PROCESS INSTRUCTION FOR HR ACTIVITIES
A. PLAN
This process instruction describes the procedure for recruitment and training of the personnel.
B. INPUT
Need Identification
Minimum Requirements for recruitment
C. ACTIVITIES
1. HOD (HR) shall be informed by departmental levels for the needs of personnel within the
departments
2. Request for recruitment shall be sent to approving authority.
3. After approval, the vacancies shall be published / communicated to job consultant; with minimum
requirements.
4. Resumes shall be collected and short listed on the basis of requirements for specific job.
5. Short listed candidates shall be called for interview.
6. Interview shall be held on the basis of job position.
7. Selected candidates shall be issued an offer letter stating lump-sum gross salary
8. On Joining, a Nomination Form will be given to the candidate to fill up. Also Copies of the
Educational Certificates and Experience certificates and 2 Nos. photographs will be collected
from the candidate. His/her name is entered in the Attendance Register. Simultaneously a
separate file is made on his name, with all relevant data along with copy of call letter, offer letter
and appointment letter.
9. An appointment letter shall be issued on the date of joining duty with mentioning the terms and
conditions.
10. After joining, he will be introduced in specific department. Required job training shall be given to
fresh employees.
11. An Employee Card is also issued to him.
12. After successful completion of the job training / probation period, he will inform for his
confirmation.
13. Training needs shall be identified for exist employees within the departments on the basis
of performance evolution.

14. Annual training plan shall be prepared with mentioning the training subject.
15. Training programme will be held either in-house or outside as per requirement of training subject.
16. All the trainees will be evaluated for special training and record shall be maintained.
