Page 3
1.Project management is done in phase in order to improve control and quality. This means a large
project is broken into more manageable stages, each with a specific deliverable, and done in a specific
sequence. At the end of each phase, a review is typically conducted on the deliverable as well as the
performance of the project team. This helps the team ascertain whether the project proceeds to the
next phase or undergoes revision. It also determines how to improve the performance of all involved.
There are four phases of project management which are initiation, planning, execution and closure.

The first phase is initiation. This is often the shortest but a very important part of the journey as it lays
the foundation for the rest of the process during this phase you will need to consider the following
questions

-what is a project

-what is the problem that I am looking to solve

-what do I need

-what are my options

Once you have adequately addressed these questions and you are clear on what you need to do. You
will receive the green light to move on to the next phase the planning phase.

The last phase is closure. It is the wrapping up your project and handing over the final outcome to your
stakeholders. It is in this final phase that you measure the success of reaching your project deliverables.
Receiving and considering feedback is essential so that you can take on board any lessons learned in
order to apply them to future projects.

1. It means that she needs to set some objectives and determine her actions.

2. she determine

-what the projects involves

-how long it will take for her to complete it

-what alternatives exist to complete this project

3. she identify resources needed where she might obtain this and since it is the first time she is doing
something like this she would need to speak to those on the know about how to use them Janet also
needs to determine how much money she has to spend on this project before beginning to retile her
current floor once the planning has been done in detail she can begin her project.

4.A project to construct ditch alongside of the road way of a living area for drainage of rain water and
waste water from the resident’s house.
The need of the project to be done on following the project management life cycle is to facilitate proper
coordination and success of the project. It involves the initiation, planning, execution and closure to
ensure that the procedure of a certain task is methodically undertaken in terms of time, budget and
resources.

Questions to be asked on each phase are

1.on the project initiation phase

-what are the objectives to be achieved with the delivery of this project?

-what are the expected benefits of this project?

-How long does it take to complete the project?

-what are the problems encountered and how do this project circumvent those obstacles?

-How much stake holder is involved in this project?

2.On the project planning phase

-what are the limitations and assumptions associated with this project?

-Is there any other project dependent on this project?

-How much is this project Important relative to other related projects?

-As we will breakdown project deliverable, will these individual deliverable provides benefit or value of
its own which will realize over all expected benefit?

3.on the execution phase

-How are we going to evaluate realization of benefit?

-How will be stakeholder informed or communicated whenever major deliverables are delivered?

-What impact will it have on project or stakeholder if we do not deliver unplanned features?

-what is working properly with this project? And what is not working as expected?

-is there anything that we should not do or stop doing or change doing it?

4.on the project closure phase

-are we able to deliver the project in a manner to meet project objectives?

-what have we learned from this project? What can we do better next time?

-how would you rate our performance, engagement in delivering this project?

-will you give us opportunity to work with us again?

1.In the above wedding statement what is missing is Drinks. In my opinion It should be in scope of the
project mostly drinks are part of the package included in the food service but we can categorize drinks in
to two soft drinks and alcoholic drinks. Mostly weddings that are celebrated in religious way may
exclude alcoholic drinks and they might be out of scope but soft drinks are in scope whether the
wedding is in religious or not. On weddings that are neutral from religion drinks are served for both the
alcoholic and non-alcoholic according to their interest since it has to satisfy both of the guests.

There is no clearly agreed up on as in-scope or out-of-scope it depends on the interest and plan of the
stake holders, the in-scope for others might be out-of-scope for others and vice-versa. For example, on
roofing of a building project some clients prefer DECRA roofing which makes it in scope of the building
project but other client may prefer EGA-sheet which makes DECRA roofing to be out of scope of their
building project. But something in projects that happen to occur is when emergency or unexpected
scenarios happen for once they have determined to be in scope or for the things they have been
missing. It will extend the project size and cost making it out-of-scope. so it is beneficial to have a budget
for this emergencies.

2.In my opinion there are four options to fix the missing drinks. The first is to convince the vendors to
provide us the drinks and pay them later. It is going to be addition cost to be covered by the bride and
groom but it still helps to fix the problem. The second is to make orders of drink paid by guests. Still it is
a disgrace to make guests pay for the drink but if we are out of budget it’s the only option we have
rather than not having a drink while providing food. The third is to reduce expenses of such luxury
activities such as honeymoon, the extravagant decoration, and other expenses so that the money left
from reducing these activities can be used to pay for drinks. The fourth option is to ask friends or other
family members for help to cover for the drinks. Which makes the cost to be covered by friends and
family member since it is out of scope of our project and no budget allocated for it.
3.if the decoration is forgotten immediate solutions to fix that can be done by asking help from friends
and organizing them to decorate the wedding venue with some techniques before the guests come. This
are

-using items from home such as chairs, wall hanging, and other things that can easily be transported

-Use lots of candles scattered across the room so that it can set the mood and give the entire space a
pretty glow.

-use easy artwork or paint that can be done with organizing friends

-throw down some flower petals along the aisle.

These can be done as part of decorating before the guests arrive.

If decoration of the wedding ceremony is not fixed the consequences will be

-the room to be unorganized and messy which makes it difficult for guests to have ordered seats

-Having a decorated room can make the guests moody but if not decorated it can affect the mood of the
guests

-if no decoration is made the photo program will be unattractive to take photos and videos a decorated
environment is needed.

4.The customer is unsatisfied

-the project can fail

-the project will exceed the cost

-the project may be delayed

1.It’s important to ask the question “is this a project?”. For example, the project to produce a vaccine is
a project because it solves a problem cause by disease and benefit humanity to survive and get cured
from disease. And this reasons makes the project to be a project because it has certain goal and reason
to start it.

2.No

3.-inform the stakeholders that this is not a project

-Hand over the project to the relevant team in the organization

4.For the house cleaning project the problem solved is that the owners of the house are busy on work
and have no enough time to clean the house and also due to the large size of the house they cannot
cover to clean the house. so the project is executed to solve this problem.

5.I will think of the resources needed to accomplish this project which are

-Human resource- personnel that are hired to clean the house

-material resource-such as saop, detergents. Wax and so on

-equipment resource-vaccum cleaner, mop

6.the option I have to provide the cleaning service is

-to use only human labor to clean the house which makes the cleaning service to take long time

-to use equipment’s when needed and human labor in collaboration which makes the cleaning service to
be fast

-to use only electronic equipment’s for cleaning service which makes the whole cleaning process easy
and fast

The other options are

-to clean the house when they are on their working time so that when they get back home they will get
the house cleaned

-to clean the house on the weekends when they are outside home to visit family.

1.some of the possible answers the wedding project manager came up with when she/he asked “what
do I need?” are wedding halls, drinks, foods, limousine, wedding cake, tables and chairs, decoration, and
so on.

2.some of the possible answer the wedding project manager come up with when she/he asked “what
are my options?” are the different types of venues, wedding cake, wedding dresses, different cars, and
so on.

Page 10

1.by perspective it means a certain approach or perception of reality. According to the video he mean by
he look at the initiation of project from the perspective of the organization for which he is delivering the
project or working on the project and he also look at it from the perspective of the customer or the end
user. He looks at it in those ways because the organization itself is considered as our internal customers
and there is the obvious external customer.

2.on the wedding project we can see the project from the perspective of the bride and groom what we
meant by this is what do they really want their wedding to be like at the end of the day. And also we
look at it from the perspective of the invited guests what really makes the invited guests to get satisfied
with the wedding ceremony.

From the bride and groom perspective what do I see is to make the day memorable and a special day
which makes the whole ceremony to be pleasing. From the guest perspective what do I see is
satisfaction with the service provided and enjoyable moments to spend making the whole wedding
ceremony to be pleasing for the guests.

3.one of the many traps within executing a project is managing stakeholders. So right from the outset
one of the things to look at during the initiation phase is to know the stakeholders both internal and
external.

4.what is meant by “who are my stakeholders” is a question to know anyone with in an interest or
investment in the project. When we actually start to map that out, we might be surprised by how long
the list can be. That is because investment in the project can take a number of different forms. It can be
the sponsor or managers resource. It can also apply to the end user or customer, as their needs are a
critical consideration when it comes to steering the project.

5.projects are most often a participatory process in which differing levels of participation play role in
achieving a successful project outcome. Participation requirements, however, aren’t the same for
everyone associated with the project. Instead, participation expectation depends on the degree of a
project stakeholders direct or indirect involvement. Because of this, it is vital to a project’s successful
completion to accurately identify project stakeholders.

6.according to the interview through his experience there has been many projects where requirements
have been poorly defined or not defined at all and when you get into latter stage of a project and you
have a realization that perhaps the requirements were properly defined or not delivered what the
customer really wants. The effort to address that can be quite onerous
7.what he meant by requirement is that a condition or capability that is required to be present in a
product, service, or result to satisfy the participants of the project. They are descriptions of how the
project should behave

The requirements for a wedding are

-services provided by vendors

-venues that are pleasing

-time

-resource and budget

8.clarity of the requirements is important because it helps to address what the customer really wants. It
also makes the project planning clear since we know what needs to be built, what is in-scope and plan
the budget accordingly.

Page 11

1.without a clear understanding of what you need to do and the options that are available we cannot
proceed to the next phase because narrowness of the defined criteria may cause weak alignment
between projects and goals. This missing alignment may lead to several challenge for the project during
execution phase. Ambiguity will cause the project priorities to change, and might lead to improper
allocation of resources. The diversity of the stakeholder’s interest cannot be accommodated failing to
identify all success criteria due to lack of knowledge about stakeholder. So without having a clear
understanding we cannot proceed to the next phase.

2.A high level plan is taking a bird’s eye view of the overall project landscape and visualize the various
parts that will need to be completed. Developing a high level plan to guide the project along can be
extremely valuable to keep the process on track for a successful outcome. A high level plan also helps
stakeholders to understand the project deliverables more clearly so there is a common understanding
for expectations.
