(Job #10-67) Administrative Support Assistant II (ASA II), Work Control Clerk $2,505-3,758/month.
Appointments are typically made at the beginning of the salary range. This is a full-time, benefited, 12-month
probationary position in the department of Plant Operations.

Position Summary: Under general supervision, the ASA II is the first point of contact for the Work Control
Center in Plant Operations.

Duties: The ASA II will screen telephone calls and review written work requests to determine proper course of
action; act as department contact for campus e-work request system, create new accounts, monitor and provide
assistance to e-work request users; dispatch emergency and urgent situations for immediate response; route
service, routine maintenance and non-maintenance requests to appropriate staff; enter and track all requests into
a computerized maintenance work order system; serve as liaison between department and campus community
to continuously promote positive, prompt, efficient and courteous services; answer campus inquiries and relay
work order information as appropriate; provide general clerical support to the Building Trades Supervisor and
Facility Project Supervisor; compile work order information and produce reports using the MMS+ work order
system; review daily timesheets and work orders turned in by the shops to ensure all necessary information has
been included; complete data entry of labor and material costs, track for completion, change work order status
and process batch work order closing; route department charge work orders for billing and provide billing proc-
ess assistance as needed; maintain and update preventive maintenance documentation and run weekly preven-
tive maintenance work order process for distribution; handle and maintains log of daily key check in/out sys-
tem; call for elevator repair service and maintain repair records; responsible for organizing and managing the
facilities work order and timesheet filing system; provide backup support for front office.

Minimum Qualifications: Education & Experience: Three years of progressively responsible general cleri-
cal or technical experience.

Knowledge, Abilities & Specialized Skills: Thorough knowledge of current office methods, procedures, and
practices; excellent oral and written communication skills including grammar, punctuation and spelling skills;
ability to learn, interpret, apply and explain a variety of complex policies and procedures to University person-
nel and the public; ability to work effectively with general supervision; work with strict attention to detail and a
high degree of accuracy; establish priorities and coordinate work assignments; be resourceful and be able to
exercise initiative; ability and willingness to work in a high production atmosphere under pressure of multiple
projects, constant interruptions and changing needs within a busy office; ability to remain calm, act quickly and
use good judgment in emergencies; possess strong customer service skills and the ability to convey a profes-
sional, helpful and positive attitude to co-workers and campus community; excellent telephone skills (e.g.
pleasant telephone manner, ability to provide clear, concise information); a demonstrated ability to communi-
cate effectively and maintain cooperative working relationship with a diverse work group (ability to be a team
player is highly desirable); demonstrate reliability and dependability as they relate to the requirements of the
position.

Preferred Qualifications: Demonstrated hands-on experience responding to customer requests and issues in a
dispatcher/call center/work distribution center/work control center environment; experience working in an in-
stitutional maintenance environment; knowledge of maintenance, repair and construction terminology; experi-
ence working with a computerized maintenance management work order system; ability to operate and monitor
two-way radio system; recent experience using personal computers and a variety of applications including thor-
ough knowledge of PC environments (Windows); current experience using MS office (word, excel and others);
satisfactory completion of 2 years of college.
