Minutes of the Meeting

Subject: Discussion:
1.) Review and correction of the previous  Corrections were made with the previous
minutes of the meeting Nursing Management Meeting dated
March 19, 2018.
 Ms. Tristan Joy Pablo moved for approval
and seconded by the group
2.) Business Arising Matters

Remaining Vacation Leave from last year  Sr. Rowena Rodil, SPC asked Ms. Leonora
Marie Cuarteros if she had already
finalized the schedule of staff who were
not able to avail their due Vacation Leave
dates last year. Ms Cuarteros said that
she already coordinated this with the HR.

Personnel Handbook  Sr. Rowena Rodil, SPC emphasized that


the handbook is still incomplete and not
yet final with regards to other policies
mandated by the Department of Labor
and Employment and Department of
Health. Sr. Rowena Rodil, SPC also
mentioned that the handbook is still
being subjected for corrections before
discussing it to other personnel.
ISO Concerns  Sr. Rowena Rodil, SPC had suggested that
ISO Concerns will be discussed during the
Nursing Service Departmental Meeting .

Updates on Staff Development  Mr. Jalvin Maramag informed the group


about the new 11 nurses and their area
of deployment. He asked the different
middle managers to still guide the new
nurses since they will be going to assume
full responsibility of being a staff nurse.
He also mentioned that there’s another 4
new nurses already having their training.

Staff Grooming  Ms. Leonora Marie Cuarteros mentioned


that there’s a large improvement on how
the Nursing Service Staff carry proper
decorum at work. She mentioned ways
on how to call the attention of staffs
being delinquent with regards to
grooming.

Recommendation for new Operating Room  Sr. Rowena Rodil, SPC asked Mr. Jalvin
Nurses Maramag to recommend atleast three
new OR nurses. Mr Maramag had
mentioned that he is already aware of
who wants to intent as an Operating
Room from the new 11 nurses.

Requisition of Minor Set  Sr. Gertrude Kuebler, SPC mentioned that


the Minor Set are already regularly
returned after being procured.

Dialysis Nurse On-Call  Sr. Rowena Rodil, SPC mentioned that all
dialysis nurses who will have their on-call
duties will be fetched by the ambulance

Infusion Pump Calibration  Mr Joany Salayo had already submitted


the complete inventory of infusion pump
to Ms. Joy. Sr Rowena Rodil, SPC
informed the group that Terumo
Company will be arriving for signing of
new Memorandum of Agreement and
discussion of concerns with the present
infusions we have.
New Ventilators  Mr. Joany Salayo had acknowledge the
four new ventilators to be working well,
however the price charging is not yet
final. Sr. Rowena Rodil, SPC suggested to
coordinate the charging with Sr. Jonalou
Muyco, SPC before transferring the
responsibility to Respiratory Care Unit.
She also emphasized that the usage of
the new ventilators will be a priority since
it’s hospital-owned.

3.Discussion of Main Agenda

Personnel Handbook  Sr. Rowena Rodil, SPC asked the group


about the comments of staffs regarding
the new Personnel Handbook.

 Vaccination  Ms. Tristan Joy Pablo mentioned that a


certification from a health care provider
that an applicant had undergone
vaccination should be submitted.
However, Mr. Jalvin Maramag
emphasized that HbSag screening is also
a must because it’s a part of the standard
recruitment process. He also said that
ASO Titer should also be a part of Hepa
Screening to determine
 Sr. Rowena Rodil, SPC instructed the
team, most especially to the head nurses
to hold the updating and making of
Organizational charts because there will
be a new administrator arriving on last
week of May.

 According to Sr. Rowena, in order to


improve safety of our patients most
especially during code blue, there must
be a Rapid Response Team. The Team will
be responsible in assessing patients who
are vulnerable for cardiac/respiratory
arrest.

 Sr. Rowena Rodil, SPC thanked the head


nurses for sacrificing their time to
become team leaders of their units to
suffice needed staffing for the day.
 According to Sr. Rowena Rodil, SPC, a
regular staff is already granted for paid
15 days sick leave. Hence, head nurses
must remind their staff especially those
who are getting absent not to abuse the
sick leave benefit.

 According to Mr. Marlon Dayag, Ms.


Tristan Joy Pablo and House Physicians
already had their meeting regarding their
roles and responsibilities. Sr. Rowena
Rodil, SPC asked Mr. Marlon Dayag to
submit a copy of their minutes of the
meeting.

3.) Discussion of the main agenda

Feedback from SPCHCM Annual Assembly and  Ms. Trifina Lugo presented her feedback
ANSAP to the group regarding SPCHCM annual
assembly and ANSAP with the theme:
Nursing Leadership 21st Century: Power
of the past, Force of the present and
Shape of the future. (please see attached
document)

Unit Report on Early Bird and Unusual  According Mr. Kevin Cayetano, from
Occurrence January to March there still no
improvement on the Early Bird Program.
He added that staffs were still late. He
also discussed regarding unusual
Incident were increasing from January to
March. He reminds the Headnurses to
mentor and guide their staff to prevent
this incidents in the future.

Other matters

Performance Appraisal  Head Nurses should accomplish their


performance appraisal this May 2017.
The results of the appraisal will be used
for recognition in the upcoming
Nightingales Kairos.

Acting Head nurse Orientation  Mr. Arjay Juan said that there will be
orientation of the acting head nurses on
March 29, 2017.

Admitting Policy  Mr. Paul John Cobales and Mr. Raphael


Adeneyi discussed the new and revised
admitting policy. They also presented the
revised flow chart of a regular admission
and the denied admission. They added
that on a denied admission, it requires
supporting documents.
 Mr. Arjay Juan suggested that there
should be a separate policy on a regular
admission from the denied admission.

Medical Mission  Sr. Rowena Rodil ask the group for any
volunteer for the medical mission at on
April 18-24, 2017 with the Baguio group.
Mr. Robiely James Masirag and Mr.
Marlon Dayag were assigned to go for
the medical mission.
