Preface

Eployee Induction Program is the process of receiving and welcoming an employee when he or she first joins a
company and giving him the basic information he needs to settle down quickly & happily and also he needs to
start function comfortably & effectively. A well planned and designed induction will give new employees a sense
of belonging and lead to greater motivation and productivity. It can also facilitate higher employee retention as it
helps new employees to quickly settle in their new jobs in a new environment.

Besides, a standard Induction Manual will ensure the build up the new employee’s confidence in the organization
and in him/her so that she/he may become an efficient employee. It is also give the information to new joined
employees such as location of cafeteria, toilets, and different locations of workplace, rules etc.

This manual is subject to review day to day implementation to assess its effectiveness and/or when review is
imminent due to service changes or changes required by rules & regulations of Epyllion Group.

1.2 Background of Epyllion Group:


Epyllion Group within a brief time of its inception in 1994 secured a remarkable position in the
emerging industry of Ready Made Garments. Beginning only with 2 sewing lines and total of 200
workforce at Mirpur, Dhaka. Epyllion Group has new swelled up with 12200 workforce with 90 sewing
lines in several locations of Dhaka and Gazipur.

Session-2: Terms of Employment & Performance Management


2.2 Terms of Employment:
• Employment Terms and Conditions are as far as practicable precisely outlined in the
appointment letter which will be regulatory basis of each employee.
• However, Conditions of Epyllion Service rules (both existing and upcoming) are enforceable to all
employees according to the class/level of employees.
2.3 Probation Period:

2.4 Confirmation of Job:
• During probation employees of officer’s category is evaluated twice, First time after 2 months of
joining where a feedback is given identifying strong & weakness areas of the incumbent. Final
Evaluation is made just before completion of probation period where after job is confirmed, if
found satisfactory. If not, job may be extend for another 3 months.
• If the job is discontinued during the probation period, company is not in obligation to pay any
termination benefit.
2.5 Leave & Holiday:
2.5.1 Leave Procedure:
a) Any leave has to be applied for in writing to the immediate superior in the prescribed Leave
Application form.
b) Immediate superior will recommend the application for approval/ disapproval (stating reason for
such disapproval) and sent it to his Department/ Divisional head. The Department/ Divisional
Head will then forward it to the HR & Admin Department for necessary processing and final
approval.
c) Application for any leave should be submitted prior to the date on which leave is due to
commence. Leave application for 7 days or more must be made at least 7 days in advance.
d) In exceptional cases the employee will send the application at the earliest to his immediate
superior who will have the discretion to justify such exception. Such exceptional circumstance
should occur rarely only.
e) Incase of annual leave, any weekly/ festival holiday falling within the leave period will be
considered as leave and will be included in the leave granted.
2.5.2 Types of leave & holiday:
1) Weekly Holiday: All persons shall get one day holiday in each weak.
2) Casual Leave: All persons are entitled to get 10 days casual leave with full pay during a fiscal year.
3) Annual Leave: All employees are entitled to get 1 day annual leave with full pay for every 18 days
of work on completion of twelve months of continuous service (Not entitled before one year of
service in the organization).
4) Sick Leave: All employees are entitled to get 14 days sick leave with full pay during a year.

o All person are entitle to get 15 days festival leave for Corporate Office in a calendar year.
o All person are entitle to get 11days festival leave for Garments & Garments Accessories
Factories in a calendar year.
o All person are entitle to get 14 days festival leave for Textile & Washing factories.
o Working in festival holiday shall be compensated by 150% of days gross salary in
addition to normal pay and substitute leave for each day.
2.6 Attendance & Punchuality:
OFFICE TIMING:
• Epyllion Corporate Office generally start from 9:00 am to 5:00 pm
• Factory Office Timing: From 8:00 am to 5:00 pm
• Textile Division Office Timing : From 9:00 am to 6:00 pm

2.7 Salary & Bonus:


Generally our staffs receive current month salary from their bank account on 7th working day of next
month.
2.7.1 Calculation of Salary:
Basic Pay (60% of Gross Pay)-------------------- : 000.00

2.7.2 Bonus:
Each and every employee is entitled bonus in festival time:
a) 12 months completed service holder will get 50% of one month’s gross salary in each Eid occasion.
b) For less than 12 months completed service holder, will get as per under-mentioned process:

2.8 Mobile Facality:
 Epyllion Group provides to its Executives & above positions mobile phone ceiling as per business
requirements.
 Only Manager & above positions are entitled mobile telephone set up to amount of Tk. 5000/-
 At the time of job separation, either mobile set or Tk. 5000/- is to be refunded by employee to
the Epyllion Group.

Session-3: Business process


Basically EPYLLION GROUP is a combination of Textile, Garments & Garments Accessories with the
facility of printing, embroidery, washing & laboratory testing. They are mainly vertically integrated each-
other for manufacturing and exporting the knit product. And they are also facilitated by own clearing &
forwarding (C&F) service. Very recently Group has diversified its business by incorporating real estate
sector.
As all the facilities are vertically integrated, they are treated as separate business entity having the
separate Business Plan though the plans are linked each-other.

Session-4: Code of Conduct
4.1 Defination of COC:
• A code of conduct is a set of rules outlining the responsibilities of or proper practices for an
individual or organization.
• "Principles, values, standards, or rules of behavior that guide the decisions, procedures and
systems of an organization.

4.2 Epyllion Code of Conduct:


1. Employees shall conform to and abide by these rules and comply with and obey orders and
direction of his/her superiors under whose supervision or control s/he may be placed.
Compliance with the rules and regulations as entered from time to time is a condition of
employment.
2. No employee shall, directly or indirectly, engage himself in any business, trade or profession or
political activity other than the employment which may interfere with the performances of his
duty as an officer of the company but s/he shall faithfully and diligently perform the duties
entrusted to him.

3. An employee may be required to work in any department/ section/ unit as per decision of the
management without adversely affecting service conditions.

4. All employees are expected to be at their places of work at the specified office time. Attending
late and /or leaving duty place before specified time without proper permission shall be liable to
the deduction of salaries or any other disciplinary measures to have been deemed proper by the
management.

5. An employee shall neither absent him/herself from his/her duties, nor leave the station without
permission from his Department / Section / Unit. The employee shall inform the company as
soon as possible but not later than two days of his absence, through any available means in case
of sudden sickness or accident or any unavoidable reason. S/He must keep the company
informed of his/her latest address and telephone number, if any.

6. Gambling for money or any other purpose, borrowing or lending of money, speculation in stock,
shares etc. and unauthorized Trading are prohibited.

7. Employees are to conduct themselves in a sober and orderly fashion, to devote their whole time
and attention to the discharge of their official duties, to keep secret all confidential information
imparted to them and to surrender on termination/discharge etc. of employment or otherwise
when required, all documents, note books, manuscripts, identity card and the like in their
possession relating to the company's business.

8. No employee shall without prior permission of the company contribute to any press, radio,
television, organization nor shall make public or publish any document paper or information of
the company which may come into his custody or possession.

9. No employee shall sign any business contract or outgoing letter or document nor shall make any
financial commitment on behalf of the company unless he is specifically authorized to do so
through power of attorney or any other legal means in writing.

10. No employee shall paste any bill, notice, write, paint or print any thing on the walls, notice board
or use company's premises to this end.

11. No consideration or perquisite may be offered or collection of money, solicited or accepted by


any executive in the course of his/her duties.

12. No employee can use the name of the company or involve the company in his dealing not
connected with the discharge of his/her duty as an officer/ corporate staff of the company.

13. The use of company's stationery for private purpose is strictly prohibited.

14. All employees are responsible for safekeeping and return in good condition of all the company's
property, which may be in his custody, care or charge. The company shall have the right to
deduct the money value of all such things from the officer's dues and take such action against
the officer, as the company deems proper in the event of officer's failure to account
satisfactorily for such loss or causing damage to official property.

15. No employee shall, without specific and previous written permission of the authorities, remove
any property (including papers) etc. from the company's premises.

16. It is the duty of all employee to read notices pasted or notice circulated on company's official
Notice Boards or e-mail and employees deemed to have knowledge of the contents of all such
notices affecting.

17. No employee shall, during his service or after its termination, disclose to any person any
information relating to the company or its clients or any trade secrets which have come to his
knowledge while in the services of the company except when compelled to do so by a court of
law.

18. All employees should inform the company in writing within 48 hours of any change of his/her
residential address.

19. Smoking is not permitted in the office premises except in the specific place. Chewing of betel
leaf in working premises, spitting in any place other than in wash basins, throwing of waste
material other than in waste bin or in specified areas is prohibited.

20. No employee shall take any photograph of or from the company's premises unless expressly and
in advance is authorized or requested to do so by the management.

21. No employee may introduce visitors except on business and in accordance with the instructions
issued by the management. Relations & personal friends of employees will not normally be
afforded access to company's premises.

22. All employees Shall be maintain dress code as per office order.

23. No Employee shall exercise ZERO TOLERANCE issues i.e: “Physical Assault”, “Theft”, “Monetary
Corruption”, “Verbal Abuse”, “Sexual Harassment”

5.1 Terminology
Corporate Culture
Corporate culture is the beliefs and behaviors that determine how a company's employees and management
interact and handle outside business transactions.
Etiquette
Etiquette is being polite. It is good manners.

Etiquette is a code of conduct, both written and unwritten, for basic behavior that is socially expected from
individuals in a society based on cultural norms. It is ethical and socially acceptable behavior regarding
professional practice or action among the members of a profession in their dealings with each other.
Corporate Etiquette
Corporate Etiquette refers to how an individual should behave while he is at work. Each one needs to maintain
the decorum of the organization.

5.5 Meeting Etiquettes
Meeting Etiquette refers to codes of behavior an individual ought to follow while attending meetings and
discussions at the workplace:
1. Try to find out what the meeting is all about.
2. Never attend meetings without a notepad and pen.
3. Always keep your cell phone on the silent or vibrator mode. Do not attend phone calls during meetings
unless it is an emergency.
4. Never be late for meetings.
5. Taking chewing gum or battle leaf during meetings is childish and must be avoided.
6. Be a good listener. Allow others to speak first.
7. Sit wherever you find a place. Do not run here and there.
8. Avoid taking your cups of coffee or tea to meeting rooms unless and until advised by superiors.
9. If you do not have any idea on a particular topic listen carefully. Do not pass any rude comments on
others opinion or ideas.
10. Never attend meetings in casuals. Follow a professional dress code.

5.6 E-mail Etiquettes


5.6.1 CREATING A MAIL:
Keep to one meaningful subject to avoid confusion.

 Keep it short & simple (KISS). Summarize long discussions.


 Keep messages brief and to the point.
 Put your most important points in the first paragraph. Then support
them in others.
 Use proper spelling, grammar & punctuation
 Do not write in CAPITALS. ALL CAPITAL LETTERS LOOKS AS IF
YOU'RE SHOUTING.
 Take care with abbreviations
 Try and use gender neutral language
 Stay away from fancy fonts. Use of "RED" font should be avoided as
highlighter.
 Read & check the email before you send it/reply it out

5.6.3 Sending a Mail:

 If you're on the CC line, don't reply.


 Remember that e-mail isn't private. Do not use email to discuss confidential information.
 Send group e-mail only when it's useful to every recipient.
 Don't forget the attachments. Do not attach unnecessary files
 Be informal, not sloppy.

5.6.4 USE TO/CC/BCC:

 We should only use “To” for the people whose we are directly addressing.
 We should use “CC” for the people whose we are indirectly addressing.
 When we use the “BCC” field in the other recipients of the e-mail cannot see everyone e-mail has been sent
to.
5.6.5 ADDRESSING:

 Make sure your e-mail includes a courteous greeting and closing.


 Address your contact with the appropriate level of formality and make sure you spelled their name correctly.
 Common addressing in e-mail or official letter is " Dear sir".
 Senior (by designation) may address or call his junior (by designation) or subordinates by name.
 Junior (by designation) shall address the senior by "Dear Sir". Colleagues of same hierarchy may address by
Mr. (name) surely with correct spelling. But preferable “Dear Sir”.
5.6.6 E-MAIL RESPONSES:

 Check your e-mail regularly and respond as soon as possible.


 If it is just acknowledgement, that lets the sender know you’ve received their message e.g “Received with
thanks” or “Noted”.

 If you receive an e-mail which makes you angry, don’t reply immediately. Take some time then re-read the e-
mail. You may misinterpret the sender’s meaning.
 If you cannot respond to an email promptly, at the very least email back confirming your receipt and when
the sender can expect your response.
  When there is a misunderstanding by email, don't hesitate to pick phone to work things out.

5.7 Dining Etiquettes


Dining Etiquette is table manners play an important part in making a favorable impression.

 Wait until everyone is seated before eating.


 When dining with others, everyone should start and finish at the same time. If you are a fast eater try to
pace yourself. You could make the others feel uncomfortable if you finish before they do. 
 When you are finished eating do not push your plate away from you.
 Take small bites, keep your mouth closed and finish chewing before continuing your conversation.
 Try not to quickly your food, it isn't very attractive.
 Do not blow on food that is hot. Wait until it cools or eat from the side of the bowl, when having soup.
When You are Host

 Be on time/ arrive 5 minutes early to greet your guest


 When inviting the person, give the guest a choice of dates, a choice of restaurants, a choice of time.

5.8 Dress Etiquettes

Dress Code

Shirt: Long/ short sleeve shirts & sports shirts with collar are acceptable but in house products of any kind
whether development sample or bulk production are not acceptable.

Trouser: Long normal/ jeans are acceptable

Shoe/ Footwear's: Shoe/boot/ sneakers are acceptable. (Open toes not acceptable)

Socks: Not wearing socks is inappropriate.

Accessories and Jewelry: Tasteful, professional ties, scarves, belts, and light jewelry are acceptable. 

Makeup & Perfume: Professional appearance is encouraged and


excessive make-up are not desirable in our workplace.

Head covers: Are not appropriate in the office. Head Covers that are
required for religious purposes or to honor cultural tradition are allowed

5.13 Toilet Etiquettes


 Drop the Side Cover/ Rim before sitting;
 Make sure the Sit cover and Rim cover is up and put away;
 If you need to clean before sitting please do so using no
more than two pieces of tissues;

 Don’t use too much tissue-it will block the toilet and cause

Epyllion Foundation and all the member of Epyllion Group contributed in this fund.
CSR team of Epyllion group has conducted a survey in Ramu upazila of Cox’s bazaar and
identified most affected family in the upazila. Epyllion group provided BDT 4000/= to 250 family
each and BDT 2000/= to 20 student.

6.4.9 Modernization of Nabi gonj Eid Gha in Narayan gong. August 2012:
In august 2012 Epyllion Foundation modernize the Nabiganj Eid Gha in Narayangonj.

6.4.11 Launching program of KHEA - November, 2012 :


On November 29, 2012 KHEA was launched at Corporate Café. Mrs. Noorjahan Begum,
Chairperson of Epyllion Group and Trustee of Epyllion Foundation chaired the program.
Total 47 (29 under KHEA – 1 and 18 under KHEA – 2) children of our employees got this financial
assistance for their further education.

6.4.12 International Day for the persons with disabilities, December, 2012:

Last 3rd December, 2012 Epyllion Group observed the International Day for the persons with
disabilities with assistance of CRP. By this, we tried to stand beside the most unprivileged part of

9th December 2012 was the International Anti-Corruption Day.
This UN recognized day was observed by the corporate office of

10th December was the International Human Rights Day. This time theme was “My Voice
Counts”. This day was observed in every business units of Epyllion Group.
At corporate office we observed this day with a open “Human Rights Comment Board” which
reflects inner voice of the employees.

6.2.15 Distribution of blankets to the winter affected people of Faridpur and Nilphamari District-
December, 2012:

6.4.22 Epyllion Group signed an agreement to make ESL extension as LEED (Gold) certified building,
February 2013:
 Epyllion Style Limited is going to extend its
capacity with the LEED (Leadership in Energy and
Environmental Design) Gold certified new
building.
 A deed of agreement has been signed on 23 rd
February, 2013 with the Environ Sustainability
Globe (Pvt.) Ltd. a Sri Lanka based Sustainable
Design Consultancy firm to achieve the LEED
(Gold) certification.
 This extension unit is expected to be completed
by December 2013

6.4.23 CRP’s Annual Sponsored Walk, February & March 2013:


Epyllion Foundation has participated CRP’s Annual Sponsored Walk 2013 on 8th February and
2nd March 2013 and provided exclusive polo shirt printed with the occasion’s slogan and logo.

6.4.24 Distribution of certificate of honour of KHEA 2013, March 2013:


 Epyllion Foundation distributed the certificates of KHEA 2013 on March 09, 2013.
 This year total 98 meritorious students from PSC, JSC/JDC, SSC and HSC level of education
achieved this scholarship and stipend under KHEA. 11 of them are the employees of
Epyllion Group.
 This year 68 students are enlisted newly for the KHEA and 30 from previous session
acquired scholarship and stipend for the 2nd time.

6.4.25 Year long Health Check-up program with Grameen Communication Center- March, 2013:

 We have successfully completed the year long Health Check-up program partnered with
Grameen Communications.
 In total, 5472 persons from all of our business units received health check-up services in
first phase.
 In second phase, 819 employees were rechecked to judge their health improvements.

6.4.26 Epyllion Foundation extended its hand to Kadam Rosul Shishubagh, March 2013:
Epyllion Foundation contributed 1.9 million BDT to strengthen and extend the capacity of
“Kadam Rosul Shishubagh” and actively participated in the renovation activities.

6.4.27 Observance of World Health Day, April 2013:

6.4.28 Extended hand of Epyllion Group towards the affected of Savar Tragedy, April 2013:
 24th April, 2013 came out with a tragic incident to our country, Rana Plaza, a nine storied
building collapsed all of a sudden and left many affected person died, injured and trapped
alive.
 Epyllion Group immediately addressed the needs and took action. A set of staff visited the
place and distributed 4000 bottles of drinking water with 2000 packets of dried foods.
 They have also handed over sufficient quantity of breathing oxygen cylinder, oxygen mask,
drill machine, protective glass, hand gloves, torch lights, surgical mask etc to the rescue
team.
 Financial aids were also handed over to CRP for the rehabilitation of the victims

6.4.29 Epyllion Group contributed to BGMEA for the assistance of victims of Savar Tragedy, April
2013:
 Epyllion Group contributed 1 million BDT on 30 th April 2013 to BGMEA as an aid for the
victims of Savar tragedy.
 10 workers from Epyllion Knitwears Limited represented Epyllion Group on the
contribution program and shared their hearted feelings for the victims.

6.4.30 Epyllion Group Football Development Program, May 2013 :


Epyllion Group as a sports devoted company is providing title sponsorship to the Narayanganj
District Football Association for next three years worth 7.5 million VDT for the development of
football environment of Narayanganj District in professional and contemporary manner. For
smooth and sustainable conduction, Epyllion Group arranged co sponsors for this program.

On 13th May 2013, Epyllion Group signed the sponsorship agreement with Narayanganj DFA
through a press conference in presence of co-sponsors, renowned ex national team footballers,
BAFUFE officials and journalists from both print and electronic media.
