INTRODUCTION:
What is an effective way of showing a process that everyone can follow and
understand? By using a diagram, information and details about certain steps or
processes can be shown and relayed to everyone. A diagram or chart is a drawing,
sketch or illustration that shows information in a visually appealing way so it can be
understood more easily. A diagram can be done manually using a pen or paper and can
be done using computer through a productivity software.

TYPES OF DIAGRAMS
There are different types of diagrams based in the information that someone
would like to present. Below are the most basic common types:

1. Organizational Chart – a diagram that shows the role or position of the people who
makes up the organization.

2. Flowchart – a visual representation of the flow of the process. Used by computer
programmers in designing and testing the possible flow of their
programs.

3. Graph – A diagram that visually allows the relationship of certain quantities such as
population size, total money savings, and other numeral data.

4. Cause and effect diagram - also called a fishbone diagram, it shows a structured
way of determining the cause of a certain problem and
analyzing its effect.

5. Schematic Diagram – is a diagram that shows only what is important or significant in

the process or a device. It is most widely used in electronic and
mechanical components and devices.

CREATING A DIAGRAM USING PRODUCTIVITY SOFTWARE


A productivity software is a kind of program or application used to produce
documents, spreadsheets, presentations, and diagrams such as charts and graphs.

The following are the types and categories of productivity software:


Word Processing Programs – used to create documents such as letters, research,
and other types of official documents.
Examples:
Microsoft Word
Pages
Google Docs
Open Office Writer

Spreadsheet Programs – used to create financial worksheets and tables that are used
in storing, organizing and interpreting data.
Examples:
Microsoft Excel Google Sheets
Numbers Open Office Calculator
Presentation Programs – used to create presentation slides that contains information
and relevant data used in teaching and marketing or business
meetings.
Examples:
Microsoft PowerPoint Google
Presentation
Keynote Open Office Impress
Prezi

Graphic Design Programs – used in designing posters, brochures, and calling cards
and also for enhancing pictures, texts and other graphics.
Examples:
Microsoft Paint GIMP
Adobe Photoshop Corel Draw

CREATING A DIAGRAM IN MS WORD


MS WORD – is a word processing software that is used to create documents,
letters, and other things that improve one’s productivity. However, it is also capable of
creating diagrams which are used in presenting or showing a process.

The following are the steps in creating a diagram in MS Word:


Step 1 – Launch the MS Word, click the Insert Toggle Ribbon and click Smart Art.

Step 2 – Smart art contains different types of diagrams that can be used for specific
purpose. Place your mouse cursor over Process and the different templates of the
process diagram appears.

Step 3 – Click the first template which is the Basic Process.

Step 4 – Clicking the Basic Process will display a ready-made template that you just
need to fill out to be able to show a certain process.

Step 5 – Fill out the text box with the appropriate process you would like to present. If
you need to add another process, click the plus (+) symbol. If you want to delete a
process, click the negative or minus (-) symbol.

Step 6 – Save your work and name your file.
