TOPIC

Setting up an activity centre in Pakistan Institute of Fashion and Design (PIFD) that focuses on

BACKGROUND
extra-curricular activities and student societies.

Our daily routine at PIFD demands less and less physical activity. The institute focuses mainly

on academics, unlike other institutes that provide equal importance to academics as well as other

activities and events. Any outdoor activity or activity that is not in the premises of university is

prohibited due to many issues, security issue is one of them. Even inside the institute, there are

not many options available that students can get involved in, apart from just focusing on

academics.

There is a concern that young people, are becoming less physically active, which could lead to

health problems as early as their teens. Surveys consisting of a total of 800 Swedish children

(ages 17-23, respectively) were studied with accelerometers during the 1998–1999 school year.

The ‘health-enhancing level’ of physical activity was defined based on energy expenditure and

was rooted in the adult recommendations current at the time (30–60 minutes of daily activity,

corresponding to a brisk walk or more strenuous). For four days, all physical activities during the

waking hours was registered. The group of 17-23 year-olds were active at a health-enhancing

level an average of 200 minutes a day. Those achieving 60 minutes of such activity per day

comprised 85% of the boys and 65% of the girls. A decreasing level of physical activity in the

older group confirms data from several other studies. The girls were less active at a health

enhancing level than the boys in both age groups, which also agrees with previous studies

conducted with various types of methodologies. [ CITATION Ulr \l 1033 ]

In other words, moderate to vigorous physical activity that also involves complex rules or

movements will have the most beneficial effects on cognition. This is because physical activity is

closely linked to executive functioning, and because executive functions are strong predictors of

academic achievement, it seems only logical that the executive functions of children who are

more physically active would be more highly developed. [ CITATION Ann18 \l 1033 ]

According to [ CITATION Fam19 \l 1033 ] setting up a proper activity room in institutes can benefit

students in the following ways:

 Better Grades: Extra-curricular activities promote passion and excitement and qualities

have proven to improve brain functionality. Hence, a good academic performance and

better grades.

 Skill Development: Extra-curricular activities where students can bond with each other

exposes them to new skills and an expanded worldview by uncovering different ideas and

thought process of different people from different backgrounds.

 Better Social Skills: Extra- curricular activities allow students to be surrounded by

individuals who have shared interests and experiences. Being in this type of situation on a

regular basis will teach them how to relate to others.

 Health and Productivity: Extra-curricular activities promote mental, emotional, and

physical health as they require adolescents to use strategy, manage time effectively,

cooperate with others, develop new skills, be social, etc.

 Better Communication: Students engage through the activities they pick up, this

engagement leads to better communication between the peer groups and also with

teachers.

To fill the gap by generating a project framework to develop an activity centre and common

room in PIFD in order to develop a focus towards student bonding, societies and clubs, extra-

curricular activities like sports and other events.

 Strict Administration

Starting something from scratch is not the easiest thing to do at PIFD. We need to talk to the

administration regarding the plan which requires too many full-fledged meetings and long

procedures. To open a new society of any sort one has to take permission from the highest

authority concerned. This is not a simple procedure because there is a whole committee that sits

to decide whether they should permit the students to start something new. The institute, PIFD has

a plethora of talent, but when sometimes even established societies are unable to get the support

that they require, starting a new one altogether becomes a challenging task. However, in the end,

most of the colleges face problems when it comes to dealing with the administration, but one

must not give up.

 Financial Issues

To develop an entire new activity area in the institute, a lot of budget will be required to

construct the new area and extra-curricular activities come along with their own expenses too.

Hence, budget needs to be allocated to buy the necessary equipment and franchising as well i.e.

furniture, sports tools, music instruments etc. PIFD being a semi-government institute needs fund

financial allowances for building this activity centre which will help students in different ways.

Financial constraints relate not just to the overall budget, but also to the cash flow through

the entire process of building and maintain the activity centre. There are other important factors

involved with the financial constraints such as having to find an architect,

contractors, subcontractors or suppliers of material required to in building.

 Getting Others Involved

Starting new clubs, sports or introducing new activities requires getting more and more members

interested, excited and involved in the task. Hence, the new venture will not be started just by the

construction of an area, in fact it will require proper marketing, holding information sessions and

tryouts which in itself is a huge additional task to perform before beginning with the activity

area. This also needs to be done to create coordinating and managing teams to arrange events and

engage members. Student unions and small groups of students who will be labeled and assigned

for tasks and who will make activity center more interesting need to be created. Moreover, for

students from different backgrounds, cultures and religion to easily communicate and interact,

proper planning of small events, games, and competitions needs to be done by the student body

who will also be monitoring these activities.

ALTERNATIVE ANALYSIS

1. In PIFD, it is important to have an activity center and common room with exclusive access to

the students where they can meet with friends, eat and relax and which has a friendly and social

atmosphere making it a great place for students to meet and study or organize social gatherings.

Hence, one of the alternatives to develop such an area will be to focus on finding the right

vendors for equipment and furniture and other construction processes and the right franchises

that offer food. This can be done by the following ways:

 Working with architectural firms to design the new area, firms that are in the budget limit

and can design the area according to the idea of being different from rest of the campus,

so that students can feel livelier and can have a quality time.

 Contacting food companies that are willing to have a pop up restaurant or spot on the

campus i.e. G.YM, Subway, and Pizza Hut etc. In a recent survey, 60% of students stated

they would eat on campus more if healthier options were available. By contracting with

food brands that provide healthy food options as well as fast food, all types of student

needs will be catered. There are many food companies that are currently providing food

through Kiosk, small setup and small stalls in different universities. Hence, such

companies will also be contacted for providing food to students in the campus.

 Opting for a suitable and affordable furniture brand to provide furniture for activity area

i.e. table, chairs, benches, couches, racks etc. keeping the budget, quantity and quality in

mind. Also, furniture that is comfortable and functional will be selected.

 Searching for good quality sports equipment i.e. rackets, balls, mind games etc. as well as

other gears and instruments for music etc. Shops providing good quality sports equipment

will be searched for sourcing purposes.

2. Another alternative to develop and maintain an activity area and common room in PIFD in

order to increase a focus towards student bonding, societies and clubs, extra- curricular activities

like sports and other events is by increasing student engagement on campus to seek awareness to

on-campus events and extracurricular activities and an increase in participation. This can be done

by the following ways:

 Giving events more visibility and making it sharable by posting content (pictures, posters,

and letters) on institute’s social media pages and institute’s notice board. Social media

and technology are integral parts of our daily life, and integrating the use of these is more

helpful than before, given how acclimated the students are towards them. They will be

snapped and different activities will be posted on official pages that will be linked to

PIFD’S student activity accounts. Each social media platform offers many different ways

to be used, from sharing announcements to holding live competitions, and so much more.

First, social media provides a smoother, more direct communication tool between

students of different department and secondly, these accounts will be public allowing

other university students to take up the open challenges which will create a good image

of the institute. Facebook, Instagram and Snapchat accounts can be used to broadcast

updates and alerts as well as for live streaming.

 Inviting new faces to the student engagement conversation i.e. motivational speakers,

consultants, consolers etc. Motivational speakers for universities are a great way to

inspire and encourage young people to push themselves out of their comfort zone and

teach them the importance of self-belief and a positive attitude. At times, the routine of

the school timetable can become monotonous for students, and having an outside speaker

who comes in for an afternoon, or even just an hour long talk at lunch time, can really

make the students sit up and listen, take notice, and help them to think outside the box.

Motivational speakers are especially beneficial to students during poignant times during

the university term; for example, when end of term exams are looming, or if they are

facing any important educational choices and decisions to make, or the students are

moving out of their comfort zones. Such sessions will allow more students engagement

and it will create a welcoming environment for students through interactive sessions.

 Collaborating with facility for trips, ice- breaking activities and other events etc.

REQUEST FOR PROPOSAL

To construct the PIFD Activity Centre vendors would be required to provide the detailed sheet of

cost and time required to complete the project keeping in mind the following factors.

1. We would want the vendors to provide the costing and time required for construction of

the Activity centre. The dimensions of the area would be 16000 sq. ft. It will be a two

story centre. The construction cost will also be including the cost for the following

elements:

2. On the ground floor there will be mainly the food court area and sitting area. The area of

the ground floor is 8000 sq. ft.

 It will further be sub-divided into allocating counter and kitchen spaces for three

different food stations.

 1000 sq. ft. will be allocated to each café.

 1800 sq. ft. will be allocated to the TV area.

 The remaining 3200 sq. ft. will be designed and organized for the seating area.

This area will further require the individual cost for the following:

 Kitchen units

 Counters

 Marble tiles for the kitchen wall and floor

There will also be a washroom area at the first floor for both male and female. It will

require the cost for the following construction:

 Washroom doors

 Washroom counters

 Washroom floor and wall tiles

The following equipment and fittings will also be required along with their cost:

3. The first floor will have the activity rooms such as badminton, tennis court and basketball

court. The cost for the following equipment would be required for the sports area:

society can conduct their discussion, and other activities:

4. The installation cost for installing TV, air conditioners and other electronics will also be

required.

7. We will hire construction labor to do construct the walls, floors, and ceiling.

10. PIFD’s current furniture is by ChenOne. So ChenOne will be once again approached to

make the furniture and provide the furnishings for the activity centre.
