Early Call in Overtime Calling Procedures

Once you get an early call in request in your email open Cognos to pull the overtime list.

Follow the path:

Overtime Before Shift
Select “me_SaaS” and the “Ok”

Enter the appropriate information for the Date, Department, Workgroup and time based on
the OT request submitted by management.

Run the report and print out the “Early Call In Volunteer List”

Open staff admin to check their eligibility.


*** You DO NOT need to check the entire list at once, check as you go!
• Must have a minimum of 7.5 hours rest between shifts
• Those on a CSW get asked last
• You DO NOT separate work areas. Call both Hangar and Terminal AMTs for early call in.
• You must start calling within 30 minutes of the OT request.

**If the overtime solicitation requires a qualification after checking their eligibility open up
http://learninghub.aa.com and check to make sure they have the appropriate
qualification. IF the Overtime request does not specify you do not have to do this.

Once you have checked staff admin and any qualifications, if requested, begin calling the
overtime with the dialer. You MUST use this to call otherwise there is no record of your calls if
there is a grievance.

Marking the OT solicitation sheet:


“Accepted @ 11:36” – Mark down the time they accepted the OT
“NE TRO 1930-22:30” – If they are Not Eligible (NE) mark down the reason that they are NE
“Refused @ 11:40” – If you call and they refuse the OT write refused and mark down the time they
refused
“Left VM @ 11:43” – If they do not answer leave a message and mark on the OT sheet when you left a
message

After you have all of the requested OT named go into the OT request, enter their names and
submit.
Once all OT has been completed go into staff admin and charge.

Hold Over Overtime Calling Procedures
Once you get a Hold Over request in your email open Cognos to pull the overtime list.

Overtime After Shift
Select “me_SaaS” and the “Ok”

Enter the appropriate information for the Date, Department, Workgroup and Time based on
the OT request submitted by management.

Run the report and print out the “Hold Over Volunteer List”

Open staff admin to check their eligibility.


*** Check the list up to how many ever guys are requested so they can all be paged at once.
EX: If 2 are requested check the list until you find 2 AMTs that are eligible.
• Must have a minimum of 7.5 hours rest between shifts
• Those on a CSW get asked last
• SEPARATE work areas based on the request. You DO NOT combine Hangar and
Terminal.

**If the overtime solicitation requires a qualification after checking their eligibility open up
http://learninghub.aa.com and check to make sure they have the appropriate
qualification. IF the Overtime request does not specify you do not have to do this.

Once you have checked staff admin and any qualifications, if requested, begin paging for the
OT. IF they do not answer the page go to the Crew Chief to have them locate them!

Marking the OT solicitation sheet:


“Accepted @ 11:36” – Mark down the time they accepted the OT
“NE TRO 1930-22:30” – If they are Not Eligible (NE) mark down the reason that they are NE
“Refused @ 11:40” – If you call and they refuse the OT write refused and mark down the time they

“Paged @ 11:45” – Once you page them indicate the time on the OT sheet

Day Off Overtime Calling Procedures
Once you get a Day Off Overtime request in your email open Cognos to pull the overtime list.

Overtime Day Off
Select “me_SaaS” and the “Ok”

Enter the appropriate information for the Date, Department and Workgroup based on the OT
request submitted by management.

Run the report and print out the “Day Off Overtime Volunteer List”

Open staff admin to check their eligibility.


*** You DO NOT need to check the entire list at once, check as you go!
• Must have a minimum of 7.5 hours rest between shifts
• Those on a CSW get asked last
• Call based on the Shift Requested: DAY, AFT, MID
• You must start calling within 30 minutes of the OT request.

**If the overtime solicitation requires a qualification after checking their eligibility open up

qualification. IF the Overtime request does not specify you do not have to do this.

Once you have checked staff admin and any qualifications, if requested, begin calling the

Charging Overtime in Staff Admin
Open Staff Admin

Type in Employee Number or Name


**Double check that you are on the correct employee before charging!

Right click on the day the overtime is taking place and then select “Insert Anomaly”

Personal Anomaly Names:


OT-EC – OVERTIME BEFORE SHIFT

Start Date/Time:
Start date should always be the date that the OT is
starting on.

Start time should be 4.0 hours before their regularly


scheduled start time (Unless otherwise specified by
management)
EX: 1400 Regular Start Time
New start 1000
End Date/Time:
End Date should always be the date that the OT
ends on

End Time should always be the start time of their


regular scheduled shift
EX: 1400 Regular start time
OT end Time 1400.

Click “OK”

Click on the “Accounts” tab in staff admin and make sure


that the “Overtime Total” is 4 more than what the total is
on the OT sheet you pulled.
Open Staff Admin

Type in Employee Number or Name


**Double check that you are on the correct employee before charging!

Hold Over
Right click on the day the overtime is taking place and then select “Insert Anomaly”

OT-HLD – OVERTIME AFTER SHIFT

Start Date/Time:
Start date should always be the date that their regular
shift ends.

Start time should always be the time that their


regularly scheduled shift ends
EX: 2230 Regular End Time
OT start time 2230

End Date/Time:
End Date should always be the day that the OT ends.
End time should be 4.0 hours after their regular
scheduled shift (Unless otherwise specified by
management)
EX: 2230 Regular end time
OT end Time 0230 the next day.

Click “OK”

Click on the “Accounts” tab in staff admin and make sure


that the “Overtime Total” is 4 more than what the total is on
the OT sheet you pulled.
Open Staff Admin
Type in Employee Number or Name
*Double check that you are on the correct employee before charging!

Day Off
Right click on the day the overtime is taking place and then select “Insert Anomaly”

Personal Anomaly Names:


OT-DO – OVERTIME ON DAY OFF

Start Date/Time:
Start date should always be the date that the OT is taking
palce

Start time should always be the time that their OT shift is


going to start

End Date/Time:
End Date should always be the day that the OT ends.
End time should be 8.0 hours after their regular scheduled
shift (Unless otherwise specified by management)
Do not put the 30 minute lunch in there!!!

Click “OK”

Click on the “Accounts” tab in staff admin and make sure that the
“Overtime Total” is 4 more than what the total is on the OT sheet
you pulled.

Right click on the day the Day off OT is Again and select “edit Shift Code”

Uncheck the “OFF” Box


Change “Shift Code” to the
appropriate shift time. This one will
include the 30 min lunch!
Right Click on the day of the day off overtime again and select “Insert Task Code”

Change the task code to “DAY OFF OT”

Then click “OK”

Once you are done the “Overtime Total” should be increased by 8.0 hours and their staff admin should
look like this:
