Step by Step Guide to Configure Workflow Notification Mailer


Workflow notification is very important functionality in Oracle E-Business Suite. It helps users to carry
out approvals over email.

For Example:

PO Approvals

PR Approvals

Leave Approval

Journal Batch Approval

Following are the Steps to configure user accounts and workflow notification mailer.

1. Change User Preferences to Enable Notifications

Ask your users to login to ERP System and go to Preferences. In the end of the page there is setting for
Notifications. By default Notifications are disabled.

You need to set it to “HTML Email with Attachment”

2. Configure Workflow Mailer

Go to System Administrator Responsibility. And Click on “Workflow Manager”

Go to Configuration Section. Click on Service Components.

Select Notification Mailer. And Click Edit button to edit its settings.

In the above Screenshot you need to fill out the Main Requirements to run a Notification Mailer.

Your SMTP Sever Address or IP.

As you are going to carry out approvals over email so you need to enable the “Inbound Processing”

Specify your Inbound Mail Server Address or IP.

Provide your User Name and Password.

Mention the Reply to Address. This Email Address should belong to same email account which you have
provided above.

Click on Advance Button to configure the Mailer Advanced Settings.

Note : Please don’t make any change in above settings until you are well aware of the implications.

Here advance settings for Inbound/Outbound Mail Server are available. IMAP is the only Protocol
supported for incoming mail server.

Allow Forwarded Response means that if User1 receive approval notification & he forward that email to
user2, User2 perform Approve or Reject action on that notification. Do you want user to allow this ?

To have a good security you should uncheck it.

In From Field you can Write the Name . For Example “ERP Notifications”.

Click Next

Step 6 Provides advance setting to process incoming notification response. Here an user can define TAGs
in order for the Mailer to automatically Discard emails that met certain Patterns

Here you have to test the Workflow Mailer Settings.

Select a User ID and Send a Test Notification.

Once that User Receive Notification , click the Acknowledge button in the Notification Email.

Click Next to Finish.

Congratulations your Workflow Mailer is now Ready for Use.

Important Points to consider:

1. User Account should have user email Address


2. HRMS should also have user email address
3. Your smtp server should accept email from your ERP IP Address
4. In User Login Preferences you should have enabled the Notifications
