INTRODUCTION:

In the study, Communication is a two-way process wherein the message in the form of ideas, thoughts, feelings,
opinions is transmitted between two or more persons with the intent of creating a shared understanding.
Simply, an act of conveying intended information and understanding from one person to another is called as communication.
The term communication is derived from the Latin word “Communis” which means to share. Effective communication is
when the message conveyed by the sender is understood by the receiver in exactly the same way as it was intended.
Organizational communication is the exchange of information, ideas, and views within and outside the organization.
Organizational communication indicates communication not only in business but also in hospitals, churches, government
agencies, military organization, and academic institutions. Every organization whether business or non-business, has some
specific goals and stakeholders. Attainment of those goals depends on successful communication with the respective
stakeholder groups. Therefore, communication is considered as the part and parcel of any organization.
Communication is a two way in which sender reaches a receiver with a message. There is a need for
people in organization to have knowledge of the communication process, and it is a first step to make it effective. Without
communication, organizations cannot exist. It is through communication that the individual members of the organization will
know important concerns such as objectives, how will they achieve those objectives, roles, and who are the individual
members.
According to Goldhaber, “organizational communication is defined as the flow of messages within a network of
interdependent relationships.”
William Scott defined, “organizational communication is a process which involves the transmission and accurate
replication of ideas ensured by feedback for the purpose of eliciting actions which will accomplish organizational goals.”

COMMUNICATION PROCESS

The communication is a dynamic process that begins with the conceptualizing of ideas by the sender who then transmits the
message through a channel to the receiver, who in turn gives the feedback in the form of some message or signal within the
given time frame. Thus, there are Seven major elements of communication process:
1. Sender: The sender or the communicator is the person who initiates the conversation and has conceptualized the idea
that he intends to convey it to others.
2. Encoding: The sender begins with the encoding process wherein he uses certain words or non-verbal methods such
as symbols, signs, body gestures, etc. to translate the information into a message. The sender’s knowledge, skills,
perception, background, competencies, etc. has a great impact on the success of the message.
3. Message: Once the encoding is finished, the sender gets the message that he intends to convey. The message can
be written, oral, symbolic or non-verbal such as body gestures, silence, sighs, sounds, etc. or any other signal that
triggers the response of a receiver.
4. Communication Channel: The Sender chooses the medium through which he wants to convey his message to the
recipient. It must be selected carefully in order to make the message effective and correctly interpreted by the
recipient. The choice of medium depends on the interpersonal relationships between the sender and the receiver and
also on the urgency of the message being sent. Oral, virtual, written, sound, gesture, etc. are some of the commonly
used communication mediums.
5. Receiver: The receiver is the person for whom the message is intended or targeted. He tries to comprehend it in the
best possible manner such that the communication objective is attained. The degree to which the receiver decodes the
message depends on his knowledge of the subject matter, experience, trust and relationship with the sender.
6. Decoding: Here, the receiver interprets the sender’s message and tries to understand it in the best possible manner.
An effective communication occurs only if the receiver understands the message in exactly the same way as it was
intended by the sender.
7. Feedback: The Feedback is the final step of the process that ensures the receiver has received the message and
interpreted it correctly as it was intended by the sender. It increases the effectiveness of the communication as it
permits the sender to know the efficacy of his message. The response of the receiver can be verbal or non-verbal.

EFFECTIVE COMMUNICATION

An Effective Communication is a communication between two or more persons wherein the intended message is
successfully delivered, received and understood. And explanations, carefully distinguished beliefs that are reasonable and
logical from those that-however
In other words, the communication is said to be effective when all the parties (sender and receiver) in the communication,
assign similar meanings to the message and listen carefully to what all have been said and make the sender feel heard and
understood. In the business context, the communication is effective if the information shared among the company
employees contributes towards the organization’s commercial success.
The effective communication includes not just the way you use the words but also covers several other skills such as, non-
verbal communication, ability to understand your own emotions as well as of the other person with whom you are
communicating, engaged listening, ability to speak assertively, etc.
There are several barriers to effective communication which are listed below:

2. Organizational Barriers
3. Psychological or Emotional Barriers
4. Personal Barriers

Effective communication in the organization enables the employees to deepen their connection with others and improve
teamwork, decision-making, and problem-solving capacity. The communication is a skill which is learned, and an individual
can gain spontaneity in it by putting in his extra efforts and participating in more public conversations.

CONTRIBUTION OF COMMUNICATION PROCESS TO ORGANIZATIONAL EFFICIENCY

Effective Communication is significant for managers in the organizations so as to perform the basic functions of
management, i.e., Planning, Organizing, Leading and Controlling.
Communication helps managers to perform their jobs and responsibilities. Communication serves as a foundation for
planning. All the essential information must be communicated to the managers who in-turn must communicate the plans so
as to implement them. Organizing also requires effective communication with others about their job task. Similarly leaders
as managers must communicate effectively with their subordinates so as to achieve the team goals. Controlling is not
possible without written and oral communication.
Managers devote a great part of their time in communication. They generally devote approximately 6 hours per day in
communicating. They spend great time on face to face or telephonic communication with their superiors, subordinates,
colleagues, customers or suppliers. Managers also use Written Communication in form of letters, reports or memos
wherever oral communication is not feasible.
Thus, we can say that “effective communication is a building block of successful organizations”. In other words,
communication acts as organizational blood.
The importance of communication in an organization can be summarized as follows:
1. Communication promotes motivation by informing and clarifying the employees about the task to be done, the
manner they are performing the task, and how to improve their performance if it is not up to the mark.
2. Communication is a source of information to the organizational members for decision-making process as it helps
identifying and assessing alternative course of actions.
3. Communication also plays a crucial role in altering individual’s attitudes, i.e., a well-informed individual will have
better attitude than a less-informed individual. Organizational magazines, journals, meetings and various other
forms of oral and written communication help in moulding employee’s attitudes.
4. Communication also helps in socializing. In today’s life the only presence of another individual fosters
communication. It is also said that one cannot survive without communication.
5. As discussed earlier, communication also assists in controlling process. It helps controlling organizational member’s
behaviour in various ways. There are various levels of hierarchy and certain principles and guidelines that
employees must follow in an organization. They must comply with organizational policies, perform their job role
efficiently and communicate any work problem and grievance to their superiors. Thus, communication helps in
controlling function of management.

An effective and efficient communication system requires managerial proficiency in delivering and receiving messages.
A manager must discover various barriers to communication, analyze the reasons for their occurrence and take
preventive steps to avoid those barriers. Thus, the primary responsibility of a manager is to develop and maintain an
effective communication system in the organization.

REFLECTION:

Communication is an important skill for people to have in an organization. Establishing and developing an efficient
communication system is very important for any organization since it helps to communicate meaningful messages effectively
throughout an organization.
For us teachers, teaching is all about communication, preferably good and effective communication towards our pupils, to
parents, co-workers, superiors and to all the stakeholders of the school community. Teachers who hone their
communication skills are prepared to instruct, advice and mentor students entrusted in their care.
As teacher, we must be able to express ourselves both verbally and in writing in order to report student’s progress
to parents. We need to explain the strengths and weaknesses of our students so that the parents will understand the
message and be receptive rather than defensive. This is important when we convey a difficult message about the student's
misbehavior or learning problems. The message must be delivered clearly and with tact. We should be comfortable
communicating with parents regularly, with phone calls and informal notes in addition to formal report cards.
Aside from having communication towards our pupils and their parents, effective communication is also very
essential in our own workplace wherein every day, we have to deal and spend our long hours with our co-workers and
superiors. If there is an effective communication in our own organization, the school itself will be benefitted because there
will be a harmonious and peaceful communication process that will always take place. We will learn how to value the art of
speaking and listening towards an achievement of progressive and healthy relationship towards the other member of the
school community.
