MICROSOFT PUBLISHER
WHAT IS A NEWSLETTER?
• A newsletter is a type of publication,
usually composed of several articles,
that communicates information through
news format.
PURPOSES OF A NEWSLETTER
• Disseminate Information - A newsletter is an effective method of communicating
several messages to a group of people at one time. They can be information about events,
accomplishments, changes and announcements.
• Educate - Many use newsletters to educate their readers. They can be tips, how to do
something specific (a recipe, cleaning tips, change a procedure or protocol,
learn/reinforce a new skill), or simply teach something new.
• Encourage/Motivate - Newsletters serve to provide hope and confidence to its readers
(e.g., a church newsletter). It presents content that encourages, applauds and builds
morale.
• Solicit Help - Newsletters can be used to ask for the reader's help such as ask for
volunteers, donations, contributions, attendance at events, as well as ask for opinion and
feedback.
• Marketing - Newsletters may also be used to promote and sell products and services.
PLANNING YOUR NEWSLETTER
• WHAT DO YOU WANT YOUR NEWSLETTER TO DO? Good newsletters inform,
excite and entertain, and even inexpensive ones can do all these things to some
degree. But you must have a clear focus in mind: Do you want two pages of basic
news with a calendar of events? Or do you want 32 pages with original news, feature
stories, columns, photo spreads, opinion pieces, advertising and more?
• WHO IS YOUR AUDIENCE? This is crucial in determining what kind of newsletter
you need. Will it target retail customers for your business? Residents of your
condominium or apartment complex? Members of your trade association?
Employees of your company? Will your audience tend to be highly educated? Do
they have specific interests or needs? What will the readers have in common? How
will they be different?
PLANNING YOUR NEWSLETTER
• WHO WILL BE RESPONSIBLE FOR THE NEWSLETTER? There are a number of
people who may be involved in writing a newsletter. To produce a newsletter, you
would need people who will contribute or write articles and other pertinent content.
It is also desirable to have an editor that will review the articles and contributions in
the newsletter. Last but not the least, there should be a person/s who will do the
layout of the newsletter.
TIPS
• Article Sequencing – Article sequencing is about deciding the sequence or the
order of appearance of the articles in the newsletter. There are some articles that
you would like to highlight, and there are some articles will become fillers. This is
part of the editing process of the newsletter.
• Page Layout - is the process of placing and arranging and rearranging text and
graphics on the page to produce documents such as newsletters, brochures, books,
etc. Page layout could also mean the actual document page and its composition. The
overall look and the way the elements are arranged on the page is the first step to a
perfect publication. The use of templates helps minimize the need to do page
layouts. Templates are available in most desktop publishing software. But users can
always customize the page layout when needed.
TIPS
• Typography – Typography is the design and use of typefaces as a means of visual
communication. Be careful in the choice of fonts for the newsletter. Three or fewer
types of fonts are usually enough for most publications.
• Graphics – There are different types of graphics in a newsletter. They can be photos,
clipart, symbols, graphs, etc. Limit graphics to a few per page. Nine times out of ten a
single medium or large image is better than three, four, or more smaller graphics
scattered around the page.
