CASE STUDY
“THE STATE UNIVERSITY EXPERIENCE”

BACKGROUND OF THE CASE

This student experienced a near complete failure in the service processes with the State
University. The campus tour, conducted by a university guide, was poorly executed, leaving the
student and parents with unanswered questions. The admissions application process was faulted
by the University admissions department, resulting in lost transcripts and enrollment files. The
student was then inadvertently enrolled into a lesser, two-year program with no majors
emphasized. Once again the student’s enrollment in the two-year program was faulted at the
application process. What types of process management activities should State University
administrators undertake? The State University administrators should develop a program or
department that oversees complete student enrollment. The program could include a number of
functions; specific enrollment counseling, campus orientations, registration and new student
liaisons.

AREAS OF CONSIDERATION

A. Internal Environment
1. Strengths
 The university is close to where the student lives.
 The university offers a lot of majors.
 The campus is huge.
 The enrolment process is computerized.

2. Weaknesses
 The application process is poor which confuses the applicants.
 Record-keeping is not organized resulting to misplacement of documents.
 The tour guide lacks knowledge about the university.
 Confirmation of the student’s application is not organized.
 Billing is confusing the applicants.
B. External Environment
1. Opportunities
 A lot of applicants are interested in the university.
 Applicants that live nearby will consider enrolling in the university.
 Applicants get to choose what major they can take up.
 Applicants’ notice of acceptance is easy.
 The university is accessible to all since it is near the neighborhood.
2. Threats
 Poor processing system may lead to withdrawal of application of a lot of
applicants.
 Loss of documents because of poor filing system.
 Wrong information may be passed to applicants because of the tour guide’s
lack of knowledge about the university.
 Wrong billing information to applicants is possible because of the wrong
information.
 Some students may not be able to proceed to their enrolment since the
confirmation is not properly organized.

CENTRAL PROBLEM

The case’s central problem is their poor management and processing system application.
Also, the people in the internal organization lacks knowledge of the university which leads to
incorrect information and confusion to the applicants and new students. The university also forgets
to inform the applicants about the availability of slots in some majors. This causes the students to
take up the major they didn’t choose.

STATEMENT OF THE OBJECTIVE

 Resolve the university’s problem about the poor management system that affect
the applicants and the students.
 Provide the employees’ a better understanding of the university.
 Offer a more smooth transaction for applicants.

FINAL DECISION

The management needs to hire additional personnel to improve the admission system of
the university. Through this, more people will be handling the admission and will make
the process faster and easier for the applicants. Also, this will avoid confusion to the
applicants, especially to those who are new in the university.
