNDERSTANDING
PURPOSE:
The purpose of this memorandum is to provide the framework and give an
understanding for the role of a Campus Ambassador and to clarify the
obligations of the Secretariat and the undersigned.
The prime provision of this contract between the aforementioned parties is
that fulfilment of all the obligations in entirely will make the undersigned
party eligible for being a Campus Ambassador at Jaipur Youth Conclave 2020.

SECTION 1: OBLIGATIONS OF THE CAMPUS AMBASSADOR


1. The Campus Ambassador is required to share all the posts,
announcements and updates of JYC 2020 on all possible social media
accounts pertaining to the Campus Ambassador (Facebook, Instagram,
Whatsapp, Twitter etc.)

2. The Campus Ambassador is required to respond and remain in contact


whenever his/her assistance is required in the matters of delegation.

3. The Campus Ambassador is required to carry out his/her duties actively,


before, on and near the days of conference. The tasks include
production of delegate list timely, coordination between contingent and
Secretariat, promotion of the conference etc.

4. The Campus Ambassador is required to consolidate and bring a


minimum delegation of 15 delegates to Jaipur Youth Conclave 2020.

5. The Campus Ambassador is required to participate as a delegate at the


conference and thus, has to fill the Delegate Application.

6. The Campus Ambassador is required to maintain the code of


confidentiality regarding sensitive information relating to the
conference.
SECTION 2: OBLIGATIONS OF THE SECRETARIAT

1. The Secretariat is obligated to provide all the Campus Ambassadors the


following:
Certificate of Participation and Letter of Recommendation

2. Cash prize for Best Campus Ambassador (Best Delegation) = INR 40,000

3. The Secretariat is obligated to waive the registration fee of the


undersigned, provided he/she brings a delegation of more than 25
delegates.

4. The Secretariat is obligated to provide a remuneration of INR 5,000


along with complete registration fee waiver provided he/she brings a
delegation of more than 30 delegates.

SECTION 3: OTHER TERMS AND CONDITIONS

1. Alcohol Policy
Consumption and/or possession of alcohol at the conference will not be
tolerated under any circumstances. If any Campus Ambassador is found to
possess, consume and/or to have possessed or to have consumed alcohol at
the conference, the Campus Ambassador will be immediately expelled from
the conference and hotel; criminal complaints may be pursued against the
Campus Ambassador in question.

2. Controlled Substances Policy


Controlled substances are likewise illegal and intolerable. Any Campus
Ambassador found to unlawfully possess or use, or to have unlawfully
possessed or used any controlled substance will be immediately expelled from
the conference and hotel; criminal complaints may be pursued against the
participant in question.
3. Hotel Courtesy
Campus Ambassadors will be held responsible for vandalism or any other
damage that occurs in their rooms. Rowdiness in the hallways, excessive noise,
roughhousing, throwing objects, accessing prohibited areas of hotel premises,
and/or other unruly behaviour will not be tolerated. False fire alarms will be
dealt with severely. The secretariat and hotel staff reserve the right to eject
anyone for these or other disruptions to the safety and well-being of other
hotel guests.

4. Valuables
If Campus Ambassadors must bring valuables, they are encouraged to place
them in a hotel safe deposit box. JYC and the venue are not responsible for
belongings left in guest rooms or in meeting rooms.

5. Expulsion from the Conference


The Secretariat reserves the right to expel any Campus Ambassador thereof
from the conference at any time for violating or failing to comply with
conference regulations, or for any other reason. JYC has a zero-tolerance policy
concerning alcohol and controlled substances, and violations of the alcohol
and/or controlled substance policies will always result in expulsion. Expulsions
take effect immediately at the time they are issued. All conference registration
materials (i.e., conference badges and placards) must be surrendered to
conference staff upon expulsion.

6. Dress Code and Conference Badges


The safety of conference participants is of paramount importance to JYC. To
maintain and enhance security, JYC requires all conference Campus
Ambassadors to visibly wear conference badges/Identity cards at all times
during the conference; everyone is required to adhere to the conference dress
code as outlined in conference publications. Participants who fail to adhere to
these rules may be excluded from conference proceedings and events.
JYC staff reserves the right to check conference badges/Identity cards of any
participant at any time, for any reason whatsoever. Failure to display a valid
badge may result in expulsion from the venue.
7. Photography and Video
Throughout the conference, JYC staff and representatives of the conference
may take photographs, videos, and interviews that show conference
participants both during and in between committee sessions, and which may
be used for promotional, educational, or other purposes by JYC. By attending
the conference and signing the liability release form, participants consent to be
photographed, videotaped and/or interviewed and authorize JYC to use those
photographs, videos, and/or interviews in any manner of JYC's choosing.

8. Other Rules
These rules are in addition to those established by Indian Laws and ordinances,
and participating schools’ policies. Serious infractions will result in dismissal
from the conference of those involved. The Secretariat reserves the exclusive
and unquestionable right to issue additional rules or to alter existing rules at
any time at their discretion.

DECLARATION
I have carefully read all terms and conditions and agree to all sections of this
memorandum of understanding. Failure of any aforementioned clause on both
the parties may result in termination of the contract and removal of the
undersigned from the Campus Ambassador Program.
