Recommendations of Approved Committee on Examination Module for


Spring Session 2020 in view of COVID-19 Pandemic.

Consequent upon the resolution taken during online meeting Dated: 28th April
2020, Director and Chairman Senate approved a committee with a mandate to
look into the all aspects of present scenario in the wake of COVID-19 Pandemic
and evolving a module with necessary modalities for conducting examination for
Spring 2020. The Committee met on 06/05/2020 and 13/05/2020 through Google
meet. Mr Moin from ERP was also called as special invitee in the meeting. A
thorough deliberation was made on all the aspects of conducting examination for
Spring 2020. Cognizance of all factors viz. COVID-19 Pandemic, Poor Internet
connectivity J&K (UT), Feedback/emails from students and safety guidelines
from GOI, was taken. Members of the committee emphasized on evolving a
workable/outcome based solution for all concerned, thus unanimously resolved
and recommended the following module with necessary modalities, for the
conduct of Spring 2020 examinations.

1) This module shall be initially applicable to UG / PG final semester students only.


2) Based on the outcome and end results, module shall be further discussed for
implementation in other semesters of various courses.
3) Examination shall comprise of two components i.e. Mid-Term examination and
End-Term examination, each with a weightage of 50%.
4) Mid-Term examination shall include assignments, Tutorials, class tests, Quizzes,
Viva etc. Teacher incharge be authorized to conduct this examination as per
his/her assessment/discretion and availability of tools, Infrastructure etc. It shall
remain the prerogative of concerned faculty member to evaluate the students for
Mid-term examination through either of above mentioned ways and means.
Nevertheless, it is expected that the evaluation shall remain a quality one by
conducting time bound submission of at least one assignment per unit, spot
tutorial submission and evaluation, monitored quizzes and viva etc.
5) End-Term examination (Theory) shall carry 50% weightage which shall be based
on maximum SGPA earned by a candidate at any stage from 3rd to 7th Semester.
For this aspect, all HODs are requested to expedite the evaluation and grade
uploading on their respective ERP Portals. Grades earned at 7th Semester (UG)
and 3rd Semester (PG) may be communicated to concerned students through
whatsapp /email etc. for information of students. The last date for uploading these
grades be 30th May 2020.
6) Lab Examination: In view of present circumstances, it is quite difficult to
conduct lab course or lab examination. As such evaluation of lab courses (Mid-
Term + End-Term) shall also be made on the basis of maximum SGPA earned by
the candidate in a semester at any stage from 3rd to 7th semester.

7) Project Submission and Evaluation (UG): Project submission and evaluation


shall follow the following procedure:

i) Candidate be advised to submit the project report in PDF format by 20th June
2020 along with the PPT, to be presented at the time of Viva voce examination
(VVE), to their respective mentors. The mentors shall forward the same to the
Head of the Department for compilation and preparation of VVE schedule.
ii) Evaluation will be done online through SKYPE / Google Meet by the panel of
examiners as per the statutes. For reference, it comprises of HoD, senior most
Professor (Nominated by concerned Head), Supervisor, Internal examiner
from sister Department .The nomination of examiner from sister Department
be done by concerned HoD after obtaining prior a consent from the nominated
internal examiner. Panel of examiners thus finalized be communicated to
Director/ DAA/ADE for information and record.
iii) Evaluation shall start from 25th June, 2020 and should be over by 5th July
2020.
iv) Uploading of final grades complete in all respects be completed by 10th July
2020.
v) Relevant certificates/grade cards be prepared online and should be made
available to candidate through ERP.
vi) ERP cell of the Institute be directed to provide the online module of teaching,
learning and evaluation to the faculty for implementation. This part of module
being already a important part of overall contract, should be made available
expeditiously without any fail. Committee also reiterated that Chairperson
ERP be requested to direct the ERP officials to provide the necessary module
to all concerned at an earliest.

8) Dissertation Evaluation for PG students: Committee suggested that in order to


carry the conduct of examination and evaluation process in a phased manner, the
Dissertation evaluation of PG courses shall be taken after UG evaluation process
is over. Therefore, the procedure shall comprise of the following steps:

i) Candidates be advised to submit their Dissertation in PDF format along-with


PPT to be presented at VVE by 5th July, 2020 to the respective mentors. The
concerned mentors will forward the same to their respective HODs for
compilation and preparation of Viva voce examination schedule.
ii) VVE will be conducted through SKYPE/Google Meet by the board of
examiners as per set norms/statutes.
iii) Panel of external examiners be submitted to Director through proper channel
for nomination of examiner.
iv) VVE for PG Dissertation be conducted from 8th July 2020 onwards.
v) Uploading of final grades complete in all respects be completed by 15th July
2020.

9) Disbursement of fellowship in respect of Research students: Members strongly


recommended that the disbursement of fellowship in respect of Research scholars
be made without further delay. Module offered by ERP needs modification. ERP
officials in general and Chairperson ERP in particular is requested to look into the
matter and ensure the operation of this module to the final disposal and utility.
