EMPLOYEE INFORMATION, ATTENDACE, AND

SCHEDULING MANAGEMENT SYSTEM FOR DIRECT


ASSESSMENT OF JOLLIBEE IMUS ANABU EMPLOYEES

CHAPTER I: INTRODUCTION
Jollibee Imus Anabu often find difficulties in scheduling employees. This

difficult task is devoted with hefty amount of time, human, and material resources.

Several factors such as diverse employee groups, information, time allotments,

attendance, and scheduling discretions are being considered in the task.

In this approach, several uncontrolled scheduling elements should be taken

into account such as schedules of employee to be taken offered by other employees

and constraints implemented by other management, all of which are affecting

management system processes.

Relying on manual processes to manage employees can quickly evolve into an

administrative nightmare.  Tracking information by hand not only increases the

likelihood for human errors, but it exposes you to certain compliance risks. The

importance of an accurate employee record stretches far beyond the legal

ramifications of that information not being current.

For Management, keeping accurate records can help recruitment, identify gaps

in skills, and save time while performing administrative duties.

No management likes to dwell on the possibility of litigation, but a

termination may result in legal action and a complete employee record can provide

documentation and justification for your actions as a company.

Employee records must be maintained at least one year after employee

termination and, if kept up-to-date, they can be invaluable for preventing a frivolous

lawsuit. An accurate and updated employee record not only records employee

information, but also issues that led to termination or reprimands. 

The above statement gives a clear declaration as to why Jollibee Anabu Imus

management system need to be developed. With these problems, the researchers had

come up an idea of creating an automated Employee Information, Attendance and

Scheduling Management System for Direct Assessment using MySQL database and

Visual Basic 2012. Through this advancement, errors in operations have been

minimized and time and manpower have been conserved.

STATEMENT OF THE PROBLEM

Over the years, Store Managers had a problem in maintaining and managing

their employee information and records. Hence, the management have difficulty in

maintaining and sorting data that is why the Researchers sought to answer and give

solution in storing and maintaining the data of an employee to prevent data loss.

  Currently most store managers use manual operations in storing and collecting

information of their employees. During the assessment of their employee, they use

pen and papers to rate their employee based on their actual performance on their job.

Through the use of a systematic assessment system, the researchers provide a more

efficient solution that answers the question “How to help the management to provide

accurate and reliable assessment system for their employee?”.

In a manual way, data is recorded on documents/papers which may easily get

damaged leading to loss of data. Every information they have from their employee is

prone to data loss and unauthorized usage. By the use of an automated collection of

those data, the system as well as the management will have an easy access to it

whenever they need it and it answers the question “What will be the most possible

way to prevent data from losing and an effective way to store it and access whenever

it is needed?”

  There are confidential information that must be kept privately, where

unauthorized access is prohibited. There are lots of cases and situations where

information from different people were stolen and used in illegal matter resulting an

identity theft. Paper documents are prone from being stolen and be used without its

owner’s permission. In this case the researchers developed a system where the

management can store those data with security as it answers the question “How will

you provide a secured system where access from unauthorize person is prohibited?”.

OBJECTIVES OF THE STUDY

This project was made to have a computerized type of employee assessment

based on their performance at work. This system aims to provide hassle-free

assessment as well as storing and sorting every information of Jollibee Imus Anabu

Employees.

The following are the project objectives:

 To provide accurate performance rating for every employee based on their

given effort during working hours.

 To develop a system that allows the management to store their employees data

on a more secured environment.

 For easy access of their employee’s stored information.

 To check if a specific employee has met the required average for

regularization or not.

SIGNIFICANCE OF THE STUDY

The Employee Information, Attendance and Scheduling Management System for

Direct Assessment of Jollibee Imus Anabu Employees will be beneficial to the

following:

 Jollibee Branches. It will help their management and data to be secured and

monitored efficiently.

 Employee/Administrators. This will benefit them in a way that will reduce

their amount of time they spent doing paper documents.

 Future researchers. This study could be helpful for them if they conduct a

study in relevance from this management system. Also, it can serve as a

Review of Related Study for future research as well.

TIME AND PLACE OF THE STUDY

The study was approved on October 2019 at Cavite State University – Imus

Campus located at Land Transportation Office (LTO) Compound at Emilio Aguinaldo

Highway, Imus City, Cavite. It was finished on the 25th of November, 2019. The

researchers conducted an interview to their client at Jollibee Imus Anabu, Anabu 2D

Imus City, 14301 Cavite (See Appendix 1. Figure 1 and Figure 2).

SCOPE AND LIMITATIONS OF THE STUDY

The researchers are going to provide a fully automated management system

for the collection of data and information, records of employees for direct assessment

and proper scheduling. This system will be useful for monitoring data of every

employee where the accessibility of this system can only be access from authorized

person or the administrator. The system needs the administrator’s information for

adding data from employee, to be able to have profile and in order to have an access

to the whole system.

Registration Module. It defines the process of registration for administrator’s profile

and for employee information to be stored on the system. After registering to the

system, the Administrator can now add their employees information and have an

access for deleting it.

Admin Module. After the registration of the user or the admin, the system provides

an access to them to add their employee information as well as to delete them. The

system provides several questions that the Admin needs to fill and give rating for

them to know if the employee is entitled for regularization or not. The system also

provides statistical graph where employees performances can differentiate to one

another based on the rating they got. They can also make schedules based on their

registered employee.

Security Module. The system provides necessary task for adding and storing data and

information of the company’s employees. As the admin registered to the system,

he/she can manipulate the information that is stored in the system and has to authority

to control every function that the system has. To provide a more secure way of

registering in the system, the Administrator must use the code provided by the

company to be able to log in to the main form. There are security codes that is

intentionally place inside the software to prevent unauthorized access from different

people.

The system limits itself only for evaluation and storage function of the

company’s employee. No other data must be stored inside the system like actual

financial status of the company, the profit and the like. It is intended for commercial

usage only for data/information management and employee evaluation.

DEFINITION OF TERMS

 Management. The actual process of managing different data based on the

information gathered.

 System. A process that involves analytic process to perform certain task that is

needed to define a solution to a problem.

 Administrator. The one who has the authority to access and manipulate data

from a system or management.

 Assessment. A type of evaluation that involves the collecting of

performance’s data of an employee to produce a valuable and accurate answer

that the company needs.

 Employee. Any person that is employed to an institution and oath to give

his/her time to perform duty based on the company’s demand.

 Data. individual units of information. A datum describes a single quality or

quantity of some object or phenomenon. In analytical processes, data are

represented by variables. Although the terms "data", "information" and

"knowledge" are often used interchangeably, each of these terms has a distinct

meaning

CHAPTER II: METHODOLOGY

This chapter is about the system development process. It provides information

about methods used to develop a fully functional system that may benefit the

company and the management. It specifies the strategies that the researcher and

developer used to produce the preferred output based on the given problem from the

client/respondent.

Research Design
 
Before the actual development of this project, the researchers had done some

interview to the client of this project to identify the most common problem that

occurs. The developers think the most possible ways to resolve the issue and combine

every idea to make this project possible.

There are different types of charts and diagrams available nowadays to pertain

several problems and the researchers seeks the best procedure to characterized the

problem and how does it affect to one another.

By using the fishbone diagram (See Appendix 2. Figure 3, Figure 4, Figure 5),

the researchers find out the principal source of the problem and its possible cause for

identifying and sorting by categories. Also, the researchers show the connection of the

data and the flow of the whole process of the system using Entity Relationship

Diagram or ERD (See Appendix 2. Figure 6).

By using these diagrams, the flow of the system is easily arranged to provide a

user-friendly environment.

In addition, the researchers used the spiral model (See Appendix 2. Figure 8)

of the study to elaborate on the things needed in creating the system. 

Requirement Analysis
 
This part completely describes the system in terms of functional and

nonfunctional requirements and serves as a contractual basis between the user and the

developer. This gives the user an idea how it works and its functions

It required user involvement hence, they are entitled to state facts based on their

assumption on system’s objectives and missions either it is good or not associated

with the system’s suitability, usefulness and effectiveness. The users must experience

the following:

 A system that improves the efficiency of information storage and retrieval.

 A system that is easy to learn and user friendly.

 A system that is automatic in processing data.

 A system that is flexible and convenient

 A system that is organized and procedural

Functional Requirements 

This is a necessary task that the system must met to provide a user-friendly

environment and easier access to every important data of their employee. The system

can:

 Add and delete employee information based on stored data.

 Provide statistical data and graph that can be used to differentiate

employee performances to one another.

 Automatically provide assessment rating.

 Make and print schedules.

IDE & Tools: Visual Studio 2012 and phpmyadmin

Feasibility Report

Feasibility study is the high–level capsule version of the entire requirement

analysis process. The objective of the feasibility study is to determine whether the

proposed system can be developed with available resources.

There are three steps used by the researchers followed for determining the feasibility

study of the proposed system.

1. Technical Feasibility

2. Operational Feasibility

3. Economic Feasibility

Technical Feasibility: study assesses the details of how the system intend to deliver a

service to users. Specially the availability of the current technology that will be used

to run the system within the time that the system will launch.

Operational Feasibility: refers to the measure of solving problems with the help of a

new proposed system. It helps in taking advantage of the opportunities and fulfills the

requirements as identified during the development of the project.

Economic Feasibility:  a kind of cost-benefit analysis of the examined project, which

assesses whether it is possible to implement or not based on the calculated cost for the

project.

SUMMARY, CONCLUSION, AND RECOMMENDATIONS

This chapter presents the overall summary of the study conducted by the

researchers. Also, it includes the conclusion and recommendation for the development

of the system and the improvement of the whole study.

Summary

The system is created for Jollibee Imus Anabu that allows the management to

view employee information as well as to store their personal data. The process called

data management allows the users to add, delete and modify every information, that is

located locally at its database, to arrange and sort these data easily. It gives the user a

friendly environment where they can access different function easily without prior

studying the whole system and its process.

The study focuses on how the system may help the management to lessen the

amount of time taken for compiling employee information that is produce in tangible

mediums such as the records about them. It will also provide faster assessment on

their employee performance during their Performance Appraisals day because the

system automatically provide rating based on the given input of the management that

includes several questions that is related to their work performance and the days that

they went to work. It also gives the accurate rating and also define if the employee

met the required rating for regularization.

The integrated development environment used in the system was Visual

Studio 2012 and Visual Basic as the main programming language to complete the

codes as well as the creation of forms and design. The researchers used phpMyAdmin

to support and store a wide range of operations: managing the databases and relations.

Conclusion 

It is important to remember that data and information plays the most important

role in every field. These information needs to be store in more secured environment

which is can only be access by authorized personnel only because some information

are very confidential. By providing a computerized and systematic way of storing

data, information can be secure from different unauthorize access that may lead to

information modification and deletion.

Recommendations

The following recommendations are made based on the finding of this research.

1. The management should assure that their employee’s informations are

properly stored.

2. After the data and information are gathered in hard mediums such as papers, it

is advisable that they store it in a system where it can be access easily without

digging into different stored files.
