1) Logging On
a) First Time Log In
i) Navigate to ​www.app.flavorwiki.com

ii) Click “Request one” under the green sign in bar.


iii) Enter your email address, first name, last name, company name, country, and
phone number.

iv) Click the green submit button.


v) You will be contacted by an Account Manager and your application will be
manually reviewed and should be approved or denied within a short time.

b) Existing User Log In


i) Navigate to ​www.app.flavorwiki.com

ii) Enter the username and password provided by your FlavorWiki account
manager.
iii) Click submit.

c) Password recovery
i) On the login screen click the blue “Forgot Password”

ii) Enter your User Account email address.


iii) A password recovery instruction will be sent to you via email.

2) Getting Help
a) Help box
There is a chat box in the lower right hand corner. The support desk is manned
during European hours. If nobody is there to answer you you will be prompted to
enter your email and we will get back to you within 24 hours.

b) Email
You may also email ​software-support@flavorwiki.com​ directly for support.

c) Your account manager


You may also contact your Account Manager directly.

3) Overview of User Dashboard


a) Dashboard
The “Dashboard” displays all the surveys you or your shared team group have
created that are “active”. Active means that they are not paused.

i) How do I know a survey is paused?


Paused surveys show a “Play” icon, which is a circle with a sideways triangle in it,
on the right hand column of the screen. This indicates that you can click on that icon
and make the survey active. If the survey is active then a “Pause” icon appears,
which is a circle with two vertical lines in it.
ii) How do I make a survey active or pause a survey?
To change surveys from active to paused or paused to active. Click on the “Play”
or “Pause” icon. If you hover over these icons you will see “Resume Survey” or
“Suspend Survey” indicating the action you are about to take. See images below.

iii) Finding a survey


You can search surveys by name using the search box in the upper right hand
corner. Otherwise they appear in the order that they were last modified. Future
releases will include an organization system for surveys.

iv) Distributing a survey


To run or distribute a survey, click the icon "Click to copy survey URL". You can
open the link in your browser or share it.

b) Surveys
The “Surveys” tab displays all the surveys that are both active and paused. They
are organized according to the most recent altered survey. This is also where you
can launch the creation of new surveys. Details of how to create a new survey and
control survey properties is covered in the section “Creating a new survey”.
c) Terms of Use
The “Terms of Use” cover commercial terms that you and your organization
agree to as part of using FlavorWiki. If you have questions about the Terms of Use
please contact your Account Manager.
d) Privacy Policy
The “Privacy Policy” covers how FlavorWiki treats, protects and exercises certain
rights over the use of data collected on FlavorWiki. You and your organization agree
to this Privacy Policy as part of using FlavorWiki. The FlavorWiki Group is a fully
GDPR compliant company. If you have questions about the Privacy Policy please
contact your Account Manager.

4) Creating a new survey: Basic Info Section


a) Creating a survey
To launch a new survey, go to the “Surveys” section on the left bar. Click the
green “Create Survey” button in the upper left corner of the Survey list.

The "Basic Info" tab will be displayed.


b) Naming a survey
Enter the name of the survey. A unique name will be given automatically.

e) Authorization type
For an open survey, select "Public", this means that anybody with the link can
take the survey. To request the user's email, select "E-mail", this means the user must
enter their email before starting the survey, and that they can log back in to continue

where they left off . The e-mail can also be requested during the survey ("email
question") and can be optional by using the "Skip" feature when creating the questions.

To allow a selected group of people to access the survey, choose the "Selected"
option. Once this option is selected, enter the email of the allowed users in the space
provided. Their emails should be separated by a comma. Note: This feature requires
that your Account Manager set up the specific taster accounts for each of the selected
members.

f) Editing “Instructions”
Enter a customized message to be shown in the introduction page. This message
is not mandatory. Basic instructions are already shown in the beginning of the survey.

When a user enters their email they will also need to consent to the Terms and Conditions
and Privacy Policy.
The “Instructions” text will appear below the general instructions in the
published survey.

g) Editing “Thank You” prompt


Enter a customized message to be shown at the end of the survey. This
message is not mandatory.

The “Thank You Prompt” text will appear at the end of the survey, below the
social sharing widgets.
h) Editing “Rejection Prompt”
Enter a customized message to be shown if the user is not qualified in the
survey, in the case of screening surveys. This message is not mandatory and not
necessary unless a screening rejection is being used.

i) Editing “Tasting Loop Settings”


If you will have more than one product in your survey and would like for
respondents to be able to taste more than one of them, you must check the box
"Can taste more than one product". If you have created two or more products in
"Products" tab, a field will be shown to indicate the minimum number of products
required to taste: "Minimum number of products to taste". Enter a number between
1 and the total number of products to force the respondent to taste that minimum
number.
If you have more than one product and the checkbox "Can taste more than
one product" was not checked, only the first product in the list will be displayed.
If the survey only includes one product do NOT check "Can taste more than
one product" and do NOT use the Choose Product Question.

j) Editing “Security Settings”


If desired, check the box "Require Recaptcha" to be checked before the
survey starts. This is useful to prevent automated bots from filling the survey
responses. It is not necessary if you will keep the link within a small group of people.
k) Editing “Language”
Select the language of the survey. At the moment, the available languages
are English and German. This will change the language in which all standard and
instruction texts in the survey appear. The survey creation interface for the operator
is currently only in English.
l) Editing buttons
It is possible to customize the survey buttons (optional): "Continue", "Start"
the survey, "Next" and "Skip" button.

m) RIch text editing features


There is a rich text editor for all text fields. You can adjust the font, style,

color and add hyperlinks. It is also possible to add images.

5) Creating a new survey: Product Creation Section


Click on "Products" tab at the upper part of the screen.

a) Adding a product
Click on "New Product".

Please note this feature will require support from FlavorWiki as the image upload is not yet
active. We would require a URL link to the image. Please contact support for assistance.
Empty fields will appear where you will name the product and upload an
image.

b) Naming a product
Enter the name of the product and the brand in the respective fields.

c) Uploading a product
Click on the "+" sign below "product photo" to upload the product image. It
is not mandatory to upload an image. If you do not, the product select graphic will
be blank, and there will be no product shown during the tasting section of the
survey.

d) Adding more products


Click on "New Product" to add more products. You may add as many
products as you like.
The brands will be displayed as a dropdown list to the user. After the user selects the
brand, the products will be shown.
If you wish to display all the products at once, type the same word in the brand field
(the word will not be shown).

In the survey interface, products will appear right to left and top to bottom in the
order they are created and listed in the “Products” section.
e) Deleting a product
Click on the red "X" icon on the upper right corner of the product to be
deleted. You will be asked to confirm you would like to delete a product before it is
deleted. Product deletion cannot be undone.

6) Creating a new survey: Question Creation Section


Click on "Questions" tab at the upper part of the screen.

a) Choose product question


If the checkbox "Can taste more than one product" was checked, a
mandatory question "Choose Product" will be displayed. Type the question asking
the user to choose the product in the field "Question text".
b) Adding a new question type
Click the "New step in the survey" button to add a new question. This is at
the bottom below the current last question.

A new question interface will appear.

c) Choosing the type of question


Choose the type of question from the "Type of question" dropdown list:
Below are the types of questions available.
i) Choose Date
ii) When asking a "choose date" question, a calendar will be displayed to the
user to pick a date.

iii) Choose One (Multiple Choice)


The user is required to choose only one answer from a list of multiple
choices.
iv) Choose Product
If the option "Can taste more than one product" was not selected, the
question to choose the product can be added manually. This should
only be used in cases where you would like the taster to taste only
one product from a list of several.

v) Dropdown
Multiple possible responses are presented as a dropdown list. The
user may choose one.

vi) Email
An email type of question can be asked in the middle or at the end of
the survey, when the email was not required to start the survey (see
"Authorization Type: Email").

vii) Info
Information text to be added during the survey (no question). This is
useful if there are specific clarifications required during the survey.
viii) Open Answer
An open field will be displayed to the user to write a response.

ix) Paired Question


FlavorWiki unique paired response questions for profiling products
flavor, texture, aroma, etc.

x) Select and Justify


The user chooses one answer and an open field is displayed to add a
justification for their answer.
xi) Upload Picture
The user is requested to upload a picture.

xii) Vertical Rating


The user is requested to rate some aspect of the product from a scale.
This scale can be customized in numbers of points and the label of
each point.
xiii) Multiple Selection
Question where user can choose multiple items from a list. To be
implemented mid-September 2019.
d) Survey Sections

The survey is divided into different sections.

i) Screening Section
These are questions which are asked prior to the respondent being shown the
products. They are intended for filtering by demographic or collecting basic information
about the user or their consumption habits. Usually before they have possession of the
product. But can customized. Select this for questions which should appear in this section in
your survey.

ii) Before selecting product to taste


These questions will appear after a user has completed the screening and potentially
been screened out. But they are also before product selection, so will not be answered for
every product in the list. This should be used to gather information about the respondent
during the tasting section, but usually after they have possession of the products.

iii) When tasting product (tasting loop)


These questions will appear in the same order for every product in the tasting loop.

iv) After tasting


These questions will appear after the products are all tasted, and can be used for
collecting final information, asking for emails, asking for additional permissions or interests,
etc.

7) Question Types Explained


a) Basic fields

i) Chart title (Choose One, Dropdown, Paired Question, Vertical Rating)


This is the title that will be displayed in the dashboard (ex. Aroma Liking, Flavor
Profile, Texture Liking, Consumption Frequency)

ii) Topic (Choose One, Dropdown, Paired Question, Vertical Rating)


The results in the dashboard can be grouped in topics. For example, you can
present all aroma related questions (Aroma Liking, Aroma Rating and Aroma
Profile) in one group "Aroma".

iii) Type of chart (Choose One, Dropdown, Paired Question, Vertical Rating)
You can choose different types of charts depending on the type of questions. For
example, "Choose One" question type allows present data in Pie or Column
charts, while "Paired Question" only allows spider charts.

iv) Question text (all questions)


“Question text” is the text that the user will see for the main question. It is
mandatory.

v) Additional info text (Choose Date, Choose Product, Dropdown, Open Answer,
Paired Question, Vertical Rating)
“Question additional info text” is the second and lower statement below the
question that can be used for additional clarification. The “Question additional
info text” is not mandatory.

b) Choose One and Dropdown

i) Enter the possible answers in the "Label" field and add an analytical value (a
different number for each answer). Click "Add options" to add more answers.
c) Paired Question

Options:
"Custom Descriptor"​: allows the user to enter his/her own descriptor
"One Descriptor Not Present", "Neither Descriptor Present", "Both
Descriptors Present"​: allows user to click one of these options if they cannot decide
which descriptor is more perceived when answering the paired question

Minimum pairs: ​you can define the minimum pairs the user can answer. The
minimum amount is suggested by the software depending on the amount of
descriptors you enter.

Pair labels:​ Enter the descriptor label by clicking the "+Add Value" icon. Once
you type the label, click outside the field. To delete the label, click on the "X" on the
right side of the label. The order of the descriptors is not important. When the
question is asked, the descriptor pairs will appear in random order.

Profile chart in survey:​ a profile chart can be shown to the user after he/she
answers the paired question. You can add this option by clicking the checkbox "Show
profile charts after this step". A field "Profile step title" will appear and you can enter
a customized title of the profile chart.
d) Vertical Rating

i) Minimum, Maximum:
Minimum and maximum values of the scale

Add the scale labels by clicking "+Add values". Once you type the label, click
outside the field. To delete the label, click on the "X" on the right side of the label.
The number of labels do not need to be the same as the number of points. In
order to the labels match the points of the scale, add odd or even numbers in both
points of scale and labels.

8) Saving a Survey
Click "Update Draft" button at the top right corner of the screen to save the
survey as a draft. The draft will be displayed in the "Surveys" tab.

9) Publishing a Survey
Click "Publish" button at the top right corner of the screen to save the survey
and publish it.

10) Editing a Survey


Once you publish the survey, it will be displayed in the "Survey" list.

You can edit it by clicking the "Edit Survey" icon.


11) Deleting a Survey
The survey can be deleted by clicking the "Delete Survey" icon.
