A Written Report on

Organizational Processes

ABSTRACT

Any situation involving two or more persons working collectively requires organizing.

The act of organizing involves integrating, balancing and coordinating the activities of people

working together for seeking common goals.

The organizing process, thus, establishes working relationship among employees by

assigning those tasks and giving them enough rights (i.e. authority) to perform those tasks. It is

because when employees accept assigned work, they become responsible for performing it, and

for discharging responsibility they are given requisite authority. The person who gives authority

is called superior and the person to whom authority is given are known as subordinate. Thus, the

process of organizing gives rise to a network of authority-responsibility relationships among

members of the organization. This network of authority-responsibility relationships is called

organization structure.

Organization structure is the backbone of management. Its importance lies in serving the

following purposes:

1. Removes doubts in authority relationships:

Organization structure allocates authority and responsibility, and thereby, enables people

to know who is responsible for what and to whom in the organization. People know who

is to direct whom for what results. This removes confusion, friction and conflict among

people.

2. Stimulates creativity and initiative:

Organization structure stimulates creative thinking and initiative among organizational

members by providing them requisite authority to perform their assigned tasks. Authority

provides right to decision-making to its holder who feels motivated to take initiative in

increasing and improving his work performance.

3. Ensures optimum utilization of resources:

Allocation of resources is the core activity of organization structure. Proper allocation of

resources helps in proper utilization also. Division of work and specialization are the

tools used by organization to attain the objective of optimum utilization of human efforts

and physical resources.

4. Reaping benefits of technology improvements:

A sound organization structure is flexible enough to accommodate changes in the work

technology. Improved work technology modifies pattern of authority-responsibility

relationships and helps in improving work performance of employees.

5. Encourages growth of the enterprise:

Organization structure provides the framework within which an enterprise functions. A

sound organization structure has the capacity to handle increased level of activity. This

helps in the expansion and growth of an enterprise.

6. Facilitates management process:

Organization structure is a mechanism through which manager’s plan, allocates, direct,

coordinate and control the activities of people. No activity remains unattended and work

is assigned to people in accordance with their skills, aptitude, level of commitment, etc.

This facilitates smooth operation of the management process which results in attaining

enterprise goals.

DISCUSSION

1. How does the topic given to you help in the enhancement of your performance in your

work area?

 While going through the subject assigned to our group, I learned that there have

been many theories about leadership and organizational success but at the end, the

quality and style of leadership decides how well the resources are utilized and

how does it drive the success of the organization.

As the country’s distinguished development financial institution, DBP has taken

upon itself the strategic task of influencing and accelerating sustainable economic

growth, through the provision of resources, for the continued well-being of the

Filipino people.

With more than seven decades of committed advocacy as the country’s premier

development financing institution and with the enhanced mandate, DBP, under its

new charter, is classified as a development bank and may perform all other

functions of a thrift bank. Its primary objective is to provide banking services

principally to cater to the medium and long-term needs of agricultural and

industrial enterprises with emphasis on small and medium-scale industries.

To achieve and to be aligned with the objectives of the Bank, I have formulated

strategies to focus, in accordance to the subject assigned to our group:

1. Accountability and dependability - Accepts personal responsibility for

quality and timeliness of work; achieves results with little oversight;

2. Ethical and integrity - Takes responsibility for own work, including

problems or issues;

3. Planning and Organizing - Seeks and uses teammates’ input about critical

actions, timelines, sequencing, scope, methodology, expected outcomes,

and priorities. Sees potential challenges and opportunities, and adjusts

plans based on input; and

4. Interpersonal Skills - Understands the interests and concerns of others.

2. Discuss the importance of your topic to the success of your company/organization.

 Leadership means the process and the state where a person can aid, support, guide

and inspire others to achieve a goal for common welfare. A leader is the captain

of the ship, who gives the direction to the ship as well as makes others do the

essential tasks in order to keep the ship sailing smooth. An organization without a

good leadership is like a ship without a captain. The ship may still sail through,

but aimless and lost. Leadership is the very essence which drives an organization

forward.

The management function of organizing is practiced by all managers in

Development Bank of the Philippines (DBP). The nature and importance of the

organizing function, however, may vary with different managers. Middle-level

managers are significantly involved in organizing their departmental

objectives/targets as a large number of staff are involved in the performance of

departmental activities.

At the first stage of organizing process, the department head identifies and

determine those objectives/targets that are to be performed for achieving common

goals. After determining and enumerating objectives/targets, these are to be

divided and sub-divided into small components known as jobs and tasks. The

objectives/targets of the bank personnel need to be well coordinated. Group effort

is need to attain the common goal of the department.

3. Given the chance to be the manager of your company/organization, what innovations

will you possibly apply to secure its success.

 If I were given a chance to be a manager at DBP, I will take for consideration the

following process:

a. Manage Branch Services: In compliance with the government’s

objective to promote savings awareness in the country, I will recommend

DBP produced deposit products that will cater every Filipino household.

To stimulate more clients to obtain the service offered by the Bank,

introduction of additional features to existing/new Bank products shall be

developed.

Through interactive marketing channels like social media platforms, the

Bank can give customers a place to voice their satisfaction with the Bank.

This not only documents their vote of confidence for all their peers to see

but also enables to more formally collect and leverage their feedback.

b. Operational Efficiency: Process/report improvement & project/programs

initiated. Proposes, reviews and assists in crafting Sector’s policies and

procedures, as part of my unit's initiatives to improve compliance and

streamline processes relative to the Sector's mandates. Recommend to

conduct BBS Retooling (AMLA requirements on Proper conduct of

Know-your-client (KYC) and handling of Customer Due Diligence (CDD)

and Records Keeping.

c. Assess Bank’s compliance with regulations: Align Bank's policies and

procedures with existing, evolving and new regulations and best industry

practices and foster a constructive working relationship with regulators

and internal stakeholders
