ICT System Recommendation Report for Devon Technical College

Background

This report is about filling the gaps found during gap analysis in Devon Technical
College. We have concluded with some recommendation. And this report is about the
ICT system recommendation for implementing new desired system i.e. implementing
online Moodle that it hosts in its network and requirements needed to implement this
system.

Strategic objectives

The organization has the different strategic objective like to offer the student new ways
of learning, to expand throughout Australia and increase student number for the 2019.

Security requirements

 Using the strong password (i.e. A capital letter, number, sign) so that it cannot
be easily guested.
 Disable guess access.
 Place enrolment keys on all courses or set course Enrollable.
 Register the site with Moodle.org.
 Use the secure forms setting.
 Have a good backups and practices recovery procedure time to time.

Hardware requirements

 Disk space: 200mb for Moodle code. 5GB (highly recommended)


 Processor: 2GHz (min), 2GHz dual core at least (higher is highly recommended)
 Memory (RAM): 1GB (min), 2GB or more is recommended, 8GB plus is likely on a
large production server.

Moodle offers three pricing options that increase the number of users and available
storage in increments. These pricing options are offered through Moodle Cloud, and the
vendor maintains data, so does not need to host.

All three premium plans have the same basic features as the free version, as well as an
advanced website theme and an extra plugin pack.

1. Mini: $200 USD ($300AUD)/school/year with up to 100 users and 200MB of storage.

2. Small: $400 USD ($600AUD) school/year with up to 200 users and 200MB of storage.

3. Medium: $ 800 USD ($1100 AUD) school/year with up to 500 users and 1000MB of
storage.

Software requirements

 Moodle upgrade: Moodle 3.1.5 or later


 PHP version: minimum PHP 7.1.1 note: minimum 7.3.x support is being
implemented (@ MDL-62430) and not ready for production with this release.
 PHP extension INTL is required since Moodle 3.4 (it was recommended in 2.0
onwards) Moodle supports the following database servers. Again, version number
are just the minimum supported version. But the recommendation is running the
latest stable version of any software.

There are two general types of LMS deployment, and their costs occupy opposite ends of
the scale.

On Premise: the software is self-hosted on the company’s own server or on third-party


servers and thus allows for more customization, scalability, and integration with other
locally hosted apps. These benefits naturally translate to a more expensive system. Cost
estimates for self-hosted LMS cover:

 Perpetual License-a one-time upfront cost that can range from less than $500 to
more $20,000.
 Setup Free change for installing an LMS that can run over $25,000.

On-Cloud: it may come in the form of SaaS hosted on the vendor’s server or directly
hosted in the internet, both of which are offered online and accessed through browsers
from any connected device. These are the most popular, low-cost solutions today. Plans
and prices can be:

 Pay-Per-Course- learner pays for the course or courses enrolled.


 Pay-Per-Use-can range from less than $1 up to $10 per learner per course
 Pay-Per-User/Learner-a flat fee per learner that cost around $5 per month or
even less if these are many company enrolees.
 License Fee- onetime fee to access the LMS for a set period of time (i.e. per
month or per year.
 Setup free- more or less around $ 5,000 range.

Advantages and disadvantages

Advantages are:

 It is cost efficient, easily accessible.


 It is user friendly, easy to customize.
 It is easy for admin and for students to share and communicate.

Disadvantages are:

 There is no contact of students and tutor in person.


 Quick responds cannot be expected during any problem.
 System down may cause problem some time.

Impact of proposed changes to ICT systems and products.

There is a great impact of proposed changes to ICT system and products documenting
the advantages and disadvantages of current and proposed ICT system. The main
importance is that it tells where we are. By having knowledge of the pros and cons we
can implement our proposed system better. If system is implemented well then it helps
in generating revenue and increased market share.

Document the difficulty levels of implementing the proposed changes to the ICT
systems and products.

There are key challenges that organization is responsible for implementing new
technology must surmount: their inescapably dual role, the variety of internal markets
to be served, legitimate resistance to change, the right degree of promotion, the choice
of implementation site, and the need for one person to take overall responsibility.
