Ceremony Guidelines

GRADUATES
1. PLANNING AHEAD & DRESS CODE
a. There will be lots of walking - from your vehicle to campus, while on campus, and on and off the stadium
field. Comfortable, flat or wedge shoes are highly recommended. For your safety, the wearing of high
heels is not permitted. Heels will sink into the stadium field creating a tripping hazard.
b. High School Graduation is steeped in tradition. Dress comfortably while honoring the tradition. Business
casual attire is recommended.
c. Only items provided by Wilson High School may be worn with the cap and gown for the graduation
ceremony. These items include the Wilson Sash, Medals, and Cords. Traditional tribal regalia or
recognized objects of cultural or religious significance in accordance with AB 1248 and Education Code
section 35183.1 may be worn with advance permission by the principal. All other items, and items not
receiving advance permission, will be confiscated at check-in and held for the graduate until the end of
the ceremony.
d. Decorating or altering the cap and/or gown is not permitted.
e. In the staging area, under each graduate’s seat, will be a container where personal items may be stored,
such as cell phone, car keys, etc. during the ceremony. The staging area will be monitored throughout
the ceremony. Graduates will recess through the staging area after the ceremony to retrieve their
personal items.
f. DO NOT bring water bottles, food, or drink with you to the ceremony. An individual water bottle will be
provided for each graduate at their assigned seat in the staging.
g. The staging area is on the blacktop and shade will NOT be provided. Graduates are welcome to bring an
umbrella to use for shade while seated in the staging area.
h. Graduation programs will NOT be available at the ceremony. Please remind your family to bring the two
graduation programs to the ceremony. They have been provided in the Senior Grad Bag.

2. COVID SYMPTOM TRACKER SURVEY


On Wednesday, May 26th (not earlier), BEFORE arriving to campus, take the COVID Symptom Tracker Survey.
a. Visit the Wilson website
b. Select “Graduation COVID Screener”
c. Choose “Graduate”
d. Complete each field
e. Hit submit

3. ENTERING CAMPUS
Graduates will enter the campus through the horseshoe parking lot located on Wedgeworth Drive across from
Bixby Elementary School. Arrival time at the horseshoe gate is based on the first letter of your last name. See the
arrival time schedule below.

Follow the Safety Protocols:


a. WEAR A MASK that covers both your nose and mouth.
b. Maintain 6-foot distancing from others as you wait to enter the gate
c. Carry your gown or wear the gown unzipped.
d. At the gate, check-in with the Security Officer by giving him/her your name
e. Upon entering the campus, follow the arrows on the ground leading you to the check-in areas on either
side of the locker rooms

4. GRADUATE CHECK-IN
a. Your completion of the COVID screener survey will be verified
b. You will be given your Name Card with your seat assignment on the back
c. See the diagram below to determine to which Check-in Station you should report
d. Your Name Card will have your seat assignment on the back

5. STAGING AREA
a. After check-in, report to your assigned seat on the black top – be seated and stay seated
b. Odd numbered seats are west (to the left) of the locker rooms and the center aisle
c. Even numbered seats are east (to the right) of the locker rooms and the center aisle
d. At your seat, you should be in possession of the following items:
i. Container under your seat includes
1. Bottle of Water (provided)
2. Wilson Face Mask (provided)
3. Graduation Program (provided)
ii. Your Name Card (given to you at check-in)
iii. Before the ceremony begins, place these items in the container under your seat
1. Bottle of Water (provided)
2. The mask you wore to school
3. Your car keys (the area will be secured)
4. Your cell phone (the area will be secured)
5. Graduation Program
6. Any other personal items (including your umbrella, if you brought one)

6. ANNOUNCEMENTS
a. Review the ceremony (program), including field seating
b. Rehearse the ceremony
c. Announcements about photography (South Coast)
d. Announcements about diplomas
e. Review exiting the facility
f. Review safety protocols

7. CEREMONY
a. March onto the field – field seating matches staging area (blacktop) seating
b. Do not bring any items onto the field with you EXCEPT your name card
c. Entering the stage
i. Give your name card to the counselor
ii. Upon your name being announced, you will receive your diploma cover with you diploma inside
(unless you have not return all school property and/or paid all school fines – then you’ll receive
an empty diploma cover)
iii. Pose for a photo taken by Southcoast Photography

8. AFTER THE CEREMONY


a. Graduates will march off the field and return to the staging area on the blacktop to pick up personal
items left in the box under the graduate’s seat.
b. Once items are collected, graduates will be escorted through the horseshoe gate and onto the
Wedgeworth Drive sidewalk.
c. HLP Police will monitor students as they parade across Wedgeworth Drive to the Bixby Elementary
School campus.
d. Graduates are encouraged to reunite with families at their parked vehicle or the Bixby campus.
e. Please clear Bixby campus and the surrounding residential area as quickly as possible to provide parking
for graduates and families participating in the next ceremony.
GUESTS
1. PLANNING AHEAD & DRESS CODE
a. There will be NO parking on the Wilson campus for all graduation ceremonies. Plan for lots of walking -
from your vehicle to campus, while on campus, and up and down the bleachers. Comfortable shoes
(flats, sneakers, or wedge shoes) are highly recommended.
b. A warm day is anticipated for the 1:00 PM ceremony while the later ceremonies may be cooler. Consider
dressing comfortably and in layers.
c. Items that create distractions to others will be confiscated at check-in. Items such as balloons, signs,
noise makers, etc. are not permitted on the Wilson campus.
d. To provide shade, umbrellas are permitted while seated in the stadium. However, umbrellas must be
closed at the start of the ceremony (processional) and remain closed until you have departed the
stadium.
e. Other than bottled water, food, or drink is not allowed in the stadium.
f. Graduation programs will NOT be available at the ceremony. Please be reminded to bring the
graduation programs from the Senior Grad Bag with you to the ceremony

2. COVID SYMPTOM TRACKER SURVEY

the COVID Symptom Tracker Survey.
a. Visit the Wilson website
b. Select “Graduation COVID Screener”
c. Choose “Guest”
d. Complete each field
e. Hit submit

3. PARKING
Because of the solar panel project, there is no parking on the Wilson campus. Limited parking is available at
Bixby Elementary School and Cedarlane Academy. The only other option is parking in the residential areas
surrounding the Wilson campus. It is recommended that you leave home early to accommodate parking
challenges and walking to campus. If possible, it is recommended that families arrive in one vehicle.

4. ENTERING CAMPUS
Guests will enter the campus through the pedestrian gate at the southwest corner of the
Wedgeworth/Countrywood parking lot. This gate is located on Wedgeworth Dr. Using the diagram below, each
family is assigned a check-in gate based on the first letter of their graduate’s last name.

Guests reporting to Check-in Station C will enter the through the ramp located behind the cafeteria, on the west
side of the parking lot.

Guests reporting to Check-in Station D will cross the parking lot to the gate north of the parking lot, in front of
the gym and adjacent to the tennis courts.

5. GUEST CHECK-IN
a. All ticket holders in your family pod must be present and together at your assigned check-in location.
b. Only family pods with all ticket holders present will be permitted to check in and enter the stadium.
c. At the Guest Check-in Stations, school officials will
i. Verify that all ticket holders age 12 and older have submitted the COVID Symptom Tracker
Survey and are cleared to enter
ii. Verify the names of ticket holders
iii. Provide your family pod seat assignment

6. SEATING
a. After checking-in, follow the arrows on the ground to enter the bleachers
b. Follow the signage in the bleachers to locate your family pod seat assignment
c. Please remain seated in your family pod seat assignment while in attendance
d. Restrooms are located at the gym behind the bleachers
e. Items that create distractions to others will be confiscated. Items such as balloons, signs, noise makers,
etc. are not permitted on the Wilson campus.
f. To provide shade, umbrellas are permitted while seated in the stadium. However, umbrellas must be
closed at the start of the ceremony (processional) and remain closed until you have departed the
stadium.
g. Other than bottled water, food, or drink is not allowed in the stadium.
h. Follow all safety protocols as posted in the stadium seating area

7. AFTER THE CEREMONY


a. As graduates recess off the field, guests will be ushered from the bleachers toward the exit gates so the
stadium can be sanitized before the next ceremony.
b. Guests will exit the campus from the same gate in which the entered onto Wedgeworth Dr.
c. Graduates will parade to the Bixby Elementary School campus.
d. Families are encourage to reunite at their parked vehicle or the Bixby campus.
e. Please clear the Bixby campus and the surrounding residential area as quickly as possible to provide
parking for graduates and families participating in the next ceremony.

SAFETY PROTOCOLS
 All ticket holders age 12 and older AND all graduates MUST complete the electronic COVID Symptom Tracker
survey BEFORE arriving to campus.
 Graduates and family members should arrange a meeting location BEFORE arriving to campus
 Everyone age 2 and older MUST wear a mask that covers the nose and mouth at all times
 Maintain 6-foot distancing from others at all times
 Adhere to the ground markings upon entering campus and at check-in
 Follow the directions of police and safety, and the Wilson High School staff
 All COVID Safety Protocols established by the California Department of Public Health will be followed
o Graduates and Family Pods will be seated 6-feet apart in the staging area, field seating area, and bleachers
o Graduates will process in and recess out 6-feet apart in a single line
o Staff will wear gloves when handing items to graduates (name card & diploma)
o Bleacher seating, staging area seating, field seating, and stage seating will be sanitized in between ceremonies
o Microphones and podiums will be sanitized after each use
o Restrooms will be sanitized every hour
o Food and drink are not to be brought to school
