ABOUT STUDENT SUPPORT SERVICES:

The Student Support Services division of the Academic Council takes care of the basic
requirements of the students like tutorials, registration, personality development, Language and
Communication issues, faculty-student relations, learning & development acceleration etc. It has
many components entirely dedicated to each of the above-mentioned purposes.

1. Appendment of the UG Information Booklet

UG Information Booklet serves to disseminate information on topics like registrations, additional

courses, IDDDP, fast tracking review and the benefits related to it. New topics like Inter IIT
Semester Exchange added, URA, the role of faculty advisors, plagiarism and policies against it and
other policies/opportunities that most students of the institute are unaware of are added. It is an
all-encompassing booklet catering to various aspects of academics of IIT Bombay released for the
very first time. The booklet was released on online platforms in early July.

2. What’s in your Branch?

Every year around 10 percent undergraduate branch change to some other branch at IITB. Many
times their decision is influenced by the trend followed previously. So, to help the students take a
better and informed decision, the What’s in your branch session was conducted at the end of the

9
Spring semester 2019. The session had speakers from almost all undergraduate departments
who spoke about the coursework of the department, research and future prospects in their
department. The session was mainly for the students aiming for a change of branch.

3. IDDDP (INTERDISCIPLINARY DUAL DEGREE PROGRAM) Videos

The interdisciplinary dual degree program has been implemented in IIT Bombay and we have
seen more than 4 students participating in the previous year. Since the process is new and many
people are unaware of the complications involved we decided to make a video which would help
the students understand the complete process and also get to know the experience of the two
students who did an interdisciplinary dual degree switch in the previous year. The video was
released at the beginning of the semester.

The video has been released on the Youtube channel of the undergraduate academic council link
to which is -

4. ASC Videos Series

Every year several students 2nd year and onwards face major problems in registrations and pre
registrations. They face simple questions as “How to take a minor” or “Can we waitlist a course
while having in pre registration”. Identifying this issue the Student Support Division decided to
make videos based on registration and released them on the undergraduate academic council’s
Youtube channel link to which is -

5. TA Feedback

The TA feedback program was implemented for the second time after being proposed 4 years
ago. The TA feedback program was conducted for all theory undergraduate first year students
courses. The responses of the feedback program was then shared with the course instructors so
that they can take appropriate action and improve the learning experience of the students.

6. MENTAL HEALTH INITIATIVES

6.1 Mental health videos

Every day students face problems regarding self esteem, anxiety, addiction and demotivating
friends. Student support services in advisory with the Student Wellness center made text stories
in which the person is talking to their inner conscience voice or friends from outside who feed
toxic thoughts in the mind. It shows what happens to people and how they are trying to cope up

10
with those feelings. These video series were released near the world mental health day 10th of
October as a part of the mental health campaign and were widely acclaimed.

6.2 Depression Blog

In light of problems faced by students like depression and anxiety the student support services
got a blog written by a person (Identity confidential) which was centered to spread awareness
about problems related to mental health, how people feel when they are suffering from
depression and how starkly different depression is from sadness. The blog talked about what one
should do and what worked for that particular person when they were suffering from such
issues. The blog was released on the world mental health day 10th of October as a part of the
mental health campaign and was widely admired.

6.3 Informative images and comic strips

As part of the campaign, we released 5-6 images everyday (during World Mental health week) for
dissemination of information to the masses. They were taken from various websites, instagram
pages, and blogs of artists, bloggers etc

6.4 Mental Health Week

The whole 6.2, 6.3, 6.4 were combined together to drive a mental health campaign. The campaign
saw participation from various students. The tag line for the campaign was “Not all wounds are
visible”. At the end of the campaign, an aggregator video was released to show people that they’re
not alone who are suffering from mental health illness, and that it is okay to seek help.

7. Scholarship portal

A lot of students at IIT Bombay do not know about the various scholarship options they can avail.
The Student Support Services Team, therefore, compiled the various scholarships that a student
can get within India or other funded summer programs, foreign visits that the students can get for
various academic purposes abroad. The portal was launched when the first year students set foot
into IIT Bombay and was publicized through the SSS page and first year students’ ISMP mentors.
Further, we are planning to create filters for easy search ability of the relevant scholarships

8. ExCeL Structure Revamp

Every year ExCeL sessions are conducted for first year courses which have heavy coursework
involved like MA 105 and PH 107. This year the structure of ExCeL Sessions was revamped with a
proper policy being proposed to the CIIs of the courses. Red list (for the bottom 20%) of the
courses (PH 107, MA 105) was procured & handed over to the Student Mentorship Program
Coordinators so that they can help their mentees more efficiently.

11
9. Policy@IITB

Students in IIT Bombay don’t know about the new rules that are amended into the rule book.
Hence, the council decided to identify those rules and come up with some innovative ideas in an
infographic way to reach out to the students. A total of 17 such policies were identified. A
policy@IITB infographic stating the rules regarding DX/FR/II/W was released in Autumn 2019.

10. TA Selection Portal

A team set up with some volunteers, successfully revamped the TA Portal facilitating the
selection of Undergraduate Teaching Assistants for all the first year theory courses of PH 108,
MA 106, MA 108, BB101 and ME 119. The portal also facilitated the selection of Undergraduate
teaching assistants for the department introductory course of CE 102. This year we also
encouraged professors to consider undergraduate TAs for CH 107 & ME 119 which previously
had just post-graduate TAs.

11. Summer course TSC

We conducted Summer course TSC for the course PH 107. Majority of the students enrolled then
requested for the TSC session.

12. Introduction of usage of Sli.do

Every year TSCs and ExCeL Sessions are conducted and the same problem is faced by students
every time they aren’t able to ask questions anonymously or give feedback even the TAs aren’t
able to share resources with the students. Sli.do provided the TSC TAs to ensure a classroom
environment and students were able to ask and interact through the medium.

13. TSC Ecertificates

Certificates to volunteers who have taught students in Tutorial service centers are given which
are signed by the General Secretary Academic affairs and the Dean of Student Affairs. Over the
years the certificates were hard copies, to save paper and cost of printing we have decided to give
the certificates in electronic form to all the people who have volunteered and successfully met
the conditions for the same.

WORK ONGOING/COMPLETED AS PART OF EVERY YEAR DUTIES

1. Catered to problems and grievances during registration

Catered to registrations related issues of over 4500+ undergraduates of IIT Bombay on multiple
mediums like facebook, WhatsAPP and the QnG portal.

12
2. TSCs and ExCeL sessions

Conducted tutorial and help sessions of all the first-year courses all year to help students
perform well in their examinations. ExCeL ( Explaining Concepts and Lectures) sessions are also
being conducted in PH 107 and MA 105 to help the weak students and students with language
barriers.

3. TAs for summer courses

Procured undergraduate teaching assistants to help the professors taking summer courses and
conduct the course in an efficient manner.

5. Branch Change reviews

We contacted several people who did a branch change to a different department and also some
who chose not to. We compiled the reviews collected and released it on the UGAC blog so that
the concerned take an appropriate decision.

6. Journey Reviews

Released a series of journey reviews where seniors reflected upon their life in the institute and
gave advice to their juniors on how to make their institute experience better. The reviews were
released as blog posts on the UGAC Blog.

7. Moodle-ASC-Webmail Session

Many first year students are not comfortable with using basic institute resources such as Moodle,
ASC, Webmail, CDEEP, Bighome etc. We thus conducted a session for all first year students and
help them get acquainted with these and get comfortable using it. The session witnessed an
attendance of 1200+ students. This time the session was conducted in the convocation hall. The
slides were made extremely extensive having every resource of IIT Bombay and were released
later through SSS Facebook page and also released through their ISMP mentors.

9. Course Info Session

The Course Info Session is organized every year for the to-be-sophomores in order to educate
them about various academic policies, rules and regulations, and the related differences from
their first-year curriculum and academic structure. This year the session was attended by 400+
students and was covered by IIT BBC.

10. Pre-Registration & Registration Live Query Sheet

13
Every year, the vast majority of the 3000 - odd senior undergraduate students of the institute
(second year onwards) face a number of issues due to slot clashes, the absence of time-table
entries, restrictions, and various other rules and loopholes in the process.

Since the academic council is responsible for addressing all these issues, we maintained a live
query sheet for keeping track of all the common issues and kept on updating it constantly
according to the updates received from the ASC Office and the Academic Section

The sheet bolstered transparency into our work, and also enabled the students to look up the
solutions/updated regarding the common issues, thereby streamlining the whole process.

11. Freshie Resources and Senior Resources

The Freshie Resources drive provides various academic resources, ranging from lecture slides to
previous years’ papers and solutions. This year all Department Introductory courses (DICs) were
added to the drive of freshie resources.

The senior resources drive contains course content, tutorials and past year papers of common
senior year courses. The resources are being constantly updated and were released in Autumn
2019. We are also working towards making all exhaustive paper repository drive.

12. Paper Repository

A comprehensive paper repository is being prepared which consists of question papers of

students of all the 3 years and of all the branches. A process to collect their mid-sem papers from
the students has been initiated for the second time to upload in an online drive which would, later
on, be released for everyone’s use.

13. Synergize

The first Synergize session was organized in association with the Mathematics and Physics
club, IITB. The aim of the session was to motivate students to study Quantum Physics and
understand its applications in real life. The session witnessed an audience of over 60 students.
The session was taken by a fourth year student Arush Gupta.

14. Course feedback awareness posters

A lot of people are unaware about the Raised awareness on the importance of filling the course
feedback form at the end of each semester. They are also unaware about the consequences if
they miss the deadline of the feedback form. Student support services spread awareness about
the course feedback form and its importance

14
WORK AS A PART OF COUNCIL DUTIES:

1. Joint first year students Orientation in convocation

Organized the first year students orientation in the convocation hall on the first academic day of
first year students. Got Basic computer learning test papers printed in tandem with the student
mentorship program.

2. Moderating the Student Support@IITB page

The student support@IITB serves as a common platform for resolving common academic queries.
Students also use this platform to connect to seniors and alumni of IITB and take their advice.
There’s also an option to ask queries anonymously, keeping in mind that certain queries could be
sensitive to the identity of the person.

3. Summer courses

As part of the council Student support services helped in smooth administration of summer
backlog courses.
