CIRCULAR

Further to the Circular dated 10.01.2020, this is to inform Men's

Hostel students that room reservation counselling for the next-academic year

(2020-2021) will be held on 13th, 14th and 15th March, 2020.

The HOSTEL ROOM ALLOTMENT POLICY for the academic year

2020- 2021 is attached herein for your information. Room reservation
criteria will be purely based on the academic performance (NCGPA
Ranking). The same will be displayed in the student login and in the
respective Hostel Block Digital Boards.

Students should register through the student login (VTOP) under

the Hosteller menu for participating in the hostel room allotment
counselling. After registering, an advance fee of 20,000/-, (for Indian

category only) shall be remitted from 20th February, 2020 onwards through
Online payment mode (using the student/parent login or by means of
Demand Draft (to be submitted to Hostel Accounts Office) drawn in favour
of Vellore Institute of Technology payable at Vellore. Students who pay

the advance amount on or before 10th March, 2020 will only be eligible
to attend the room counselling.

HOSTEL ROOM ALLOTMENT POLICY FOR (2020-2021)

 The hostel rooms for the academic year 2020-2021 will be allotted based on
the seniority of the hostel students.
 The hostel rooms for NRI / Foreign students / Non stipendiary research
scholars will be allotted as per their merit within their group.

For the purpose of Hostel Room Allotment Counseling the hostel students will
be categorized into three groups namely, G1, G2 and G3 based on year of study
as follows:

Group I (G1)

1. III Year – B.Tech, B.Arch, B.Sc (Agri) and B.Des.

2. III Year & IV Year (M.Tech. Software Eng. - Integrated) and M.Sc
(Integrated).
3. I year M.Sc, MBA, MCA and M.Des.
4. II year B.Sc, BCA, B.Com. and BBA.

Group II (G2)
1. II Year B.Tech, B.Arch, B.Sc (Agri) and B.Des.
2. I year BCA, B.Sc, B.com and BBA.
3. II Year MIS (M. Tech. Software Eng. - Integrated) and M.Sc. (Integrated).

Group III (G3)

1. I Year B.Tech, B.Arch, B.Sc (Agri) and B.Des.
2. I Year MIS (M. Tech. Software Eng. - Integrated) and M.Sc. (Integrated).

Room Allotment Policy

Within each group, priority will be given based on academic merit as well as
Student's Code of Conduct. For merit purposes, normalized CGPA of the
students (student’s CGPA divided by CGPA of the class topper across batches)
will be calculated as given below.

NCGPA = CGPA x (GROUP TOPPER CGPA / BRANCH TOPPER CGPA)

The percentage of beds (for students in each group) will be allotted as follows.

Counseling Process:

 NCGPA ranking and slot timings of the students taking part in the counseling
process will be displayed in their respective student login ONE day in
advance (only).

 For allotment of rooms, students will be called as per their NCGPA rank
within in group. The highest NCGPA of the student in the group will be
considered as the NCGPA of the group in the shared room allotment. In the
shared room, room allotment will be done only if the group has full room
strength (Ex: For a 4 bedded room, 4 students should be identified by the group
to reserve the room).

 Student, who is not in a position of attending the room counseling process due
to any unavoidable circumstance, may nominate a friend to attend the
counseling on his behalf. An authorization letter has to be given to the
nominee which will be verified and signed by the concerned Zone Supervisor
well in advance (at least one week in advance).

 Room vacancy details will be displayed on screen in Anna Auditorium to

enable students decide on the room to be chosen.

Roommates:
o The students can select their room partners falling within that group only
(Example G1 with G1).

o Only the topper in the group will be allowed to enter the counseling hall for
selecting the room. During the counseling, the topper should bring original
student ID card of all the intended roommates and get the room allotment
for all of them.
Mess
o Initially Mess will be allotted to the students nearest to their allotted room.
Students can change their mess in the routine mess change process being
done every month.

Fees Details and Mode of Payment:

Student has to pay an advance amount of 20,000/- (by way of Online Payment or
Demand Draft in favour of Vellore Institute of Technology payable at Vellore) on
or before 10th March 2020.

Detailed hostel & mess charges will be communicated in due course.

It is mandatory to have a saving bank account in Indian Bank or City Union Bank
(VIT Branch) for all hostel students. Students those who have not submitted their
Bank Account details are required to fill the details in their VTOP student/parent
login.

 The balance hostel and Mess charges shall be paid between 1st April, 2020
and 25th April, 2020 to confirm the allotted room, failing which the
provisionally allotted room will automatically be cancelled without any notice.

 The students can pay their fee online through their student login using
Internet Banking / Debit Card / Credit Card or Demand Draft. Student can
generate their fee receipt online from their student login and get it printed.

 Final year students intending to stay for one semester also need to pay the one
year hostel fee. (However, if the student has to vacate hostel for carrying
out project/internship outside VIT, hostel fee may be refunded as per
refund policy (monthly pro-rata basis) on submission of the internship offer
letter.

 Due to security reasons, hostel students will not be permitted to become day
boarders. However:

1. Final year students who opt out as day boarders should submit the Consent
Form duly signed by the Proctor with the parent’s approval and Hostel
Vacating Form as followed and in practice.

2. As all the Bachelor’s and Integrated Master’s degree programmes offered

are RESIDENTIAL PROGRAMMES FROM THE ACADEMIC YEAR
2019-2020, current first year hostel students will not be permitted to become
day boarders. Pre final year students those who want to vacate the hostel
under extraordinary reasons and become day boarders must bring their
parents in person.

 Those who are not attending the hostel counselling or not taken permission for
vacating the hostel will be disallowed from Fall semester course registration of
ensuing academic year.

NOTE: Once the group leader decides on a particular room type / block
during counseling that is considered final. No student belonging to that group
can later contest the group leader’s decision.

NO CHANGE OF ROOM WILL BE ENTERTAINED AFTER
