Business Example

Ed is an environmental manager of a gas pipeline company who occasionally needs to record


environment-related data (consumption or emissions). Consumption can be related to the fuel
used for compressor stations (for example, natural gas) and the emissions are the result of
burning that fuel (for example, CO2, N2O, or CH4).

Component extension 6.0 for EHS Management comprises the environmental management
component that supports the process of identifying requirements, collection of data, calculation
of emissions, data monitoring and processing of identified deviations.

Using the emission management, Ed can define the requirements and form a compliance
scenario, he can define the data needs, who will collect that data, how often and from where, he
can . In addition, Ed can define validation criteria (validation rules) for the collected data. He can
monitor the result of the validation checks. Ed can define calculation expressions and monitor
the calculated data. Finally, if some of the records exceed a particular rule, Ed can handle it as a
deviation.

Compliance Requirements
Concept
To be environmentally compliant, a given location (or a piece of equipment) must adhere to certain requirements; these may be part of the
documents (regulations or permits) issued by global environmental agencies, or policies that are issued by the companies internally.

To ensure and control the environmental compliance at a location or equipment in accordance with the corresponding regulations, permits, or
internal policies, the environmental manager have to prepare the set of requirements (conditions) that are relevant for the industry of your
company.

The environment management component enables the customer to create an object known as a compliance requirement and use the issued
regulations, permits, or internal policies as a basis for this object. The compliance requirement facilitates the creation of industry-relevant
excerpts of the larger environmental documents.

Compliance Requirements
Types & Common Attributes
The compliance requirement contains all master data related to regulations, permits, and policies you create in the system. Creating a
compliance requirement is prerequisite in working with compliance scenarios and their underlying elements.

To ensure compliance in your industrial processes, the compliance requirement business object helps you organize detailed information which is
critical to the environment, and operate with environmental limits and regulatory lists, against which the system checks all of your processed and
recorded data.

Create Regulation

Maintain the regulations which are applicable for your operations. Add the legal requirements in a hierarchy and add environmental limits and
regulatory lists.

To activate the object set the status to Released. In case of changes over
time, system supports the creation of multiple revisions.

Add Paragraph

Once the Compliance Requirement


(Regulation, Policy or Permit) is created,
you can add the respective paragraphs
and add the content for them.

When the Regulation is created, the


system defaults the title of the
Regulation as main paragraph in the
table. Every other paragraph will be
under the main one.

Add Paragraph

Upon confirmation the system adds the paragraph into the table. By default the paragraph has no environmental limits (threshold values) and
regulatory lists (Emission Factors, Global Warming Potential, HHV lists, etc.) assigned.

Environmental Limit
The environmental limits define compliance checks on the environmental data (collected or calculated) within the compliance requirement
paragraphs.
An environmental limit denotes an environmentally-relevant threshold that can be related to the collected or calculated data. After the limit is set, the
corresponding data is verified against it and the system automatically determines whether the data is within the range, approaches the limit, or
exceeds it.
Regulatory List
The regulatory lists to define the values of a given chemical property within a list of specified chemicals. The regulatory lists contain reference
information about additional compliance checks that can be extracted from the environmental documents (regulations, permits, or internal policies).

Maintain regulatory list data such as emission factors which can be used for Emission calculation at a later stage. Depending on the
used substance and the pollutant you have to provide the applicable emission factor.

Add Environmental Limits
Limit checks are very important to demonstrate the compliance. Limit definitions are very flexible and easy to define. An icon indicator is
showing at glance the limit check result.

Define environmental limits by providing a name, a type such as ‘upper, lower or range limit‘ ,the subject and unit of measure. It is possible to
define a limit value and a warning value.

Policy consists at least of:

• Domain

Validity Area is not mandatory but it is


still an important attribute of the
requirement creation. It is additional
attribute that can be added after the
policy is initially created.

The requirements are very easy to


maintain by selecting the level and
pressing the add button. Environmental
limits and regulatory lists can be
assigned on each level.

Once the Policy details are completed,


set the status to Released, therefore
the policy is available in the searches.

Compliance Scenario
Create Scenario
Once the compliance requirements are created, a next step would be to create the compliance scenario as well. Within the scenario a linkage
between the location and the compliance requirements is created and the assignment of the responsible person is done.

The compliance scenario business object is a hub


for operating with data collection, sampling, and
emission calculations. Responsible persons can
be assigned and environmental limits, attach
compliance certificates and other documents to
your activities.

Setup Data Collection
For the purpose of environmental compliance, the environment manager can plan and
execute data collections for the specific chemicals or physical parameters that are used
at a given location (or a piece of equipment) in your company.

To do this, an object known as data collection definition can be created. It contains all the
necessary information (such as the chemical or physical parameter, the unit of
measurement, and the data period) that is needed to carry out collection of
environmentally-related data. Later on, the collected data is used in the emission
calculation activities.

are ready, several subsequent steps can be performed

on the Location that was assigned to the Compliance Scenario.

Add Samplings
Sampling process for substances involved in industrial processing at the plant can be set up in the system. Organizing the sampling activities in a
compliance scenario enables you to monitor and provide chemical data from sampling, and in this way comply with environmental requirements.

Sampling dates and process sampled data in


organized sampling processes can be planned
which ensure compliance with environmental
regulations.

The handling of all sampling activities and process


steps is done in the compliance scenario.

Sampling Name is the only mandatory attribute for the Sampling definition. In addition The Sampling Method, the Planned Samples and
Instructions and Hints can be added to the details. The Sampling Subject and the Chemical Property are already preselected and not editable.

Add Calculations
The environment manager can create and manage the calculation of emissions at its location (or equipment). Emission calculations can be
created based on the provided compliance requirements and their regulatory lists, the collected environmentally-related data, or other
calculations.
The calculation of environmentally-related data is controlled by a background job that runs in the back-end system when given events occur. An
example for such an event could be the arrival of newly-submitted and approved data records in the system after the data collection procedure.

The approved data records are either


the result of a manual approval
procedure, executed by the
responsible environmental manager,
or the result of an automatic approval
process that includes the
environmental limits in the system.

In this case, the calculations are


triggered automatically and the results
are recorded and used in the system.

Process Deviation
Deviation
“ … deviation is a measure of difference between the observed value of a variable and some other value …”

The deviation reporting process is part of the environmental management processes and it is designed to handle cases of violation of
environmental requirements. These can be related to incorrectly implemented procedures or limits and thresholds that were violated by the latest
measured data compared to preceding processes of data collection.

The deviation record is an event of violation of specific environmental requirements


which in Environment, Health, and Safety Management is designed as an incident.
For this reason, the deviation object is technically an incident object with the specific
group deviation. The deviation object has its own application lifecycle. Therefore, it
does not require fully implemented incident management component. However, for
the deviation processes a corresponding incident management configuration is
required.

 Identify deviation
The deviation record describes a case when environmental requirements were violated.
In environmental management a deviation can be created as follows:
• From data monitor of a measurement.
• From validation results monitor.
• From service – in case the deviation is not related to measured data during identification.
 Assign and approve deviation data
The deviation processing application allows the environmental manager to assign and unassign relevant data.
The completion of a deviation requires approved assigned data. This means that it is handled as part of a reported deviation.
 Investigation
The investigation is a sub-process in the deviation.
 Take measures
The Tasks tab allows the environmental manager to define and process
corrective or preventive measures, such as: actions, notifications, approvals.

Create Deviation
The environmental manager can record an identified deviation during the measurement data monitoring. Once the processes of collecting and
recording the measurements is competed, the deviations can be easily recognized and captured in the system.

The Create Deviation pushbutton in the Data Monitoring dialog of a specific measurement allows the environmental manager to assign one or
more than one unhandled value with status New or missing values to a deviation.

The environmental manager can select records from the result table (records for missing data or validation rule errors).

deviation reporting. To be able to close the deviation incident, the status of all deviation records must be Approved with Deviation.
Using the Change Regulations pushbutton on the deviation incident the environmental manager can change the regulations in use. The possible
regulations can be configured in the Customizing activity Specify Regulations under the General Configuration node.

Investigation Flow
The investigation process is similar to the incident management and the environmental manager can schedule it in tab Investigation. The
investigation is a separate process that comprises the following steps:
• Plan the investigation – specify the investigation lead, create a list of investigation steps that should be performed, and assign these steps to
investigators.
• Perform the planned steps in order to gather information on the case.
• Analyze the information and schedule the necessary measures on the Tasks tab.
• Finally, close the investigation by generating summary report and completing the investigation with a conclusion.

(SAP Interactive Forms by Adobe).
The functionality is similar to the
incident management and requires
prior design and configuration of the
template, as well as setting its
availability in the Add pushbutton on
the Report Forms section.

By default, no reports are available


with the standard delivery. You can
